  1. Save emails to and from Patrons for Requests

When we “Send query to requestor” as we Manage Purchase Requests in Alma, it would help greatly if our communication “query” would be saved under a communications tab for that request. This would create a history of actions related to that request. Currently, I can only put notes into the “requestor note” field of the request, and there is no other record of queries sent to the requestor for that request unless I copy the query to myself. Connecting email messages in my box to the Purchase requests in Alma, is…

  2. Toggle cancelled borrowing requests in a "terminated" status

Borrowing request can be cancelled by staff or by patrons. This happens fairly frequently.

Now the problem is that cancelled borrowing requests stay "active". This creates a lot of noise in the list of active borrowing requests. RS staff has begun to delete the cancelled borrowing requests in order for them to only see the really active ones. This of course has a consequence on Analytics. I am unable to know how many borrowing requests were cancelled because they don't exist any more.

So ideally, cancelled borrowing requests would keep their cancelled status, but have…

  3. On-shelf requests for specific user groups

We have limited human resource for picking up the items for on-shelf requests. Therefore, we hope this service is only available for patrons in need, for example, disabled patrons or distinguished professors/researchers.

Therefore, we need Alma to support “specific user groups’ to “request for on-shelf items”, and “pick up in different library/campus only”. It would also be nice if we can limit the number of on-shelf requests in a period of time.

This will definitely help librarians to provide precise service efficiently!

  4. Allow patron to create "Alias" that prints to Ful Hold Shelf Request Slip Letter

When item that has a request is returned at the circulation desk, a Ful Hold Shelf Request Slip Letter is printed. There is a Patron name on the Print.
There should be a possibility for a Patron to choose an "Alias" (Name or Number) that would be printed to the Letter.

This could be an Address -field that patron can update in Primo. Then it would be printed to the slip letter.

  5. [Alma] - ILL Resource Sharing - allow pickup location other than RS Library for Physical non-returnable requests

Right now Borrowing Request type "Physical non-returnable", which is the one used for document delivery (tipycally a printed copy of an article), allows to choose only the Resource Sharing Library as Pickup Location.

This is a problem, since a user is instead willing to choose the library where the printed copy should be delivered. This is particularly useful when libraries are geographically sparse.

Using a temporary item does not help, since in this case we don't have an item that must be returned (and shipped back to the lender, as it is in the ILL of a book). The user…

    Completed  ·  Dana Moshkovits responded

New Customer Parameter “Primo_VE_photocopy_other_pickup” handles locking the Pickup location field when selecting Photocopy on ILL Primo VE form. Enabling the Customer Parameter will allow choosing location, while disabling it will preserve the current behavior of locking the file to Resource Sharing Library.

  6. separate work orders from patron requests

On the results from a physical titles search, each title shows the number of requests pending for that title. This number includes both patron physical item requests and internal work orders. In order to see what requests fall into which category, you have to click on the Requests link and wait for the information to load in the slider pane (this can take some time if the number of requests is large). Then you can filter by request/process type.
It would be useful for these two categories of requests to be separated from…

  7. Add "Send Query to Patron" option to Digitization requests menu

Currently there is not option to ask the patron about a current Digitization request. These requests are often submitted with little or vague information and a way to contact the patron for clarification is needed. The "Send Query to Patron" option for this purpose is included under "the ellipses" for Resource Sharing requests. Why does it not appear for Digitization?

  8. Add to the Purchase request's "Approve and Order" action an option to select a PO line template.

This idea was submitted on behalf of Alma's Product management team as we would like to understand the need and use cases of the idea's description below - any comment is welcome.

Currently it is possible to save PO line as a template and utilize this template any time a new order is created (using the designated "Load from template") option (see attached image 1).

The suggested idea is to allow users the option to choose a relevant PO line template when approving a purchase request (see attached image 2), this will allow the PO line created from the purchase …

  9. Configuration option to prevent Digitization request when item is on loan.

Issue: Digitization requests are typically needed “ASAP” by our users. When an item is on loan, we don’t want to recall it as it will typically take longer than the requester can wait.
    Current configuration options:
When Configuring Loan Recall Requests and the following is set to “Yes” PHYSICALTODIGITIZATION - Patron digitization request for physical resource, the item will be recalled. When set to “No” the item will not be recalled, instead a hold is placed on the item.

Need: A configuration option for digitization requests that does not recall or place a hold(prevent…

  10. Please add Description field to all three tabs in Patron Services page: Loan tab, Return tab, and Request tab

Currently, there is no Description field in Patron Services page. Library staffs are not able to immediately recognize which issue, volume, or number is loaned, returned, or requested by a patron at a glance in three tabs at this page.

When circulation desk staff help patron to check or see their loans in Loan tab, Description field is not visible.
Or, if a patron requests different issues under the same title at a time, when he/she comes to circulation desk and wants to pick up his/her requested items, library staff will need to spend more steps to…

  11. RS Borrowing Requests - search by 'Old value' 'External ID'

'External ID' identifying reference numbers, are not fixed in Alma Resource Sharing. They can be overwritten by third parties, e.g. The British Library, RapidILL, and once overwritten, the previous External ID cannot be used to search for the request. However, the former identifier still appears in the 'History' tab of the request under 'Old value', so they are still somehow attached to the record. It would be great, then, if Ex Libris could enable search by 'History' or 'Old Value', so that if the number has been changed by a third party, we can still easily locate it with…

  12. All items loan and hold requests history

In aleph circulation, items tab, we had an option to see all items history of loans and hold request.
In alma we have to go into each item - action - edit - history, in order to see loan history and there is no option to see the hold requests history. We suggest adding column in the list of items screen with the number of loans / requests or adding a tab in each item with the summary of loans of all items. Although we can retrieve the data thru analytics, not all the librarian can access…

In the Other Details tab of physical title and all title search results, the following new loan statistics are available:
    Number of loans
    Number of in house use
    Year-to-date loans
    Last in house use date
    Last Loan Date

For more information please see Alma December Release notes

  13. Ability to Configure Borrowing Requests Status in Primo

The status of borrowing requests is displayed in the user's account (MyLibrary) in Primo. The statuses are not very user-friendly as they are the Alma statuses that are meant for staff. For example, "Locate failed" is quite disturbing for a user to see when checking the status of their resource sharing borrowing request.

We have been told that these values are in a hidden table in Alma and cannot be translated. We would like to be able to configure this table, or be able to map these statuses in a better way.

  14. Additional POL type options for purchase requests

Currently, when creating a POL in response to a Purchase Request, the available POL type options are limited to 'physical book' or 'electronic book'. However, we also receive purchase requests for other resources, such as DVDs, CDs, musical scores, etc.

We would like to have more PO Line type options to select from when ordering a requested item.

  15. No automatic cancelling of request when changing item location (or a more useful error message).

When we change location for an item we always get an error message that says that the change can lead to requests being cancelled (if there are any). But since it always shows, even when there are no request (which is most of the time in our experience), it is easy to ignore.
We would like to be able to choose if a request should be cancelled or not, even if the new location shouldn’t allow requests for the user.
Another possibility is that that the error message only shows when it is relevant and there actually are …

  16. Requests in queue - notice to patrons

When you have more request for an item than you have items, the new requests are automatically queued, but the requester do not get any message about this, and unless they check their Oria account they have no way to find out when they can expect to receive their item.

We propose a function that automatically sends email to patrons if their requests have been queued. This must include their position in the queue.

  17. Default of "partial" for Digitization Request Form

We primarily get digitization requests for book chapters or journal articles. We would like to have the option to set the Digitization Request Form so that it by default opens with the "partial" box checked. this would simplify requests for patrons and make the workflow less inefficient due to "bad" requests.

  18. Request data should be fowarded to available item immediately

The patron A requests on title-level that there are multiple available items,
one of those items will be in "pick from shelf" list.
Patron B might check out the requested item before staff picks it from shelf.
If the library has a policy that allows to override requests, Patron B can check it out
even if an alert is displayed.
In that case, even if there are other availble items, the request will remain under the first item
and the first item will still in "pick from shelf" list. Alma does not make a next action.

  19. 【NACSIS-CAT/ILL Cloud App】We would like to request that prefix matching search, similar to WebUIP, be implemented in the Cloud App as well.

Unlike Western books, Japanese titles are not displayed word by word, so prefix matching search is frequently used.
Therefore, it would be very helpful if prefix matching search could be enabled, as it is in WebUIP.

The following three prefix matches are possible in WebUIP but not in the Cloud App. Could you please adjust the system to enable prefix matching search?
    (1) Cloud App “NACSIS-CAT/ILL” > Catalog > Book Bibliography
    (2) Cloud App “NACSIS-CAT/ILL” > Catalog > Journal Bibliography
    (3) Cloud App “NACSIS-CAT/ILL” > Catalog > Uniform Title Authority

    Thank you in advance.

  20. Rename topmost Cancel button on Resource Request Monitoring screen

When the Resource Request Monitoring screen has been reached by clicking on a request in a persistent search result, the user is presented with multiple invitations to “Cancel”:

    • One next to the Edit and the “…” buttons for each request,
    • One on a button further up the screen, above the Export List and Manage Column Display icons.

This can be misleading for staff, especially those less experienced, as it infers that two options called the same thing would perform the same task if either were clicked upon. The Cancel button furthest up the screen, however, does of course serve…
