1. Alma - Standardize Cross-Field Validation Across Configuration Dialogs

   Request:
   Implement dynamic dependency handling within Alma "Add Row" dialog boxes to support Proactive Error Prevention.

   The interface should only present users with valid input field combinations, ensuring that logically impossible configurations cannot be constructed.

   While this request originated from a ticket regarding the Exclude Process Types from Publishing dialog, it identifies a broader need for platform-wide consistency in how Alma handles field relationships.

   Functional Gap:
   Currently, the "Exclude Process Types from Publishing" dialog treats [Process Type] and [In Process Type] as independent fields.

   • The Problem: Users can construct combinations that the system knows are invalid.

   • The Result: The user only discovers the error after attempting to save, leading to repetitive data entry and administrative frustration.

   • The Solution: The [In Process Type] field should be disabled or hidden unless [Process Type] is set to “In Process.”

   Case for Consistency:
   Development has noted that proactive validation in similar mapping tables (e.g., Exclude Libraries and Locations) was a specific implementation for Primo. However, from a user perspective, when dialog interactions vary unpredictably, it creates:

   • increased cognitive load on staff
   • slower task execution
   • training overhead
   • avoidable support tickets and escalation
   • reduced confidence in system predictability.

   Standardizing cross-field validation across the platform would align the Publishing workflow with other high-functioning Alma areas, such as:

   • Exclude Libraries and Locations from Available on Shelf Facet: Dropdown options change based on the selected Library.
   • Restricted Search Groups: Parameters change based on the selected Name.
   • Search Profiles: Scope fields appear/disappear based on Scope Type.
   • Opening Hours: Available fields shift dynamically based on Record Type.

   Validation should be applied consistently wherever field relationships exist across the platform.

2. Alma to automatically process pending requests when recalls are switched back on

   During Easter and Christmas vacation we turn off recalls in Alma, so requests are still placed by the user but recalls are not made. After the vacation, we turn recalls back on however Alma does not 'catch up/update' the pending requests into a recall.

   We would like Alma to therefore be able to process those requests in pending and turn them into recalls once the recalls have been switched back on.

3. Allow lending RS locate process to fail if it cannot determine which volume from a multi-volume set is being requested

   Currently, Alma's lending locate process will automatically select a single volume from a multi-volume set if it can't determine which specific volume is being requested in a title level lending reqeust. It often selects the incorrect volume, and that error is rarely caught before the incorrect volume arrives at the borrowing library. It would be very helpful if the lending locate process failed in these scenarios rather. That would give library staff the opportunity to manually review the reqeust and select the correct volume.

4. Publishing to OCLC: Enrich LHRs Using OCN Instead of MMS ID for Unchanged/Deleted Holdings

   OCLC processes incoming Local Holding Records (LHRs) by applying a 'replace all' mechanism. If WorldCat has three holding records for an OCN and the library sends just one holding record, WorldCat will replace the three existing holdings with the single incoming holding.    Currently, Alma's LHR publishing job for OCLC takes this into account by enriching the publishing of modified holdings with unmodified/deleted holdings that belong to the same bibliographic record. According to the Alma documentation: "Note also that when a holdings record is updated, it is republished together with all the holdings records linked to the bibliographic record, including the deleted holdings."    However, this enrichment does not sufficiently meet our institution’s needs, as we have valid cases of multiple bibliographic records sharing the same OCN.* For example, when a holding record from bibliographic record A, which shares the OCN with bibliographic record B, will be published to WorldCat, WorldCat will delete all holdings related to bibliographic record B. This occurs because the current enrichment mechanism is based on the MMS ID. While all unmodified/deleted holdings for bibliographic record A are included in the LHR publishing, those of bibliographic record B are excluded.

   In order to prevent the undesired deletion of holdings records in WorldCat, Alma's enrichment mechanism of modified holdings records with unmodified/deleted holdings records would have to be based on the OCN rather than the MMS ID.

   We raised a ticket with Ex Libris about this issue (#07691519), and product management advised us to submit this enhancement request to NERS or the Idea Exchange.

   We would greatly appreciate it if Ex Libris could add an option to base the enrichment of unmodified/deleted holding records on the OCN rather than the MMS ID.

   (*) The reason behind this issue is that our cataloging practices differ from those of WorldCat. For example, we maintain separate bibliographic records for hardcovers and paperbacks, while OCLC/WorldCat merges them. 5. Ability to assign fulfillment proxy to existing users

   We recently tested the fulfillment proxy feature as we have a few departmental workflows we have been using shared internal accounts for. We find the functionality to be the inverse of what we would like to see. For example, we have about 10 users who place RS requests for the law review. We would like to add the fulfillment proxy to these existing user rather than making them new internal accounts.

6. Add additional error code to Renew loan API when an item has been renewed but the due date hasn't changed

   The Users / Renew Loan API (https://developers.exlibrisgroup.com/alma/apis/users/POST/gwPcGly021r0XQMGAttqcPPFoLNxBoEZNUiGwQUr+MuAI+35dTBcVUmYayAq/vUq/0aa8d36f-53d6-48ff-8996-485b90b103e4) currently only returns two errors - "Loan ID XXX does not exist." or "Cannot renew loan: Loan ID XXX." This API should return an additional status of "renewed, but due date didn't change" when that applies to the item in question. This would allow our locally developed catalog, which uses the Alma APIs for requesting items, to provide more complete information on why certain requests fail.

7. Allow the libraries that appear in the preferred pickup institution dropdown for AFN resource sahring requests to be customizable

   When you're submitting a hold request in an AFN, the libraries that appear in the preferred pickup institution are based on your Institutions Relations table, so it's possible to remove certain libraries in the AFN from that dropdown. Unfortunately, that isn't possible for resource sharing requests. Every single library in the AFN appears in the preferred pickup institution dropdown regardless of how the Institutions Relations table is configured. We would like the preferred pickup institution dropdown for resource sharing requests to be customizable in the same manner as the preferred pickup institution dropdown for hold requests.

   Background:
   We want to enable a user with Physical Inventory Operator role to run the job of “Change Physical Items”. According to Alma doc, following roles can run the job:
   * Repository Manager,
   * Repository Administrator,
   * Physical Inventory Operator
   However, despite Repository Manager and Repository Administrator can run the job, Physical Inventory Operator does not have the option run any job. Besides, we only want the user to run the job of “Change Physical Items” but no others.
   Request:
   * Fix the incorrect right settings on Physical Inventory Operator. Let them have the right to run the job of “Change Physical Items”.
   * Add the feature to allow a user to have only one specific privilege, such as running the job of “Change Physical Items” but no other jobs.

   Background:
   We want to enable a user with Physical Inventory Operator role to run the job of “Change Physical Items”. According to Alma doc, following roles can run the job:

   * Repository Administrator,

9. Digitization Slips to automatically print

   We would like for the digitization slips to automatically print upon scan in of an item (like the slips print for Hold requests).

   At the moment it can be manually printed but we would like an opt in to automatically print.

   Our workflow is:

   Item placed on pick list, collected from shelf.
   Item Scan In
   If a hold, slip printed
   If a digitization, no slip, even if automatic print is ticked yes.

   As we have a number of sections within the library using the workflow, it is easier to print the slip and have all details on it rather than going into Alma to find the relevant information.

10. Consider only the opening days and hours when calculating the transit time

    The Transit Time Rule for Physical Item Requests calculates the transit time in calendar days.
    As a result, days and times when the library is closed are also indicated as estimated delivery times for the requested media.
    These times are also displayed in Primo and thus give users incorrect information.
    Would it be possible to consider only the opening days and hours of the libraries when calculating the transit time?

11. Auto-assigning barcodes to a set of physical records in Alma

    Currently there is no way to auto-assign barcodes to a set of physical items in Alma in order to retrieve in-house usage statistics for non-circulating material. We were informed this is possible for new items at the Acquisitions stage but not currently possible for existing material in Alma. We are requesting a new job to be run in Alma or via an import profile to auto-generate barcodes to a set off physical items in Alma for in house statistical purposes.

12. Create a scan in message when a call number is inadvertently changed using change item information

    Add a Scan in message when an items call number has been changed through Scan in items> Change item information, when the call number field has been left blank.

    This could be an optional message enabled through "Scan In Messages Configuration" where you could select either none, pop up message or feedback message.

13. When a hold expires, have them display in the task list

    In the same way that requests show in the task list, it would be helpful that when the hold is expired that it will also show in the task list. People would see on their desktop if an item needs to be shelved or returned to a campus library, instead of remember to check the Expire Hold shelf.

14. Make Order Status field available in the Interested In Letter XSL

    We would like additional Purchase Order fields added to the XSL available for the ‘Interested In Letter’ please, specifically the Order Status field. This will enable us to use conditional statements in the letter template so that certain blocks of text can be included or hidden depending on a given field. We take that approach already with other Alma letters. For example, in the ‘On Hold Shelf Letter’ template, we use <xsl:if> statements to draw on the Pickup Location available in the XSL and display different guidance to recipients depending on the location from which they are collecting a request.

    The ‘Interested In Letter’ is triggered by any change of Order Status. Currently, not being able to change the contents of the letter in relation to status means that the wording has to be so generic that it isn’t helpful to our Interested Users.

    If the Order Status field were available as part of the ‘Interested In Letter’ XSL, we could include <xsl:if> elements in the ‘Interested In Letter template to send different text out to Interested Users depending on the Order Status. This would make the email more relevant for each person who receives it.

15. Create formatting for easily readable printing/PDF of Reading Lists and Pick from shelf lists

    Our reserves team would greatly benefit from having a printable or downloadable PDF option of a full reading list. Currently, you can export the list to an excel sheet, but this is not easily readable or convenient for printing/otherwise storing data from past semester's requests. Additionally, it would be excellent if a similar option were available in Pick from Shelf. To pull items now, we need a printed sheet for each book, which is wasteful and redundant. If there were a single function to print the book info on a full list of needed items, it would save a lot of time for our patron services staff.

16. Add number of resource sharing requests to physical items subject area

    When analyzing an item's usage, we would like to account for both local loans and resource sharing lending requests. Both are available in the Titles subject area, but the physical items subject area allows us to apply additional limits, such as item location and receiving date, that we cannot use in a titles report.

19. Export to Excel directly from Job Report

    I'm requesting exporting to Excel from Job Report.

    Currently when I run a Shelf Report I have to do many steps to export to Excel.
    I have to click on the report then click on analysis to expand results.
    Once expanded I have to click on each result (1-5) and select "Preview items" from the actions button.
    After doing all that I to export the list to Excel I have to select export "Excel (all fields)".

    If there was an Option to export or download to excel directly from Job Report, similar to "Barcodes with no matched item", that would cut many steps.

20. Holds on behalf of patron

    We would like staff operators (perhaps with certain roles) to be able to place holds on behalf of patrons regardless of TOU settings.

    Additional information: we don’t allow our undergraduate user group to place holds on items that are currently available in our local collection, just on items that are checked out. In the testing I’ve been doing, configuring that TOU option also prevents staff from placing a hold on an available item on their behalf.

    To remedy this we’ve allowed undergraduate students to place holds in the TOU but hid the hold request service on the Discovery Display Logic. Because the service is hidden, undergraduates can’t place holds on any item.

    Is there a way for us to prevent undergraduate students from placing holds on available items but still allowing staff to place a hold on their behalf?
