  1. Create a job to send a notification letter to users when their expiry date is near so they can request to renew their library user account

The option to notify users whose accounts have or will expire of their options for renewing their library user account would help us to stay engaged with users whose library user account will expire soon (or has recently expired). Users who want to continue using their library account can renew it prior to the expiry date, thus reducing any barriers to accessing their account and using library materials.

A notification letter could be created to support this type of messaging. It would be great if a job could be scheduled to send to users whose expiry date is upcoming. It…

  2. Establish system to ensure complete coverage of LC classifications

Alma Analytics includes LC Classification code data, but frequently valid classification codes come up as "Unknown." Ex Libris currently has no reliable way of keeping up with changes in LC classification. They rely upon the "Library of Congress Classification Outline", which is not complete. They will add classifications upon customer request, though this process takes months or years and puts significant burden upon institutions. Ex Libris should develop a system to reliably update its LC classification coverage. This could take the form of e.g. establishing its own access to Classification Web, subscribing to LC updates, and/or setting up some…

  3. Lead time for booking requests

We use the Reading Room functionality for our Rare Books and Special Collections items. These items are not on open shelves and are securely stored with access only available to staff to retrieve items. Currently there is no way to specify a lead time between making the booking and the start time of booking (ie. you can make a booking for an item at 10am, with a booking start time of 11am that same day). Staffing levels, item availability and item condition can sometimes mean that items are not available for use immediately (if at all), which creates problems for…

  4. Allow configuration of the default destination location for item move requests

Currently, when creating an item move request (temporary or permanent) in Alma, the Destination Location field is pre-populated with a default location. This default value cannot be changed or cleared by configuration.

We request an enhancement that would allow institutions to control this behavior - specifically, the option to leave the Destination Location field blank by default. This would require staff to actively select the appropriate destination location from the dropdown list, reducing the risk of accidental or incorrect moves.

This behavior would align item move requests more closely with patron physical requests, where required fields are not…

  5. List of Home Delivery Request to print labels and inform courier company

We manage a big number of home delivery requests. Alma does not allow you to create a list of loans of home delivery to print labels and send the list to the courier company.

The only way to do it is the day after by Analytics or developing a custom solution using webhooks and users API, to have it the same day.

It is necessary to make a list of patrons name, address, zip code, city, telephone and email address to print labels and create a csv file to be imported to the courier company software.

    We can't wait a day to…

  6. Internal Identifier number included on Resource Sharing letters

We want to be able to add a requests Internal Identifier number to the Resource Sharing Shipping Slip letter & the Resource Sharing Receive Slip letters, as a way to clearly and consistently identify a request. Because the external ID can change over the life of a request, we will often refer to the internal ID instead. It's useful to have this on the shipping and receive slips because 1. If the partner or patron needs to communicate with us they can quote the ID number, and 2. this paperwork often remains with the item when it…

  7. Ability to report on Note (5XX) fields - bibliographic details folder/dimension

We request that the Bibliographic Details dimension in Alma Analytics have an entry added for Notes, wherever the Subject Area has "Bibliographic Details" presented. This Notes attribute should include all 5XX fields and subfields in the bib record. The data should use a separator (e.g., ;) to identify the information from different and repeated 5XX fields. This is useful information for libraries for reporting purposes.

  8. Payment of requests in Resource Sharing

It would be great to have the facility to assign a fund code and encumbrance against resource sharing requests in the same way you do in acquisitions . Then when you receive your invoice from the supplier the amount charged/paid could then be reflected as a negative encumbrance against the assigned fund code.

  9. quick cataloging

    Quick Cataloging

Since Resources>>Create Inventory>>Add Physical Item has been adapted for use in scenarios where additional cataloging is neither required nor desired (e.g. brief bibs for equipment), it would be nice to include a tick box (similar to the Suppress from Discovery) to indicate that additional cataloging is required. When the box is checked, a work order will be triggered for additional cataloging and the pick from shelf request will be created. When the box is not checked, the record and item will be created with no work order or request. Additionally, it might be nice to have a…

  10. Position sensitive NRs (Normalization Rules) - ISBD punctuation

ISBD punctuation is determined by the following subfield.
    For example:
In 245 the subfield preceding $$b must end in one of the following:
    1. space + colon
    2. space + semicolon
    3. space + Arabic semicolon (if your cataloging language is Arabic)
    4. space + equal sign

The NR syntax currently does not offer any straightforward solution for correcting ISBD punctuation.

We request the development of an NR function that will suffix the subfield with a string based on the subfield that follows it, including the case in which a subfield is the last one.

    I think it would be…

Alma now supports XSL normalization rules, expanding its capabilities beyond the existing DROOLS support. This addition enables more advanced and intricate data normalization. This request can be addressed using the new XSL normalization rules. For detailed information on using XSL normalization rules, please refer to the May 2025 release notes available at: https://knowledge.exlibrisgroup.com/Alma/Release_Notes/2025/Alma_2025_Release_Notes

  11. Work Orders: package of required enhancements

Work orders are useful but often cumbersome and don't work as required. A package of enhancements/fixes would make them much more useful and useable:

    • Adding notes when creating work orders in bulk. This would enable having fewer work order types as explanatory notes could be used instead.
    • Makes notes more (immediately) visible when scanning in (pop up message?). Again would enable fewer work order types as items could be easily catergorised according to explanatory note upon receipt at managing department.
    • Select recall/not recall at work order placement (like pick from shelf), not baked into type (and in…

Thank you for sharing your idea and for the strong support it has received from others.

After reviewing the proposal, I’ve found that it currently lacks the level of specificity we need in order to move forward effectively. While the concept is clearly resonating with many, we require more specific context, use cases, or technical requirements to properly evaluate and implement it.

Given these constraints, I’m afraid I won’t be able to take this idea on . That said, if you’re able to refine it further or provide more clarity around the intended outcomes, I’d be happy to revisit it in the future

  12. Monitor Requests & Item Processes screen: show item Storage Location ID and Description

Monitor Requests & Item Processes screen: show item Storage Location ID and Description

In the Monitor Requests & Item Processes screen it would be extremely useful to show the item Storage Location ID and the Description. And / Or to have item Storage Location ID and Description available in the excel export of this screen.

  13. Trials : when a participant reopens a survey form, the replys already submitted should display

At the moment, when a participant reopens a survey form he already submitted, all the answers are empty.
If he fills in again the survey form, at the end, when submitting his answers the second time, a warning message displays (do you want to submit again ?)
We consider that this warning is too late in the workflow.

So our request is : when a trial participant has filled in a survey form, if he reopens the same survey form later, this one should display the answers already submitted.

  14. See the same information in Monitor Requests & Item Process menu that is seen in Borrowing Requests menu

It would be helpful to see the same information in the different places a staff member might check to see the status of a patron request. In the attached document, you'll see that there is much more useful information in the borrowing requests menu, including the preferred pickup location which is a critical detail. Can we have the same info display in both?

  15. IZ Level Opt-Out of Embedding the Knowledge Center's AI Assistant in Alma

    Background:
The August 2025 Alma release embedded the Knowledge Center's AI Assistant in Alma. There is currently a way for an individual user to hide the Knowledge Assistant but there is not a way for admin users to opt-out their institution if the Knowledge Assistant is not an appropriate tool for their institution.

    Request:
Add a new Customer Parameter which allows institution zone admins to opt-out of the Knowledge Center's AI Assistant so it is disabled for all users in Alma.

Alternative option: Create a Knowledge Assistant role and only users with the role have the Knowledge Assistant embedded…

    Dear Community,

Due to the plans to move to a new knowledge center platform, the AI Knowledge Assistant will be removed entirely from Alma by May 2026 Release, thus, this idea is no longer relevant and is being closed.

    Thanks,

  16. Allow institutions to export and import all configurations from Alma

Ex Libris has the new policy of forcing a refresh of the sandbox for all customers on the premium sandbox twice a year. This presents a significant challenge for institutions that use the sandbox actively, because it means that before every refresh, we have to go through the largely manual process of exporting all configurations out of the sandbox so we can keep record of them. Then if we want to recreate the old configurations, we have to do this manually.

Ex Libris offers no way to export or import these configurations in bulk. This policy change reduces the value…

  17. Job for copying the configuration from the production environment into the Standard Sandbox

Making testing and training in an Alma Standard Sandbox based on Ex Libris provided configuration is very difficult since this configuration may be very different from the one in the customer's production environment.

Currently Ex Libris is offering two types of Sandboxes for Alma:
    (1) "Standard" - by default included in Alma subscription pricing. This sandbox contains Ex Libris provided data and configuration
    (2) "Premium" – for addition subscription fee – this sandbox includes a full copy of the customer's data and configuration

Refresh of the Alma sandbox environment is possible up to once a quarter, upon request. In…

  18. Alert RS staff when Shipping a Lending Item that has also been requested by a library

When there are two requests for a book: one for the RS library and the other for our patron, the RS library is able to ship the item with no limitation and the patron's request is cancelled!! The ides is for the RS staff to be alerted that the book is requested when they ship it, and to answer the question "Do you still want to Ship?" Yes/No? We have also sent a case about this and were told that changing the Pickup Location to "Pickup Anwhere" would prevent the cancellation, however, this is problematic as we do…

  19. Allow a NR to run with the PTC job

    TL;DR:
We would like to have the ability to run a normalization rule whenever the PTC modifies a record.

    Background:
In November 2024 Ex-Libris added a new functionality to the PTC job:
MARC 21 Preferred Term Correction Can Flip Headings with Cross-Reference in Different Field
    https://knowledge.exlibrisgroup.com/Alma/Release_Notes/2024/Alma_2024_Release_Notes?mon=202411

    Problem:
The PTC job only changes the first indicator correctly when the PTC job changes a field into 630.
in all other cases, the existing indicators remain.
We opened a case and spoke directly with Ex-Libris, but were told that the PTC job runs as intended, and that not handling the indicators is not…

  20. Ability to customise email subject heading in Alma letters using letter data

As library staff we would like the ability to customise the email subject heading of Alma letters using letter data so that we can flag something up to a customer/use in their email inbox.

For example, we've recently customised our On Hold Shelf Letter using XSL to have different content when a customer is picking up a Resource Sharing request as we ask customers to collect these from our Customer Services desk whereas other requests are placed on a self service hold shelf in the library.
We were able to customise the letter using XSL, but could not find…
