  1. a box "holdings" to tick on Electronic Portfolio Editor level

EXL advised us to tick to box "Cancellation restriction" in the POL to mark our journals holdings... even if the feature is at first not what it takes.
Editors require libraries to maintain some subscriptions (holdings) and libraries have to make yearly inventory on these holdings.

Our request : a "holdinds" box to tick to be configured on Electronic Portfolio Editor level.

  2. Show 'chapter/article title' and 'chapter/article author' in completed digitization requests and in Analytics

For copyright reasons, we need to track whether users have requested an article from an issue or a chapter from a book from which they have already received a scan.

Completed digitisation requests in Alma do not show the chapter/article title or chapter/article author, only the overall title requested. The data is not available in Analytics either.

This means that we are reliant on a local spreadsheet to track what users have already requested.

We would like to see the data available on the completed requests and in Analytics.

  3. Asigned_to-tabs optional in resource sharing

Our workflow requires that every member of the resource sharing team can work with all resource sharing requests. Depending on who created or edited a request the request will apear in one of the three asigned_to-tabs. The coworker who needs to edit the request next, has to check all three tabs to find the request. This causes extra work and some irritation for our coworkers. We would like the option to have only one tab, since we really don't need the others.

    Hi,

Please note that it is possible to prevent borrowing and lending requests from being automatically assigned by using the rs_disable_borrowing_auto_assign and rs_disable_lending_auto_assign parameters. This way, requests will always remain in the Unassigned tab, unless manually assigned.

    See these parameters at https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/010Alma_Online_Help_(English)/030Fulfillment/080Configuring_Fulfillment/110General

    Thanks,
    Moshe

  4. Enhance Display Logic Rules to incorporate the same full functionality options of General Electronic Services

Display Logic Rules options are limited in allowing only Hide options by User Group, ownership by campus or institution, or presence of another service. They also have hardcoded display depending on the service, such as displaying only when a user is logged in, and only in Get It or View It (some of which are understandable per service).
In contrast, General Electronic Services are extremely powerful with Show / Hide options by true or false default rule, choice of display in Get It and/or View It, allowing display when not logged in, as well as by ownership by campus or…

  5. Work orders: unnecessary message "cancel requests" when moving an item with work order

When moving an item that has a work order from a location to another, the cataloguer receives a message "The item is in work order, moving the item will cancel the requests if the item is not requestable in the new location". Most of these messages are not pertinent, and we ask for the possibility to adjust it, so that it only appears when really necessary. It confuses cautious employees who are afraid of unintentionally deleting markers, or it is hardly noticed because too often wrong.

  6. Alma RS - Lending - Ship item digitally - email address to be viewable & editable

When Lending requests are shipped via ‘Ship item digitally’ staff cannot see the Borrowing library’s email address.

Below is a specific case with a VDX borrowing library. However the case can be applied to other scenarioes such as when a borrowing library asks to have the request shipped to a different email address.

    Case:
When a VDX Borrowing library has the VDX proprietary DocStore enabled and sends a Lending request to an Alma library, the DocStore email address is output in the email request field in Alma RS (docdellibrariesaustralia@vdxhost.com).

    • Non VDX libraries cannot send digital content…

  7. On Hold Shelf letter should display pick-up library rather than owning library

Currently, if a student places a request on a book from a different library to be picked up at their "home" library, the On Hold Shelf letter comes from the owning library with the owning library's branding, not from the pick-up location, which is what they are expecting. This is confusing to students because they are not expecting an email from a different library and often ignore it.
The On Hold Shelf letter email should have the pick-up library information/branding, not the owning library's information/branding.

  8. Resource Sharing Claims - Sending Additional Claims and Sending Claim Letter Manually

    1. It should be possible to configure the automatic Claims job to send additional Claims every X number of days, until the status of the request is updated to Received.

    2. In the meantime, it should be possible to send additional Claim letters manually (and not as a General Message).

  10. Enable comments to patrons in digitization requests

Enabling comments to the patrons in digitization (and physical too) requests.

For example a patron requests Chapter 1, pages 1-40 in their digitization request but Chapter 1 is actually pages 1-24. There should be a way to attach Chapter 1 then send along a comment to the patron: "Chapter 1 has been attached. Request indicated pages 1-40 but this included Chapter 1 and part of Chapter 2 which goes beyond copyright allowance."

There is currently a comment field, but this comment is internal. So, rather than having the ability to add comments to the file as it goes…

  11. Limit number of resource sharing partners in a borrowing request's rota

We sometimes see instances where a problematic resource sharing requests are sent to dozens of partners before they're cancelled or go unfilled. It would be very helpful if we could somehow limit the number of partners that appear in a request's rota. Since we would always want to include a lender of last resort like ILLiad or WorlsShare ILL as the final partner, it would probably be best to allow us to limit the number of partners from a specific rota template that can be added to a rota.

  12. Resume auto renewals for all copies when request is filled or cancelled

Currently Alma only resumes auto renewals for the one copy it has recalled, and the other copies of that title have to be manually renewed in order to restart the auto renewals process. It is difficult to explain to users why one copy is auto renewing again and their copy is not, because there doesn't seem to be any logical reason or advantage to this.

  13. Work order email notification option

We use work orders to request items from our other branches to be loaned out via interlibrary loan.

When the branch is unable to find the book, they click Mark as Missing on their Pick from Shelf list.

Unfortunately, this simply deletes the work order and doesn't notify us that the work order was deleted. We have to go into our Monitor Requests queue and actually scroll through all the completed requests to find the ones that were marked as missing.

I would like to request that when creating a new work order, there is an option to…

  14. Interested In Letter – improvement to the usability

When working on a purchase request, you can tick a box if you would like to notify the patron upon receiving/activation, and upon cancellation.

OTB the Interested In Letter sends the same message when the request is received or cancelled. The letter in use does not seem designed for the cancellation message.

This creates a discrepancy between what we choose to notify the patron of, and what we are actually able to communicate.

Since we neither have access to the message table used as an input to this letter, or the opportunity to differentiate by using labels, we are…

  15. Physically Received by Library

It should be possible to change the status of a Borrowing Request to Digitally Received by Library from Physically Received by Library or vice-versa, if the wrong Format was received. Currently, it is impossible to create a barcode if the item was Digitally Received.

  16. Allow user preferred pick up location while retaining other options

Currently in the TOU you can allow pick-up at "Any pick-up location" or at" User affiliated Campus Pick-up locations". If the latter is set, only pick-up locations of the user's campus are available. We need an extension to the former rule, that lets the user's preferred pick-up location (a new parameter in the user profile) be selected as default option, while still allowing the user to select a different location when placing the request.
Obviously, the "User preferred pick-up library" needs to be added to the user profile.

  17. View pick-up location in Requests tab of Manage Patron Services

It would be helpful if pick-up location was displayed on the Requests tab under Manage Patron Services. Currently, in order to view pick-up location when helping users at the desk, staff need to click '...' and 'Edit' in order to view that part of the request.

Attached is a photo of the current interface where staff would like to see pick-up location as an optional column display.

  18. Lending Publication Date

In Lending Analytics, the Publication Date field retrieves the date the Journal began publishing, and not the date the Article was published, despite the fact that the date in the Lending request is the Article's publication date. As a result, we are unable to check if we have supplied scans according to Copyright Law.

  19. Allow Alma to export preferred names to ILLiad when automatically creating ILLiad user records

When Alma automatically created an ILLiad user record for someone who has submitted a resource sharing request that must be exported to ILLiad, it always passes the First Name and Last Name fields to ILLiad even if the user's records contains a Preferred First Name and/or Preferred Last Name. It would be incredibly helpful if Alma could pass preferred names to ILLiad if the user's record contains any preferred names.

  20. Extend the "interested users" functionality

Acquisition librarians want to extend the current "interested users" functionality in order to serve the end user in a better and faster way. The current "interested users" functionality is not sufficient enough, to become useful and really benefit from this functionality we would like to extend it with:
    • The ability to sort the interested user list.
Use case: some users (e.g. academic staff) have priority and should get the issue first!
    • Make it possible to create hold requests on these items regardless of the existing fulfillment policy:
Use case: some libraries don't allow requests for available…

Dear community, this idea was reviewed and accepted, below you can find the suggested design, please feel free to comment if you have further suggestion:

    1. It will be possible to sort the interested users list using arrows. The hold requests will be activated as per the order in the interested users tab.

    2. A check mark for ‘Loan to first interested user’ will cause the received item to be automatically loaned to the first interested user when the item is received.

    3. It will be possible to print the list of users (in the proper order) when the item is received

    Thanks,
