1. Add "Scan In Items" functions to "Return Items" processing

   We would like to build "Scan In Items" features to the "Return Items" function, i.e. "Return Items" should be able to process requests, expired holds, and items in transit between locations the same way as "Scan In Items" does. This includes the radio button for automatically printing slips (configuration should be able to define a default)

2. Allow the contents of MARC subfield 041 $$h to be considered for Search Index Mapping

   The MARC 21 Bibliographic Tag to Search Index Mapping table (https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/010Alma_Online_Help_(English)/040Resource_Management/040Metadata_Management/180Search_Indexes/050MARC_21_Search_Indexes) confirms that the contents of 041 subfields $$a, $$b, $$d, $$e, $$f, $$g, $$j, plus those of the 008 field positions 35-37, map to an advanced search of the Language (Title) index in Alma.

   The contents of 041 subfield $$h ("language code of original"), however, do not. This discriminates against those works which are translated from an original language into the one stipulated in 041 $$a subfield.

   There are plenty of titles in our stock where information regarding the language of the original material is no less important than the information regarding the language into which it has been translated (I'm thinking especially about texts in ancient language and/or non-Roman scripts); and experience of handling supplier and publisher MARC records confirms that 041 $$h subfields (which aren't mapped) are applied far more frequently and assiduously to records than 240 $$l subfields (which are mapped, albeit to Title and Uniform Title).

   It is appreciated that adding $$h to the Language (Title) index may not be what every customer wants, as that would lose the distinction between, say, titles in Swedish and titles that were translated to English from original Swedish.

   That being the case, could it at least be possible for ExLibris to introduce an additional advanced search index option - called "Language of Translation" or similar - whose contents are drawn solely from 041 $$h subfields wheresover they exist?

3. Physical PO line creation - allow the interested user defined on the PO line to place a title level request when the PO line is created

   This idea was submitted by Ex Libris to evaluate the need for the enhancement specified below:

   Today, when a physical PO line has an interested uset, a hold request is not created on the bibliographic title until the book is scanned in at a circulation desk (Item is received).
   Customer rely on being able to see all requests on a title from the moment it is purchased. This is because they want both users and staff to be able to see the whole physical request queue from the moment a book is purchased, currently it creates uncertainties about who is in the queue. A user might not be the first in a queue even though there is no other requests on the title. As a workaround, users create the PO line and search for the title to create a title level request, this is a click heavy process.

   The need is to allow institutions to define a parameter which will create a title level request on the time of the PO line creation with an interested user.

   This idea was submitted by Ex Libris to evaluate the need for the enhancement specified below:

   As we understand it, there are only two ways for a linked account's expiration date to be refreshed/synchronized with the user's primary account in their home IZ:

   1. Requesting an item from the IZ with that linked account

   2. Staff at the lending institution go to Manage Patron Services, Find user in other institution, enter the user's identifier, and then find user

   We think that the Alma experience would be improved by triggering this refresh process by a renewal attempt, by having an ability to run and schedule a job that refreshes these expiration dates on a regular basis, or by some other means.

5. Allow a block to be created as part of the 'change to lost' overdue and lost loan profiles.

   We'd like the ability to create a block when an item is made 'lost' as part of the overdue and lost loan profile schedules.

   At the moment we can only add a block on the overdue notification types, which we do for the last overdue notification we send before it becomes considered lost.

   However, as soon as the item is changed to lost by the profile schedule it removes the block automatically created by the overdue notification profile.

   The advantage of using the profile block is that they are automatically removed if the item is renewed or returned and we can choose a block that does more than just stop loan or renewal as the fines limit does.

   We need a way to stop resource sharing requesting, when a user has very overdue items, which the fines limit is unsuitable for.

   We'd like the ability to create a block when an item is made 'lost' as part of the overdue and lost loan profile schedules.

   At the moment we can only add a block on the overdue notification types, which we do for the last overdue notification we send before it becomes considered lost.

   However, as soon as the item is changed to lost by the profile schedule it removes the block automatically created by the overdue notification profile.

6. Create a way of marking borrowing requests visually for Staff Attention

   Sometimes we receive borrowing requests that need special staff attention when the item is received or returned. Examples include:

   • When the other library is sending an invoice inside the item we are receiving
   • When the other library requests special handling in the use of the loaned item
   • When an item needs to be returned in special packaging or with insurance
   • When an item needs to be returned with accompanying IFLA vouchers
   • When an item has loose pieces which need to be checked for before return
   • When the item received in a request did not come from the active partner

   Student workers process most of our physical resource sharing items, and currently we don’t have an easy and reliable way for the students to see that these items need to be brought to staff attention rather than be processed normally. Our systems librarian has created a Chrome extension which highlights the request row and adds “Note: check with staff when returning” in big letters when we add the label return_attention to the request, but it doesn’t always work, can be broken by updates to either Alma or Chrome without us noticing, and requires our student workers to always use Chrome instead of their preferred browser (spoiler alert: they don’t). We would like to see an official Clarivate way for requests requiring staff attention to be really, really hard to miss so we can ensure that our partners’ materials are treated in the manner they expect when they’re loaned to us.    This is an enhancement request.

   Even when an electronic collection is linked to a bibliographic record in the Additional descriptive information field of the collection record and when an Electronic Collection PO line is linked to the collection, it currently is not possible to get to the PO line when we look up the title as "All titles" and click on the "More info" link. We have to use an Electronic Collection search to get to the title and click on the "More info" link to get to the Electronic Collection PO line.

9. Problems receiving documents from POL (Purchase order Line)

   Since the change to Alma's new visualization, when receiving the document from the order (POL) there are two behaviors that, in our opinion, are regressions:
   - When we mark the check for “Keep in department” Cataloging copy, this check is not marked for future reception. We request that this check be kept marked by default.
   - When the reception date has to be entered, marking a date before the current date on the calendar is not allowed.

   What we are asking for is that, since this improvement that has been presented (display of all data integrated in the POL), when we mark the check for “Keep in the department” Copy cataloging, this check is left marked for a future reception. In addition, it is allowed to put a past reception date. These two features are allowed from Acquisitions > Receive and Invoice > Receive. However, they are not permitted since Alma's improvement of displaying everything integrated in the POL is the most useful, in our opinion.

10. Linking bib records based on 830 $x should be optional

    Alma currently links bib records based on the presence of the ISSN in the 830 $x. This causes a terribly confusing display in Primo and Alma and is prone to messing up requests. This should be an optional "feature" and not automatically enabled. We do have the option to turn off all related records, but if we use that, we lose all our boundwith relations.

    We should not have to delete a valid MARC subfield (830 $x) in order to prevent related holdings record displaying in Alma and Primo.

11. Auto-renew - Maximum renew date in Borrowing Activity Letter

    We have been running auto renew for several months and it is very popular. We do not notify customers that an item has been successfully renewed but do send weekly updates and would lie to include the Maximum Renewal date on these. Although it displays in Primo we have not been able to find a way to include it in Letters and would like to request this functionality is added please

12. Expand 'Bulk Change Due Dates' to disregard expired patrons and include recalled items

    Configuring Alma to deliver an exclusively off-campus service in response to the Coronavirus pandemic included the extension of due dates for us. We were thankful for the 'Bulk Change Due Dates' functionality, which we were able to use to push back the due dates of a majority of items on loan (until 1 June in the first instance for us). We encountered problems though when it came to any items borrowed by patrons whose records were due to expire before that date. The items wouldn't go beyond the patrons' expiry dates, which under normal circumstances would be exactly how we would have Alma work, but in this situation was inconvenient and required us to do a manual workaround. Likewise, the due dates of any items on loan that had been recalled due to policy (e.g. having reached the end of the maximum renewal period) or requests were not extended, so again we had to deal with those separately.

    Recognising that the way Bulk Change Due Dates works currently is suitable for Alma users probably a majority of the time, could tick-box options such as 'Disregard patron record expiry dates' and 'Include recalled items' be added to that screen please?

13. Hold Shelf policy for RS items

    When using Lender Due date for RS items (Fulfillment > General > Other Settings > ignorelenderdue_date = false) the date for Pick up from shelf is the same as the Due date. This is, according to ExLibris, working as intended, but we have a few issues with the workflow.

    This makes the workflow more manual and difficult than needed, given that we have to manually check RS items that is not getting picked up by patron within a couple of weeks. Having the RS items on Hold shelf for up to 4-6 weeks is poor use of time - for the patrons, the book and the library.

    If we could set a Hold shelf expiry date for RS items that is shorter than Due date, it would make it easier for the circulation desk personal to remind patrons that they have a book waiting. This will give the book more time at use with the patron, and less on the hold shelf. It will shorten the waiting time for other patrons, as the book will be returned earlier to the owning library if it is no longer needed by the patron.

    The best would be if this process could be automated, e.g. by TOU policy. (Much like the Hold Shelf Period policy that exist for TOU type Requests.)
    If it’s not possible to populate a Hold expiry date automatically, a data field in the receiving RS items pop-ups would be helpful. (Pictures added.)

    Alma now enables users to configure if the Maximum time on hold shelf (Days) for an item to remain on a hold shelf before being returned to the lending library should be based on the request Due Date or the Circulation Desk Hold Shelf Expiration Time.

    In an institution where we do not use automated renewals, we encounter instances where patron 1 has an item and allowed it to get overdue but it is then recalled. The letter that goes out does not use our configurations to calculate a new due date from the date of the request and it starts to calculate fines immediately. This causes much patron distress as they can't go back into the past to return the item, nor are they informed that there might be a grace period to return the item. Staff then also have to follow up (if they catch it) to waive the fines if the item is returned in the grace period. All of the stress and follow up work could be avoided if this could be configured. Ex Libris (through a support case) indicates that this is currently not possible.

    The API for resource sharing is currently not considering coverage when checking for local inventory, which means that all resource sharing requests for an owned title will be rejected by the API unless the override parameter is set to true. Resource sharing requests for articles not available due to embargos or limited coverage will thus be rejected by the API. Using the override parameter on the other hand, resource sharing requests for available material will be accepted. This is less than ideal.

16. Ability to Relink Holdings of In Process Items

    I would like the ability to relink holdings for items that are in process. When preparing a new item in Alma, sometimes I need to relink a holding to a different bib record. Currently, Alma does not allow this unless the item is in place and gives the error message “The item is not in place and there are requests registered for this item. Please handle the requests before {0} this item.” I would like to attach the holdings to the correct bib record before putting the item in place. It would be helpful if Alma allowed relinking to occur earlier in the workflow.

    As of Alma December release you can re-link holdings to a different bib, even if there are some item requests on this bib.

17. Add library code to Resource Sharing Shipping Slip Letter

    With Rapido, our smaller libraries are receiving more courier requests from all over the country, and they don't have all of these library codes memorized. The library codes are not available on the Resource Sharing Shipping Slip Letter, but are used by our courier service provider as an identifier for shipping to correctly route the documents. Currently, the code must be looked up by hand if you do not know it. Therefore, we would like to print the library codes on the Resource Sharing Shipping Slip Letter. However, this field is not included in the letter data (XML/XSL). We ask that this field be made available in the letter templates. It would greatly facilitate the work of our colleagues if this does not have to be looked up by hand.

18. Add address parameters to update/notify user job

    We are a library in an institution that has one library but several locations/physical campuses. The students order material in Primo, and we send material from the library to the students by post (internal system) to their location.

    The issue is that our SIS (Student information system) does not seperate the students by locaton, and does not offer any indication to where the stuydent is located in the user profile import to Alma. As it is, we have no possibility to see whether a student is located at the same campus as the library or at one of the others.

    By using information from other systems we make users sets, and give them their own User group, with priviliges like ordering request delivered to work address.

    With this we need to add an "work"/school address to all students at the other campuses.

    At the moment we have to do this manually, as the Update/notify user job does not offer a parameter for adding an address.

    Could it be added to the job an parameter to add Work address?

19. RS-Enable shipped items to remain managed with their original TOU in order to allow requests to be done with the TOU of the permanent loc.

    In some cases, requests for items under a Resource Sharing library are cancelled as their terms of use are not taken from their permanent locations. It should be possible to have shipped items remain managed by their original TOU in order to allow requests to be done with the TOU of the permanent location.

20. Placing requests through ALMA for items in stock

    When a borrower has forgotten their ID card and asks us to keep books for them, in the past we have issued these to the Holds Trolley, so that we know where they are, until such time as the borrower returns. However, we want to convert these into official requests, so that they are time limited; cannot be requested by anyone else in the meantime; and no student can request more items than their limit, thus denying other people the use of those books. To make this an easy process, is it possible to enable the ‘Scan in items’ function to create a list of items that are in stock and to allow the whole list to be placed on request for one borrower in one process? At the moment, ‘Scan in items’ is set up as ‘Work order type’ but could this or the subsequent status include ‘Physical item request’? When looking at an individual item’s record, the ‘Work orders/requests are lumped together in the ‘More info’ pop-up, which suggests that they are somehow linked.

    Another option would be to allow such a list of requests to be placed from the borrower’s account, using the ‘Submit request’ button but that it was set up in such a way that you could create a whole list of items as Physical item requests, rather than having to go through the process for each individual item, which is tedious.
