1. Enable renewal of interlibrary loans via My Library Account

   It is confusing to users that they can renew some items on loan to them via My Library Account, but not inter-library loans. We would like a configurable Renew option available for inter-library loans in My Library Account. If a user clicked this option, the request for renewal from the user would populate a tasklist in Alma for resource sharing staff to action. If staff proceed to request a renewal from the lending partner, the workflow should connect so that the response and the updated due date flows back through to My Library Account. Currently all renewal requests for interlibrary loans from users have to be done via email. We would prefer to bring this workflow into Alma and connect it up to the workflow for requesting renewals from partners.

2. Analytics for count of resource sharing requests made via Course Reserves citations

   We'd like to be able to see analytics data for resource sharing requests placed via Course Reserves citations. We are told by Support that this is not currently supported, and it was suggested that we create an idea here.

3. Offer same Row Actions List options from the results list on both Scan In Items tabs

   It would be useful to be able to cancel a request and edit items from the results list in the Change Item Information tab of Scan In Items, like you currently can from the Scan In Items tab. It's confusing that both editing items and cancelling requests necessitate a Scan In Item tab change.

4. Alma TPRS - allow direct delivery without showing borrower email address to the lending library.

   Currently the recommended config for TPRS ALMA delivery is to make the use of Alma RS Library email address as the recipient, and library staff then mediate, upload.

   i.e. UNCHECK "Supports ADD Address'.
   Partner > TPRS broker > Parameters > Alternative Delivery Address > Supports ADD Address (uncheck)

   This workflow requires library staff from the borrowing side to pick up the article from Library email, then upload the pdf back to the original Borrowing Request to the client (using Alma Letter with Amazon server controlled delivery -i.e. x number of downloads within x number of days).

   We would hope lending library can deliver an article directly to the borrowing library’s patron, without borrowing Library’s mediation.

   However tests shows that if "Supports ADD Address' is checked, patron's email from the borrowing side - is exposed to the lending library xml datasheet.

   We are hoping if this can be hidden from view (yet exists in fact), then the lending library can deliver an article directly to the borrowing library’s patron, without borrowing Library’s mediation, imitate the workflow of RapidILL. #08094193

5. Auto update to Resource Locate Status

   When we purchase a material thought the request from Leganto, after the item is delivered and processed by Library, the Resources Locate Status is still "Resource Located" but not "Check Availability", it is necessary to make the Alma update automatically.

6. Designate location for Restore Temporary Shelved Items job

   We've recently begun investigating Due Back Date functionality and using the Requests - Restore Temporary Shelved Items job to help manage restoring temporarily shelved items more consistently and less manually. Currently, there is no option to designate a specific temporary location for the Requests - Restore Temporary Shelved Items job to pull from, so All items in a temporary location with a due back date in the past are processed with this job.

   Due Back dates are assigned to course reserve items placed in a temporary location, resources sharing items in temporary locations, and items in other temporary locations such a new book display or other exhibits.

   Generating restore requests for a specific set of items in a specific location would be very helpful and would facilitate a very automatic workflow for restoring items from our new book (or any other specific temporary location we choose) display to their permanent locations.

7. Alma - direct / static link to rs resource sharing form

   We simply need a link to the rs form we can send via email or put in a web page. This link link should automatically ask for authentication.
   Right now this is possibile only using PDS authentication[1]. Which is however about to be discontinued by the end of the year. We switched to SAML and Alma based integration profiles in Primo, so we can have only the link to RS form as menu link in Primo, but we have no way to have a have a static / direct link.

   The form is usable also in Primo VE, where it does not rely on PDS as a means of authentication.

8. Add SIP2 Bin rule parameter for Fulfillment Notes

   It would be useful if the Alma internal SIP2 Bin rules were a little more granular, i.e. to help pass a different BIN number if there is a Fulfillment Note present.
   Although there are SIP fields which can be used for this at the sorter machine logic level, it would be useful to be able to use Alma's own granular item information to distinguish the sort for requested or transiting items for those with fulfillment notes and those without.
   No doubt other criteria could be asked for but the Fulfillment Note seems to be such a commonality to 'trapping' items that it would be useful to add it in here.

   It would be useful if the Alma internal SIP2 Bin rules were a little more granular, i.e. to help pass a different BIN number if there is a Fulfillment Note present.

9. Alternative work order behavior - Usage should be departmental, not individual

   We would like an alternative to how work orders work now. We want the department (or “agent”) to initiate the request, rather than an individual using their own personal account. So that usage is calculated as “departmental” or work order, rather than the individual.

10. Add Scan in message with "Cancel" option for items currently on loan

    A common mistake when working with "Scan in" is to accidentally scan in the same item twice. When working with home deliveries, this means the first scan in will loan the item out to the patron, while the second scan in will return it again. This alone might be a problem, but it gets even worse when there are requests for the item. The item will either be placed on hold shelf for or even loaned out to the next patron if it was requested for home delivery. In both cases, both the new and the old patron might receive messages telling them about the status change, which means we don't only have to fix the situation in Alma but also communicate the mistake and explain the messages to the patrons.

    There are blocks to prevent items that are lent out to one patron from being lent out directly to another without return first, but since the Scan in workflow does a return first and only then tries to loan the item out, it will not help in this scenario.

    Instead I suggest adding another "Scan in message" with the "Cancel" option to make it possible to abort the scan in. The simplest implementation would be to just warn for any lent out item, letting the operator decide if they should proceed, but that might be problematic for some who use scan in extensively to (intentionally) return books. If so, more complex logic might be required, like triggering only if the item is also requested.

    With this change, there is a second chance of catching the mistake before it makes a mess of the request queue.

11. Ensure invoice lines always appear in the right order on the Purchase Order Lines page of the new UI

    There is a tendency of the new Alma UI to scramble the order in which invoice lines appear on the Purchase Order Lines page. We would like to request a permanent rectification of this.

    Scenario:

    1) Staff member searches for an PO Line.

    2) They click the Edit option for the search result, and from the Purchase Order Lines page which comes up they select the Invoice Lines tab.

    3) The invoice lines are correctly ordered with the latest invoice at the top and the previous payments follow going back in time.

    4) They then click into a different tab with content on the Purchase Order Lines page, e.g. History.

    5) Having finished looking or working in that tab, they click back into the Invoice Lines tab, only to find that the order of the lines has been mixed up, with the newest line never higher than second place in the list and sometimes lower down than that.

    It's time-consuming for staff to have to seek out the correct line from long lists of invoices, and the workflow of having to cycle between Purchase Order Line tabs of a single order in one sitting is a much-used one.

    The correct order of the invoice lines is reinstated if the member of staff hits the Back button and then Edit from the persistent search result once again, or else if they click on the Invoice Date header twice. However, we would prefer it if staff weren’t obliged to have to do that constantly.

    This issue was originally raised in published support case #00494055 (q.v.), but has been changed to Pending Work Plan status for up to two years from 26/12/2017 onwards.

12. Out of Stock Orders - Rialto

    Out of Stock Orders (adding here as per response when posted on Rialto Idea Exchange by Clarivate staff)

    When a Rialto item is not currently in stock it doesn’t reflect on the Order (POL) and the status is Sent. Is there something that could be done so that the Rialto status reflects in Alma’s order status? Otherwise, these orders will continue to have the status ‘Sent’. Potential issue during FY close as these orders will encumber into the next FY. Great if it will be published and/or if only a few orders with this status however not so if not. Would also be great if the other statuses that currently don't map to the Alma POL would. See screenshots 2024 Sept Rialto Out of Stock & 2024 Sept POL Sent.

    This also impacts PrimoVE and end users. If a library catalogue shows on order items, the end user will see On Order with the past order date, unless it is manually removed from the POL's Expected Receipt field, a field which is autopopulated when the Rialto order placed in Alma. 13. Ability to put Mailto links in electronic portfolios within a collection.

    We have vendors that have lots of individual titles that are associated with different products. We create electronic collections and add the portfolios. Users must email the provider to request an ID. While you can add a URL, you cannot add a mailto link in the general electronic service.

14. Sort option required for Vendor Account in Vendor Details > Invoice tab

    When navigating to a Vendor record and clicking on the Invoice tab, it's immediately apparent that one can sort several columns in ascending/descending alphabetic or numeric order:

    • Invoice
    • Date
    • Creation From
    • Creation Date
    • Last Updated Date
    • # of Lines
    • Total Price

    The one column that seems to be missing the up/down arrows that would facilitate sorting is Vendor Account. Why is this?

    We'd like to request that sorting is applied to this column as well. Staff find it odd to have to download all invoices into a spreadsheet and then sort according to this criterion, but not have to do so for any other.

15. Lost in Transit Items Alert

    I would love it if we could get an alert sent to the task list widget for staff in charge of fulfillment when an item has been in transit too long ("too long" as defined by the institution could be set somewhere in config settings). This would then alert the staff member to check shelves, and if not found on local shelves, contact the other institution to ask them to check theirs. If the staff member alerted wanted someone else to follow up on things, they could assign it to another user.

    Right now, staff must remember to check the "monitor requests & item processes" area of Alma, then limit to "in transit" to see what is oldest on the list, see whether that transit time looks reasonable/unreasonable, and then follow up locally and/or with the institution the item was sent from.

    Voyager used to have a "lost in transit" report that served a similar function that we could set to run on a regular basis, but having am automated task alert would be helpful is seeing potential lost in transit situations followed up on in a timely manner.

16. Optional Campus Restriction on Personal Delivery

    PROBLEM:
    If an institution has multiple libraries and campuses and provides hand delivery of items to faculty offices, when a faculty patron requests personal delivery of an item from another library the item will be routed to the closest circ desk that support campus delivery, even if that circ desk is located miles away from the faculty patron's office.

    PROPOSED FUNCTIONALITY:
    As a fulfillment manager, I want to be able to configure Alma so that the personal delivery option can be restricted to the user's campus, so that items requested from another library will be routed to the circ desk that handles personal delivery for that patron.

    PROPOSED APPROACH:
    We are already using a TOU to limit which type of patrons can request personal delivery. In the existing TOU form, there is a drop down box to limit Pickup Location to patron's campus. Currently, this has no effect on where the item is sent in the scenario described. I recommend changing the logic so that selecting this option in the TOU form forces items requested for personal delivery to route to the main circ desk at the patron's campus. See image.

    I recently submitted support case 06855456 asking whether there is a way to support campus delivery on two different campuses. Here is part of the response:

    Personal delivery in Alma is partly determined by an algorithm. Once a third library is the holder of the item, the routing of it is beholden to the request algorithm, and it is built to find the shortest route to get the item to a desk that supports personal delivery. Because there's no Pickup Location, there's no way for the algorithm to accommodate for campus. To the algorithm, any desk that can deliver the item is good enough, so it will pick the closest.

    In order for the personal delivery algorithm to consider campus, the next step is to pursue this as an enhancement.

    PROBLEM:
    If an institution has multiple libraries and campuses and provides hand delivery of items to faculty offices, when a faculty patron requests personal delivery of an item from another library the item will be routed to the closest circ desk that support campus delivery, even if that circ desk is located miles away from the faculty patron's office.

    PROPOSED FUNCTIONALITY:

17. Borrowing receival - adjusting hold shelf letter

    Automatic update of letters sent after receipt of an ILL (Borrowing Requests > Receive), the FulPlaceOnHoldShelfLetter for all kinds of requests, when using (one of) the following two fields:
    - Entered request cost
    - Reading room only

    If these fields are filled in/checked, it would be ideal if the letter contains an extra sentence about costs and/or consultation options (no loan, reading room only). Now we have to send a separate mail about this.

18. Add the translations of library name, location name and so on into Analytics

    For facilitating the Analytics Report with local language, request adding the translation of library name, location name and so on into Analytics. Current workaround, which is uploading external data into Data Visualization, cannot fit the situation which has the name changes quite often. According to the customer, 86THU changes these names very often.

19. Enhance SUSHI admin job reports with additional details for troubleshooting purposes

    Are there plans for ExLibris to bulk up the details provided in the admin jobs reports for executed SUSHI requests? The admin reports currently lack any meaningful details that will help with re-formatting/ troubleshooting usage report errors. Manual usage report uploads that fail will list the errors and give the specific columns/ rows that were problematic but the admin job reports provides don't include this information. Instead you have to contact ExLibris Support with the relevant process ID number to get that information which is cumbersome and time-consuming.

20. Batch modification of fulfillment unit service information

    We need to update some or all of our location fulfillment Unit of all of our library.
    Unfortunately, the Update Location API does not support bulk updates for multiple locations in a single request. Each API call is limited to a single location code.
    We'd like to be able to make batch changes to our libraries' reader service units.
