1. Expand more fields to input ILL code for book chapter lending

   We currently use autoholding for Wiley UBCM trials and purchased titles in a single E-collection, "Wiley Online Library - Autoholding Books." This workflow worked well until our Library implemented ebook chapter inter-library loan (ILL) for Wiley purchased titles using Rapido. Due to Alma’s technical limitation, we need to add an ILL code to the internal description of E-collections that allow ILL, which cannot be done in our current setup. Therefore, we plan to separate Wiley UBCM trials and purchased titles into two different E-collections.

   We request an enhancement to Alma to include more fields for ILL codes, ideally at the portfolio or service level, in addition to the internal description of E-collections. Please consider to expand the flexibility to allow more fields to input ILL CODE for book chapter lending.

2. Create a way of marking borrowing requests visually for Staff Attention

   Sometimes we receive borrowing requests that need special staff attention when the item is received or returned. Examples include:

   • When the other library is sending an invoice inside the item we are receiving

   • When the other library requests special handling in the use of the loaned item

   • When an item needs to be returned in special packaging or with insurance

   • When an item needs to be returned with accompanying IFLA vouchers

   • When an item has loose pieces which need to be checked for upon receipt or before return

   • When the item received in a request did not come from the active partner

   Student workers process most of our physical resource sharing items, and currently we don’t have an easy and reliable way for the students to see that these items need to be brought to staff attention rather than be processed normally. Our systems librarian has created a Chrome extension which highlights the request row and adds “Note: check with staff when returning” in big letters when we add the label return_attention to the request, but it doesn’t always work, can be broken by updates to either Alma or Chrome without us noticing, and requires our student workers to always use Chrome instead of their preferred browser (spoiler alert: they don’t). It also doesn't cover the times when we need students to check with us upon receiving an item, as it wasn't originally designed for that. We would like to see an official Clarivate way for requests requiring staff attention to be really, really hard to miss so we can ensure that our partners’ materials are treated in the manner they expect when the items are loaned to us. 3. Print each volume’s individual barcode on its hold slip “Resource Request Slip Letter”

   When receiving a multivolume set on a single Rapido request, each volume gets its own individual temporary barcode. However, when printing hold slips (“Resource Request Slip Letter”), each volume’s hold slip prints with the barcode of the first volume that’s scanned into the request. This is a problem because libraries place their barcodes in different places on the book, so inevitably our circulation student staff will use the barcode on the hold slip to check out the book that they just took off the hold shelf instead of hunting for the barcode on the book. Why wouldn’t they? The slip should match the book! If the barcode on the slip doesn’t match the book, only one volume gets checked out when really the entire set should have been checked out. If our ILL student workers also use the hold slip when putting the book on the hold shelf, the remaining volumes can’t even be checked out at the circulation desk because they’re still in transit, not on the hold shelf proper.

   The temporary barcodes given to each individual barcode in Rapido already exist in Alma. We know this because if one searches Requests for the barcode in Alma, it is possible to print the correct barcode on the hold slip for each volume. This workaround takes additional staff time to search for each volume, and involves either changing one’s “automatically print slip” settings when processing multivolume sets or deleting hold slips with duplicate barcodes that one does not actually want to print. There is no reason why we should have to do this; the system should be able to just print the correct barcode on each hold slip to begin with.

4. Show original source of GTI records

   Our patrons can find some pretty unique items through the GTI records in Primo, especially as more libraries place archival records in their catalogs. However, they expect to be able to request these items via interlibrary loan, and without any way to tell whose catalog the record originated from we are having trouble finding items which are listed in the GTI but not listed in OCLC’s Worldcat. We would like the original source of GTI records to be accessible to resource sharing staff on the backend. If there are more than three sources for a given record, only three can be listed. That way, we can contact the owning libraries of these materials about gaining access to the material for our patrons without having to guess whose collection they might have come from.

5. Support file exchange via Odyssey

   While we are able to send and receive files with other Alma, Rapido, and RapidILL libraries via RapidX, the resource sharing world is much larger than these three systems. While ExLibris talks about supporting interoperability, we are not yet able to receive files using the file sharing method dominant among our peers, even though its platform is open source. Odyssey is a major player in the library secure file exchange world, and while we stress to our partners that they need to send non-returnables to us via other methods, often folks forget, deliver via Odyssey, and assume the request is filled. As the borrowing library, we don’t notice these files haven’t come through until an unreasonable amount of time has passed and we check in with the other library. Meanwhile, our patrons could have had these files the whole time - and in some cases, by the time we catch it, it’s past the patron’s deadline. Please build in the ability to receive files via Odyssey when using ISO to communicate with other libraries through Alma Resource Sharing & Rapido.

6. Book strap generation

   Hello,
   We manually create book bands that go around the front cover of our incoming borrowed Rapido books. The strap has information like, due date, pick up location, etc. It would be great if Rapido had an option to generate a book strap with custom fields that can be enabled depending on what information each library likes on their book strap.

7. Improve "Number of requests for same resource" mediation rule

   Rapido mediation rules currently provide institutions a parameter that allows them to mediate the number of requests for the same resource within a given time period. Two comma-separated values are required: the number of requests and the number of months.

   The problem with this is that there is no "greater than" functionality for the first parameter. Setting the first value to 2, for example, will cause only the second request for the same item to trigger the rule. Requests 3, 4, 5, and so on will not be mediated.

   Ex Libris believes this parameter to have an "acquisitions" purpose. There's a built-in assumption that a library will purchase a resource once the mediation rule has been triggered. Libraries don't have unlimited funds to purchase every requested resource; however, and ExL's suggestion to set additional rules for the third fourth, fifth, etc. requests simply isn't feasible.

   I suggest that the components of this parameter be broken apart, with separate parameters for number of requests and number of months. In addition, a greater than operator should be added to the number of requests, so that mediation can occur without setting up multiple rules.

8. Daily per user limit on Rapido borrowing requests

   Rapido mediation rules currently allow institutions to set the maximum number of requests per user within a certain number of months.

   An additional improvement would be to expand the mediation rules to allow institutions a maximum number of requests per user per day(s). This functionality would support the workflows of departments with limited staff to process the needs of a larger user population.

   Current functionality is insufficient or overly cumbersome. For instance, copyright rules allow institutions to set a maximum number of requests per user for a specific resource, but this only resets at the start of each calendar year. Additionally, the Active Resource Sharing Requests Limit in the Borrow Requests Terms of Use would require more particular configuration for use with specific fulfillment rules and considers all active requests, not the number of requests that staff may be expected to process within a shorter period of time.

11. Attempt to balance loaning and borrowing within a pod

    We recently joined, and then 3 months later withdrew from, the US Pod. We were lending twice as many books as we were borrowing, and since it's reciprocal, it was a net cost for us when you include the shipping costs. We would want to join again, if there was a load balancing function that reprioritized lenders based on who was a net lender vs a net borrower. It would not need to be perfectly equal; maybe a quarterly review and adjustment. The current load balancing as I understand it only balances per day, which was not working for us. Thanks for considering.

12. Note to partner between RapidILL partners

    When delivery documents electronically, we would like to send notes to and through RapidILL partners. Currently, we can send a Note to Rapido partners. It would be very useful if this works between RapidILL partners to communicate some information to them when we deliver PDF files to them. Now we can see "Note to partner" but the borrower doesn't receive the lender information.

13. Allow us to show or hide the physical or digital aspects of the Blank ILL form

    Currently, the Blank ILL form can only be displayed in an all-or-nothing fashion. Much like the Rapido tiles, please allow us to show or hide the physical and/or digital aspects of the Blank ILL form separately. For example, during campus closures, we would like to be able to suspend all physical requesting via the Blank ILL form, but continue to allow digital requests.

14. Add functionality to print receive slips for Pickup Anywhere requests at the pickup location

    Add existing Rapido functionality to Pickup Anywhere requests. When receiving Rapido items for pickup by our patrons at our library, a receive slip prints (we also call this the "holdshelf slip"). This slip has the patron's name printed on the edge for easy filing on our holdshelf.

    When receiving Rapido Pickup Anywhere items for pickup at our library (by other libraries' patrons), a receive slip does not print. We have to look in Alma for the patron's name and hand-write a slip for the holdshelf.

    We would love to see consistent functionality for Pickup Anywhere requests.

15. Auto‑Associate Article Records with the Correct Print Journal Issue in Primo/Rapido

    Problem

    When a patron discovers an article in Primo that is held only in print, the request workflow forces the user to manually choose a “Print volume” from a long list of volumes/issues. Patrons frequently select the wrong volume or issue because the mapping between the article’s metadata and the print holdings is not clear. This results in incorrect requests, delays, and additional staff mediation.
    Desired Functionality
    Primo/Rapido should automatically match an article’s citation metadata (volume, issue, year, month, pages) to the correct physical journal issue in Alma and pre‑populate the request accordingly—avoiding manual volume selection.
    If multiple possible matches exist, the system should provide a small filtered list of the most likely issues instead of the entire holdings run.

    Benefits

    • Eliminates frequent mismatches between the requested journal issue and the issue where the article actually appears.
    • Reduces staff time spent correcting or rerouting requests.
    • Improves fulfillment speed and patron experience.
    • Increases accuracy when holdings span many decades or include bound volumes, supplements, or ambiguous enumeration.

    Use Case

    A patron finds an article via Primo, clicks Request, and is required to select a volume from a long list. Without clear enumeration, the patron often chooses incorrectly. If Primo could automatically resolve the citation to the correct physical issue, the request would be accurate the first time.

18. Adjust a lost item fee to the Lenders cost

    Summary:
    Currently, when staff members need to adjust a fine or fee (for example, to correct the replacement cost of a lost item), the process requires deleting the existing fee and creating a new one. This creates a significant issue: the newly created fee is not correctly linked to the associated item record.

    Problem Description:
    When a patron reports a lost or overdue item and is unable to locate it, staff adjust the charge to the cost from the lending library. However, because the system does not support direct modification of existing fees, staff must delete the original fee and manually create a new one.
    As a result, the new fee is detached from the original item record. If the patron later finds and returns the item, the fee remains on their account because it is no longer properly tied to the barcode or item record.

    Proposed Enhancement:
    Enable staff to directly modify existing fines and fees within the system, maintaining their link to the associated item record. This will ensure:

    Accurate and efficient fee adjustments.

    Proper linkage between fees and item records.

    Automatic removal of replacement fees if the item is later returned.

    Benefits:

    Reduces staff workload and manual errors.

    Improves patron account accuracy and satisfaction.

    Preserves system integrity by keeping all records properly connected.

19. Allow library to fully edit their member name

    Alma requires you to use the institution name in your resource sharing shipping information. For libraries that share an instance of Alma with another college or university this creates confusion for partner libraries during processing because the first name in the institution name is not necessarily the name of where an item is going.

    Example:
    Borrowing library: College A
    Institution name: University of B and College A
    Shipping address:
    University of B and College A - College A
    123 main
    town, state, 00000

    Allowing libraries to fully customize their resource sharing member name (or fully customize their shipping information) will fix this problem.

    Alma requires you to use the institution name in your resource sharing shipping information. 20. Hide Pod Terms

    Issue:

    Since going live on Rapido in 2022 I have consistently received requests from staff and librarians asking for more control over the appearance of pod terms on the Rapido tiles. The bold parts of the tile are not editable at all and have created many patron complaints when the terms are not met because either A) the first library in the pod request order is unable to fill the book for some reason or B) the book is delayed due to shipping issues or staffing issues. These complaints are why this is a consistent issue brought up by librarians or staff.

    Proposed Solution:

    While the pod terms themselves are great for libraries to adhere to, it would be helpful if they weren't so visible to patrons. I propose being able to toggle them on or off in Primo, so the terms still manage the pod but are not visible to the patron. This will remove the issue when pod terms change or expectations are not met.
