1. Enhance Convert to Resource Sharing function on Pick From Shelf List

   When you don't find a requested item at your institution, it is great to be able to 'convert it to a resource sharing request' -- however that function should mark the item missing from our institution. Since pick from shelf does NOT display barcode and once we select the item to be converted to resource sharing request, it disappears from the pick from shelf list, so it is very difficult and time consuming to find the item and toggle it to missing. Also, the resource sharing request might be canceled because the item at our institution shows up as 'item in place' .

2. Add block action for patron digitization requests in User Block Definitions

   The configurable blocked actions for user blocks in Alma are:
   01 – loan
   02 – loan, renew
   03 – loan, renew, hold

   It is therefore possible to configure that blocked users are not allowed to place requests at all.

   We propose a distinction between the different request types in blocked actions.

   Blocked users should be able to place hold requests, as it can be checked at the latest at the time of loaning whether there is a block, and users then have to take care of the unblocking (e.g. by paying fees) in order to be able to loan the item.
   Document delivery, on the other hand, would like to prevent blocked users from placing digitization requests, since there is no check for a block before the scans are delivered and therefore the service can be used permanently without staff and users being notified about the block.

   The configurable blocked actions for user blocks in Alma are:
   01 – loan
   02 – loan, renew
   03 – loan, renew, hold

   It is therefore possible to configure that blocked users are not allowed to place requests at all.

3. Add warning for active title-level-requests when relinking or deleting holding records or items

   When relinking holdings and items to new bib records or deleting holdings or items, requests can get lost. This is the case if they are on the titel level instead of on the item level.

   Staff with the role Cataloger Extended or similar roles which allow for relinking and deleting of records, holdings, and items, would benefit from a warning that an active request is present on the title level (e.g. a pop-up) before a holding record or item is relinked or deleted.

4. Request for Populating "Item Location" in Network Activity Loan List

   I am writing regarding the blank column in the Network Activity section.

   For institutions within a fulfillment network, loans belonging to another institution are visible in the Network Activity section. However, in the Loans list, the "Item Location" column is blank.

   If the “Item Location” column were also populated with the correct values, it would be much easier to manage differences in return policies that are dependent on the item's location.

   In addition, patrons sometimes claim to have already returned the item.
   If the "Item Location" column is displayed correctly, it will be able to ask the owning library to check the shelf in the most efficient way.

5. Purchase Request Form: Add URL text field for electronic resource material types

   Requestors need to be able to enter a reference or primary access URL to new electronic resource requests. The absence of this field is one reason we have to depend on an external spreadsheet to manage new orders.

6. Requester's Expiration date and ***** status - to add to the requester's pop-up box

   When processing RS borrowing requests it would be useful to know a Requester’s Expiration Date and their ***** status without checking their account. I would like to suggest that these two pieces of information are added to a Requester’s pop-up box at the RS borrowing request.

   The expiration date and blocks of the users can now be displayed in the pop up box.
   Such as other fields in the pop up, they are visible when enabling them in the ContactInformationPopup mapping table.

7. Calculation of due date for recalled lending requests should be consistent with fulfillment loan recalls.

   When setting recall period on a fulfillment loan to "No recall due date", the original due date is kept, while renewal of the recalled loan is blocked.

   For some reason, a different logic is applied to lending requests. Setting "No recall due date" as the recall period policy for lending requests, results in the due date being set to the date of the recall. The result is unpredictability for the borrower.

   We propose that that these two very similar workflows are better alligned and that setting "no recall period" for recall should result in no change to the due date on a recalled lending request.

   The lender’s recall options are:

   • Not to recall requested items. This can be done by removing the recall option from the relevant workflow profile.

   • To recall requested items. The new due date will be set as per the recall due date policy.

   In either case, a the borrower request to extend the loan of an item that has been requested by a patron on the lender side will be rejected.

   The only functional implication of recalling without change in due date is the notification to the borrower that the item may no longer be renewed (which is the case anyhow). Do note that a lender’s item may be nonrenewable for any lender internal reason that the borrower may not be aware of.

   The complexity of built-in configuration support for this option (i.e. not via the mentioned workaround) is probably beyond the functional benefit.

   On the Pick-Up Requested Resources page, if the Skip Location action is available (the request can be fulfilled by at least one other location that the request has not been previously assigned to), a Manual Skip Location action now displays in addition to the Skip Location action

10. Include the same details in an Acquisitions Placed HOLD as for a Patron Request placed through the repository search

    Currently, we cannot use the checkbox to hold an item for an interested user in the PO Line to place an item on hold. This is because the information provided when this option is chosen is so much more minimal than what is seen if we put a request on the book from the repository search, that our Fulfillment department often does not expect the hold -- it does not show up when the scan the item in, and it does not indicate who it is for. As a result, items where we use the hold item checkbox from the PO Line are often erroneously shelved in the stacks instead of remaining at the circulation desk for pickup. It would be great if we could use this checkbox, as it would greatly streamline our workflow. However, we cannot do so due to the limited elements of the feature that are currently available.

11. Combining "Request Type", "Work Order Type" & "Process Type" in a single analytics report

    We'd like to retrieve a full list (with breakdown of all Work Order Type, including withdrawn, display, missing, not for circulation items…etc) of physical records by Material Type, Word Order Type & Process Type via Analytics. However, only part of records can be retrieved currently after combining Process Type & Work Order Type together. After consulting Salesforce, it is confirmed Analytics do not support to combine these fields together in a single report. It's crucial to enable combining these fields in a report as library always need to review the figures of each Work Order Type & Process Type, not only Process Type. The two information would help us to review the item status more comprehensively.

12. Improve handling of requests on multiple copies across multiple holdings

    Scenario:
    Multiple patrons place physical item requests on a title that has multiple available copies spread across multiple holdings records in different branches

    Current outcome:
    All the requests get attached to a single holding
    Multiple requests are assigned a queue position of 0
    When a request slip is printed from the pick list all requests with a queue position of 0 are printed (even though there aren't enough copies at that branch to fill all of the printed request slips)
    Once the retrieved item is scanned in and placed on the hold shelf or in transit the remaining requests move to the next available holding and the process repeats

    This approach leads to multiple request slips being printed at branches that can't be filled (so it's wasteful) and delays in requests being filled (because branch 1 needs to process the first request before other requests can be passed on to remaining branches)

    Proposed outcome:
    All available copies across all holdings should be used to fill pending requests (so if there are 3 copies across 3 holdings in 3 different branches and there are 2 requests those requests should be sent to the pick lists in 2 different branches rather than sending all requests to a single branch that only has 1 available copy)

13. Search entry for Resource Sharing Requests must be adjustable

    When working on resource sharing requests lists (lending and borrowing) the first thing to do is selecting another search entry/term, mainly an aspect at the end of the list, to find a special request, because the author ist never the aspect we search for. The list in the pull down menue is hard coded and there is no option to re-order the list as we need it.
    At least we like to achieve that the list starts with the last three search aspects the staff user has used. Alma has to remember them for the logged in staff user similar to the functionality developed for the NUI in connection with other topics (i.e. last location - currently at... or last searches in the persistant search box).
    We need this functionality for Resource Sharing Requests as well.

    Since the search of the list has moved to the upper persistent search bar, the last used search options are saved and can be easily reused. The last used search option is auto selected as default. See attached.

14. Ability to flag a request for further investigation/Make notes visible from request summary

    Currently there is no ability to flag a request for further investigation. This would be useful in both lending and borrowing.

    In lending:
    If an item is being returned and we need to change the call number, if we could flag the item a staff member could look at the notes and make the changes.

    If the item has previously been lost and has been returned. We now need to do further work on the item before it can go back to the shelf. Once again we need to go into the notes to find out what we need to do, who we need to pass the book to etc. Flagging the item would make us look at the notes.

    On these items we can place work orders but it would be more efficient for the item to be stopped before it was returned, rather than wait for the work order to be activated. It would also be an extra step outside of Resource sharing to do a work order.

    In borrowing:
    If a patron wants an item posted, we put this in a note but without a flag to tell us to look there we can miss these notes.
    If a patron needs their document sent to a different email address, we would add this in a note. Again we would miss this if we didn’t have some kind of a flag to indicate that we needed to look at the notes.

    Alternatively if a flag is not possible, could we have the ability to pin/activate a note/s that would make them visible on the front of the request summary. We can add to the request note in borrowing and that will then appear on the summary screen however, this will also be sent to any lending library which would be a privacy issue. There is no ability to do this in lending however.

    Currently there is no ability to flag a request for further investigation. This would be useful in both lending and borrowing.

    In lending:

15. Allow Resource Sharing Request status as displayed in user account to be customizable

    When viewing resource sharing requests in a patrons account the system truncates the request status description. For example status of Ready to be sent is truncated to Ready. Desk staff (not always those who work directly with RS requests) see Ready they assume the item is available for pick up. While we can train staff given the large number of staff and turnover, ensuring everyone knows and retains the information about what those truncated status descriptions mean is a nearly impossible task. We would like to be able to customize the display for our library to use language that makes sense to us.

16. Prioritize requests by location or fulfillment unit

    When a user submits a request at the title level in Primo VE there should be a way to prioritize certain items in a holding by location or fulfilment unit. For example, if a book has copies available in a circulating location, but there are also copies available in a non-circulating collection that is managed by a Reading Room desk, the circulating item should always get priority.

17. Convert to Resource Sharing Request - Needs to be able to work even if an item is in transit to the request.

    Currently we have set up a Scan and Send process. However, dependant on how many staff we have able to digitize items on a given day. We will convert some requests to Resource Sharing. However, it is not possible to do this if an item is already in transit to the request.

    As of July release institutions can convert ‘Hold’ requests to ‘Resource Sharing’ requests if the pick-up location is personal delivery and the resource sharing library supports personal delivery.

    There's an issue we're having where changing the due date of a loan allows the current owner to extend their checkout time, even after a hold request has been placed. We have Alma configured so that it prevents a renewal from occuring, but change due date seems to ignore that function.

19. Historical Requests in the Resource Request Monitor : search by patron barcode

    In the Resource Request Monitor, we cannot search by patron barcode.

    It's easier for us to search a user by his patron barcode as by name. User's name is not a unique identifier.

    Is it possible to add this option in the drop down menu?

    As of November release when searching historical requests in the Resource Request Monitor, it is now possible to search by the patron’s primary identifier within the Identifier search scope

20. Consultation in Alma FF

    There is no easy solution in Alma FF to indicate that an item has been consulted in the library and that it can be reshelved.

    When items are placed on the hold shelf and are briefly consulted in the library, there is no easy way to directly reshelve them in Alma FF. The workarounds are far from ideal and are very labour-intensive when facing a large amount of physical requests: cancel the request (but this is not correct and influences our request statistics) and reshelve via the expired hold shelf, update the expiry date to yesterday (but this requires a lot of clicks) or wait until the item automatically appears on the expired hold shelf and reshelve from there. With this last option there is too much time between the moment of consultation and the moment of reshelving, which makes that items are not available on shelf or for request for a too long time period. It also makes that new features like the hold shelf reminder letter cannot be set up (because patrons could receive a reminder when they already consulted the item).
    Possible solutions are: for an item that is scanned in via ‘return items’ the underlying request will disappear and the item will be reshelved automatically. A button ‘consulted’ (like there is a button ‘cancel’) which immediately reshelves the book when you handle a request is another – less preferable – option.
