  1. Lending Ship item physically check item barcode matches title

When staff use "Ship Item Physically" from an individual request, there is no check that the item barcode entered into the Ship form matches the item barcode for the title. Staff can accidentally scan a barcode for a different request.

Because the item barcode is already in use, the other request can't be Shipped.

Adding a General setting to check that the item barcode matches the located title would help prevent workflow errors.

  2. Historical Requests in the Resource Request Monitor : search by call number

In the Resource Request Monitor, we cannot search by item barcode.

It's easier for us to search an item by its call number as by barcode.

Is it possible to add this option in the drop down menu?

    Thanks,
    Charlotte.

  3. Clone Requests

We have a need to easily copy requests, especially booking requests. For example, our media library frequently needs to book the same item for the same faculty member multiple times. A faculty member may be teaching 3 sections of the same course, on Monday, Tuesday and Thursday. The library staff member would like to make a single request on Monday, and copy the request for Tuesday and Thursday easily, or add multiple dates/times to the same booking request.

  4. Add support to scan in item screen to allow requests to be satisfied by items in hand

We would like to be able to directly deal with requests in the queue via way of the scan in item screen in Alma. Currently if you scan in an item to satisfy a request, and it's not part of the requesting pool then you cannot satisfy the request - even if the request is for something simple like partial digitization, and you have the item in hand. You also cannot currently satisfy requests in the queue which aren't at the head of the queue - ie ready to process at position 0.

    The idea would…

  5. Borrowing requests: comment (from Primo) should not be transferred to request note field but to the Note field

The content of the comment (from Primo) was transferred to the "Request Note" field (=Request Attributes).
We didn't want that to happen.
The content should go into the "Note" field (=Resource Information).

  6. Automatically populate Material Type and Terms of use dropdowns in request forms

In the physical request form in Primo it is common for there to be a single value in the Material Type and Terms of Use dropdowns. It is common for users to click on these dropdowns to see what the options are only to find there is only a single value to choose from.

When there is only a single value to choose from it would be nice if The Material Type and Terms of Use fields were displayed to the user as not editable and with no dropdown displayed. This would save the user having to click into the…

  7. Increase the 10MB email attachment limit for digitization requests

Currently the limit for email attachments when filling digitization requests is 10MB. We would like institutions to be able to choose their own limit that suits their own institutional email policies (e.g. Otago's attachment limit on their email server is 30MB). Other institutions may wish to have a lower limit so it should be possible to set a limit that is appropriate up to a maximum value that can be supported by the Alma email infrastructure. Our staff frequently bump into the 10MB limit which leads to them cancelling digitization requests in Alma and then manually emailing the…

As stated in the comment for this idea, we understand the need to have a file uploaded in various sizes so we will handle this as part of the “ship digitally” option as an alternative to the actual attachment of the file.
“Ship digitally” will send a link to the email recipient which will enable them to download the attachment. see more information here: https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/010Alma_Online_Help_(English)/030Fulfillment/040Resource_Requests/070Digitization_Processing#Attaching_Digitized_Items_to_Be_Sent_to_a_Patron

Although you specified that your request relates to file attachments, our proposed solution is to increase the file sizes of those attachments which are sent via a link. Here is the idea exchange which relates to this:

  8. Add warning for active title-level-requests when relinking or deleting holding records or items

When relinking holdings and items to new bib records or deleting holdings or items, requests can get lost. This is the case if they are on the titel level instead of on the item level.
    (Cf. https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/010Alma_Online_Help_(English)/Physical_Resource_Management/015_Managing_Physical_Resources#Relinking_Items_to_Another_Bibliographic_Record)

Staff with the role Cataloger Extended or similar roles which allow for relinking and deleting of records, holdings, and items, would benefit from a warning that an active request is present on the title level (e.g. a pop-up) before a holding record or item is relinked or deleted.

  9. Prevent hold requests for users not eligible for Resource Sharing from being converted into Resource Sharing requests

When you convert a hold request into a resource sharing request, Alma does not check the resource sharing library's borrowing resource sharing fulfillment unit rules to make sure the user is allowed to submit resource sharing requests. This makes it possible to create resource sharing requests for users who do not have resource sharing privileges. When converting a hold request into a resource sharing request, Alma should check the check the borrowing resource sharing fulfillment unit rules. If the user is not allowed to submit resource sharing requests, a warning message should appear.

  10. Add Block for Resource Sharing Shipping from Scan-In Items

Alma allows an institution to set rsallowactionsonscan_in to false. When a staff person tries to Receive or Ship a resource sharing request from Scan-In, the staff person sees a pop-up message advising them to use Alma Receiving or Shipping.

When Scan-in Items is used on a lending request that should be shipped, a pop up message displays that “Shipping is required to be done from the dedicated screen, Are you sure you want to continue?” There is a “Cancel” or “Confirm” option. If the staff person chooses “Confirm” and scans the item barcode again then another…

  11. Enhance Convert to Resource Sharing function on Pick From Shelf List

When you don't find a requested item at your institution, it is great to be able to 'convert it to a resource sharing request' -- however that function should mark the item missing from our institution. Since pick from shelf does NOT display barcode and once we select the item to be converted to resource sharing request, it disappears from the pick from shelf list, so it is very difficult and time consuming to find the item and toggle it to missing. Also, the resource sharing request might be canceled because the item at our institution shows…

  12. Purchase Request Form: Add URL text field for electronic resource material types

Requestors need to be able to enter a reference or primary access URL to new electronic resource requests. The absence of this field is one reason we have to depend on an external spreadsheet to manage new orders.

  13. Records in 'Find and Manage Users' should appear while editing borrowing requests

When editing Request Attribute in Resource Sharing Borrowing Requests, there is a 'select from a list' button next to the Requester field. Upon clicking the button, however, 'No records were found' message comes up. Therefore, in order to find and manage users matching the value, it is necessary to run another search within the 'Find and Manage Users' window. We believe that it will be a lot more time-efficient for ILL staffs if the user records appear right away upon clicking the 'select from a list.'

  14. Add block action for patron digitization requests in User Block Definitions

The configurable blocked actions for user blocks in Alma are:
    01 – loan
    02 – loan, renew
    03 – loan, renew, hold

It is therefore possible to configure that blocked users are not allowed to place requests at all.

We propose a distinction between the different request types in blocked actions.

Blocked users should be able to place hold requests, as it can be checked at the latest at the time of loaning whether there is a block, and users then have to take care of the unblocking (e.g. by paying fees) in order to be able to…

  15. Requester's Expiration date and ***** status - to add to the requester's pop-up box

When processing RS borrowing requests it would be useful to know a Requester’s Expiration Date and their ***** status without checking their account. I would like to suggest that these two pieces of information are added to a Requester’s pop-up box at the RS borrowing request.

We'd like to retrieve a full list (with breakdown of all Work Order Type, including withdrawn, display, missing, not for circulation items…etc) of physical records by Material Type, Word Order Type & Process Type via Analytics. However, only part of records can be retrieved currently after combining Process Type & Work Order Type together. After consulting Salesforce, it is confirmed Analytics do not support to combine these fields together in a single report. It's crucial to enable combining these fields in a report as library always need to review the figures of each Work Order Type & Process Type, not…

  17. Make a Reserve Request type in Alma

Make a Reserve request type in Alma. That way the paging slip would flag it at the top in bold that it was an item to be processed for reserve. As it is now, we have to put reserve information in the notes section which is tiny font and hard for staff to see.

  18. Request for Populating "Item Location" in Network Activity Loan List

I am writing regarding the blank column in the Network Activity section.

For institutions within a fulfillment network, loans belonging to another institution are visible in the Network Activity section. However, in the Loans list, the "Item Location" column is blank.

If the “Item Location” column were also populated with the correct values, it would be much easier to manage differences in return policies that are dependent on the item's location.

In addition, patrons sometimes claim to have already returned the item.
If the "Item Location" column is displayed correctly, it will be able to ask the owning library to…

  19. Calculation of due date for recalled lending requests should be consistent with fulfillment loan recalls.

When setting recall period on a fulfillment loan to "No recall due date", the original due date is kept, while renewal of the recalled loan is blocked.

For some reason, a different logic is applied to lending requests. Setting "No recall due date" as the recall period policy for lending requests, results in the due date being set to the date of the recall. The result is unpredictability for the borrower.

We propose that that these two very similar workflows are better alligned and that setting "no recall period" for recall should result in no change to the…

    The lender’s recall options are:

    • Not to recall requested items. This can be done by removing the recall option from the relevant workflow profile.
    • To recall requested items. The new due date will be set as per the recall due date policy.

In either case, a the borrower request to extend the loan of an item that has been requested by a patron on the lender side will be rejected.

The only functional implication of recalling without change in due date is the notification to the borrower that the item may no longer be renewed (which is the case anyhow). Do note that a lender’s item may be nonrenewable for any lender internal reason that the borrower may not be aware of.

The complexity of built-in configuration support for this option (i.e. not via the mentioned workaround) is probably beyond the functional benefit.

  20. Keep patron physical requests active even if “deliver to” relationships are temporarily interrupted

Our consortia has several libraries connected through “deliver to” relationships, allowing patrons to request and pick up physical items from different sites.

Currently, when these relationships are interrupted — for example, due to maintenance, or temporary closures — all related patron requests are automatically cancelled, and patrons receive cancellation notifications. That makes them angry.

We would like Alma to preserve these requests in an active or pending state during such interruptions, so they can be fulfilled automatically once the relationship is restored, without requiring patrons to place new requests.

This would improve the user experience and reduce…
