  1. Apply the lending institution’s permanent barcode to a borrowing request's temporary barcode when no duplicate exist

    Problem

Currently, Rapido applies a prefix to the temporary barcode for items received by a borrowing institution when lending and borrowing partners do not have shared barcodes enabled. Clarivate indicates this behavior is necessary to prevent barcode duplication, which could otherwise cause system errors.

However, this creates challenges for institutions with multiple service points. If a patron loses the paperwork associated with a resource sharing request that includes a prefixed barcode, frontline staff must recognize the item is a resource sharing request and understand that the barcode includes a prefix in order to process the return correctly. In many cases,…

  2. Enable requestor/partners to see open and completed digitization requests in Primo

We are in the process of migrating from ILLiad to Rapido for digitization requests. Our patrons/customers can now self register which creates an Alma User and Partner, and then place their digitization requests. And with the new features, we are able to fulfill, and then bill for this fulfillment work.

A feature that our customers had in ILLiad, and is not available in Alma/Primo/Rapido is to sign into Primo, and see open and completed Rapido digitization requests.

These customers are law firms, engineering firms, non-local independent researchers, etc. who are using our Primo site and not their own University library…

  3. Option to hide specific Global Title Index records from Primo results

Rapido libraries currently have no control over which Global Title Index (GTI) records appear in their Primo search results.

For example, some GTI records closely resemble local records for which the library does have holdings, but are not the same resource. This can confuse users, as when they select the GTI record instead of the local record, they may incorrectly conclude that the library does not provide access to the resource.

In other cases, there are GTI records for resources that the library knows cannot be supplied through Rapido and the request options have been hidden. But the records still…

  4. Enable lenders to change the due date on a request after it has already been received by the borrowing library.

A book my library sent out on a resource sharing request took a long time to arrive at the borrowing library. They received it and had only 2 weeks before it was due back. They contacted me and asked if the book could be renewed. On their side of things they were getting a no renewals message. I gave them a new due date. But when I tried to change the due date on my end, there is no way to change it.

It would be really great to be able to do this. Thanks!

  5. Automatic locking and visual indicators for in-progress requests

Enable the system to detect when a request is being viewed or edited, lock it from editing by other users, and clearly display that it is being worked on.

Current gap: Staff cannot see when another user is working on a request without manually assigning it, and requests are not locked when being edited

    Impact:

Adds cognitive load and extra manual steps

Risk of duplicate work if not locked when editing

Particularly problematic with large teams and part-time staff as the way the system works it’s not easy to separate requests from each other. There’s a high likelihood that people…

  6. Notification for automatic cancellations (Need By Date)

Allow configuration to send a patron notification when a request is automatically cancelled due to the need-by date passing.

Current gap: Requests can be cancelled silently

Impact: Users may not realise their request has expired, leading to confusion and follow-up queries. It's particularly an issue because users also cannot see cancelled requests in the request history. Only current requests are visible in their accounts. This is not ideal for busy researchers.

  7. Full request history for users

Enable users to access a complete history of all past requests, including cancelled requests.

Current gap: Cancelled requests are not visible to users

Impact: Users cannot track outcomes or reference past activity. This can lead to users requesting the same material again, especially with researchers requesting large numbers of requests.

  8. Provide options to exclude newly published works from "Physical Participation Items" (Lending Policies).

Most libraries prefer not to lend newly purchased physical books via resource sharing. Currently, the most effective way to manage this in Rapido is by excluding specific items within the Participation Items configuration.

However, the existing filtering options—Material Type, Item Policy, and Location—are insufficient for managing this need efficiently. We would like to request the addition of a ""Publication Date"" criteria. Specifically, we need the ability to exclude items based on:

A rolling timeframe (e.g., published within the last X years).

A fixed date range (e.g., published before or after the current year).

Adding this attribute would significantly streamline our…

  9. Recall lending loans (and block borrower renewal) when a local hold is placed in Rapido

When we lend a physical item through Rapido and one of our local patrons places a hold on that same item, no recall is triggered. The lending loan keeps its original due date, and the remote borrowing patron can even renew it — so the item comes back very late to satisfy our local hold, and our patron have to wait.
This contradicts standard local-loan fulfillment, where a hold automatically blocks renewal.
    Proposed enhancement:
A local hold on an item currently on loan via Rapido (lending side) should trigger a recall, shorten the due date, and block any renewal by…

  10. History of loan facet addition

Any request regardless of status can move to the overdue status. At this point, staff or sets can no longer differentiate between items that have been loaned or not. This makes it impossible to distinguish through sets which items are ready to pull from our hold shelves (a separate workflow from local hold pulls) because they've never been checked out and have now reached their due date and are ready to be returned to their partners.

We would appreciate if the facets would include the option to show items that have been loaned but may currently be in a different…

  11. Improve multivolume parser functionality

In February 2026, we submitted a support ticket regarding Rapido requests that we received from other institutions for multiple volumes in a series. We owned only one of the volumes; therefore, only one of the requests should have come to us. In addition, Rapido seemingly picked random barcodes from our holdings to send to Caiasoft (our remote storage management system), even for the volume that we own.

After a lengthy investigation, Support responded: "The issue is that the request data contains an errant comma in the Volume field....It looks like the problem [the Multivolume Parser] ran into was that the…

  12. Local due date not synced with system updates

When patron account expirations are updated across the system, Rapido loan due dates are not updated. Physical loans received can have a due date later than the expiration dates, and currently staff need to manually update due dates after the system updates. This leads to patron confusion about due dates, and added staff hours. We'd propose a change that allows Rapido loan due dates to be correctly attributed when patron accounts are renewed.

  13. Add additional parameters to a "send borrower document delivery rules" in RAPIDO

We would like some additional parameters added to the Send borrower document delivery rules in RAPIDO. The user group, stat category and partner is not sufficient. We would like to see Label = and request note contains to the list of options as this would catch new users submitting requests for OCR in the notes.

  14. Lending search

In the Lending interface for Rapido, it defaults to "Author" search. Is there any way to change this to "Title" and make it "sticky"? Ideally, it would be per user but if not possible, per institution would be fine too.

  15. Differentiate Rapido Physical Offer, Location of Partner, and Lend/Borrow Transaction Date-Range

We need to reconcile our charges for outgoing mail--of both lent (supplied) and borrowed (returned) by fiscal year (i.e. date-range), and I am not able to find a way to discern what was shipped, what was not, what was sent by courier (=no postage required), and what was sent via U.S. Mail.

If there's a way to do this that I'm not seeing in Analytics, I'm happy to learn more. I've been looking in Analytics, and have also looked at available filters in the Rapido interface and am seeing no possibility of filtering to include or exclude a specific date-range.

  16. Sort by due date

Currently in borrowing requests we can sort by creation date, update date, last interest date, and title. In lending requests we can sort by those as well shelving location. In both areas, we would like to be able to sort by due date.

This would allow us to create sets that will help us manage both loaned books as well as books still on the hold shelf as we approach the end of spring term. Many of our students leave for the summer with books still checked out that our due while they're in some random place, or with books…

  17. Note to Patron for Digital Local Upload

It would often be helpful to include a note to the patron when filling local, digital borrowing requests. This would allow us to provide further context or resources about an uploaded file or link to the patron when filling requests with owned materials through the local fill process.

For instance, for owned digital materials, we would like to paste the permalink for the digital holding in the catalog into the URL field and use this as an opportunity to educate the patron on how to access the material themselves instead of uploading the file we own directly to them. However,…

  18. Expand more fields to input ILL code for book chapter lending

We currently use autoholding for Wiley UBCM trials and purchased titles in a single E-collection, "Wiley Online Library - Autoholding Books." This workflow worked well until our Library implemented ebook chapter inter-library loan (ILL) for Wiley purchased titles using Rapido. Due to Alma’s technical limitation, we need to add an ILL code to the internal description of E-collections that allow ILL, which cannot be done in our current setup. Therefore, we plan to separate Wiley UBCM trials and purchased titles into two different E-collections.

We request an enhancement to Alma to include more fields for ILL codes, ideally at the…

  19. Create a way of marking borrowing requests visually for Staff Attention

Sometimes we receive borrowing requests that need special staff attention when the item is received or returned. Examples include:

    • When the other library is sending an invoice inside the item we are receiving

    • When the other library requests special handling in the use of the loaned item

    • When an item needs to be returned in special packaging or with insurance

    • When an item needs to be returned with accompanying IFLA vouchers

    • When an item has loose pieces which need to be checked for upon receipt or before return

    • When the item received in a request did not come from the…

  20. Print each volume’s individual barcode on its hold slip “Resource Request Slip Letter”

When receiving a multivolume set on a single Rapido request, each volume gets its own individual temporary barcode. However, when printing hold slips (“Resource Request Slip Letter”), each volume’s hold slip prints with the barcode of the first volume that’s scanned into the request. This is a problem because libraries place their barcodes in different places on the book, so inevitably our circulation student staff will use the barcode on the hold slip to check out the book that they just took off the hold shelf instead of hunting for the barcode on the book. Why wouldn’t they? The slip…
