1. Allow Dynamic Fields (e.g., Current Date) in the Subject Line of Email

   Hi Team,
   Currently, the Borrowing Activity Letter subject line is controlled entirely by a label provided by Alma, rather than through the XSL template. Because labels only support static text, it is not possible to use dynamic values—such as the current date—in the subject line.
   This creates a limitation for institutions that send periodic Borrowing Activity summaries. Many libraries want to include a date (e.g., "Your Borrowing Summary – March 10 2026") so that patrons can easily distinguish one report from another. However, because Alma does not evaluate XSL or variables in label-based subject fields, dynamic values cannot be used.
   Request:
   Please enhance the Alma Letters framework so that the Borrowing Activity Letter subject line can include dynamic fields, such as {current_date}, or allow the subject to be controlled via XSL (like other letters).

2. Add Location facet to Active Hold Shelf and Expired Hold Shelf screens

   We would like to filter the items listed on the Active Hold Shelf and Expired Hold Shelf screens to show either patron physical item requests or inter-library loans, but that isn't possible at the moment. We use Location to tell the difference between our items and those borrowed from other institutions.

   On the Active Hold Shelf screen, there are no facets at all currently. We would like a Location facet to be added please so that staff who are auditing our requests shelves or inter-library loans shelves would be able to view only the relevant items.

   On the Expired Hold Shelf screen, there are facets already but not one for Location. Could that be added as well please?

3. Limit RS Digital requests to a certain number per day

   It should be possible to limit scan requests to a certain number day.
   Currently, it is only possible to limit to a certain number of active requests (which is confusing for the patrons).

4. Support Full MARC21 Holdings Data Editing in Metadata Editor

   Alma allows direct editing of MARC bibliographic records and partial editing of MARC holdings records (specifically fields 852 and 866). However, a substantial portion of critical MARC21 holdings fields (e.g., 853-855, 863-865, 867-868, 876-878) are exclusively accessible and editable through the "Physical Item Editor" GUI.

   While this graphical user interface provides a straightforward and efficient method for adding and editing simple, single-part items, it becomes a significant impediment for complex serial holdings and multi-part resources. These intricate materials demand the precise, field-level control that only direct interaction with the MARC21 holdings format can provide, rendering the current GUI insufficient for advanced cataloging workflows.

   This limitation creates several challenges:

   • Deviation from Established Standards: The MARC21 Format for Holdings Data is a cornerstone of library holdings management. By restricting full access to these fields within the metadata editor, the system prevents us from fully leveraging and adhering to these critical industry standards. This creates a disconnect between our operational needs and the tools provided.

   • Inefficiency: Cataloging complex items becomes a time-consuming and error-prone process when forced to rely on a less efficient GUI instead of direct MARC editing.

   • Lack of Transparency: We are unable to view how GUI-entered data is structured and represented in the underlying MARC format, hindering essential troubleshooting and data integrity checks.

   • Compromised Data Accuracy: The inability to directly manipulate comprehensive MARC holdings fields increases the risk of inconsistencies and inaccuracies, particularly for items with intricate enumeration and chronology patterns.

   • Impeded Professional Practice: Our catalogers, who are trained in and rely upon MARC21 for precision and control, are hindered by the system's current limitations.

   Proposed Solution/Enhancement Idea:

   We request the full enablement of direct editing for all MARC21 holdings data fields within the system's "metadata editor" (MDE), mirroring the functionality currently available for bibliographic records. This enhancement should allow for the creation, editing, and viewing of all standard MARC21 holdings fields, including:

   • Captions and Pattern (fields 853-855): For defining enumeration and chronology patterns.
   • Enumeration and Chronology (863-865): For detailing specific parts and dates held.
   • Textual Holdings (866-868): To allow for more flexible textual descriptions of holdings.
   • Item Information (876-878): For specific item-level details.

   Our request is to extend full MARC-level editing capability to all fields relevant to the MARC21 Format for Holdings Data standard.

   Justification/Benefits:

   Implementing this enhancement would provide significant benefits:

   • Full Adherence to MARC21 Standards: This enhancement would enable our institution to fully utilize the robust capabilities of the MARC21 Format for Holdings Data, ensuring better interoperability and compliance with established library standards.

   • Improved Cataloging Efficiency: Librarians would be able to catalog complex items more quickly and accurately by directly manipulating MARC fields, reducing reliance on less efficient GUI workflows.

   • Enhanced Data Quality and Consistency: Direct MARC editing allows for greater control over the precision and completeness of holdings data, leading to more reliable and consistent records.

   • Increased Transparency and Control: Users would gain complete visibility into how holdings data is represented in the MARC format, facilitating easier data validation and problem-solving.

   • Streamlined Workflows: Consolidating editing capabilities within a single, powerful metadata editor will create more efficient and intuitive cataloging workflows that respect established library practices.

   We believe this enhancement is crucial for optimizing cataloging operations and maximizing the utility of our library system by aligning it fully with the long-standing and widely adopted MARC21 standards.

5. See user's Institution Id in drop down menu

   Our request concerns the display in the Patron Identification form
   Currently, when searching for a user in Scan Patron's ID or search for patron, a pop-up appears with the name, the group and the Primary identifier displayed for each user.
   We would like the user's Institution ID to be displayed as well.
   Alternatively we would like the admin can choose whether to display the primary identifier or institution id.

6. Allow limits on the number of requests/holds by location

   Currently, the number of requests/holds can only be limited by patron. We've experienced instances where multiple requests are placed for a given item in a short span of time (as many as 5!) Patrons do not necessarily realize that if they're the second, third, or more requestor, they are unlikely to receive an item within a semester. We would prefer to limit the number of active requests/holds for circulatable items, the better to redirect subsequent requestors to ILL. Recommend allowing limits on the number of requests/holds by location.

7. Add ability to sort by due date

   In certain circumstances, such as when working with renewals or overdue books, we are looking specifically for books with certain due dates. However, currently the system does not allow us to sort sets by due date, and this can make the requests we need to work on hard to find. Adding the ability to sort by due date will save staff time and frustration.

8. create a new item status for items "lost on shelves"

   Currently items can be marked as Missing (if not found in the Library), or Lost (if long overdue on user's account). Missing books are regularly checked on, but some of them cannot be tracked within a reasonable time for users, and the search becomes more of an in-house task than fulfilment of an immediate customer need.
   However, it is not possible to distinguish between items marked missing relatively recently and still actively searched for (e.g. because we could not find them immediately when requested by users), and those which were not found after several checks, for a long time, even if we think they should be in the library and we do not want to delete their record.
   For that reason the missing books' list is ever growing, and working with it is frustrating because more often than not colleagues are checking for hundreds of items which are not urgent to find (e.g. users do not need them any more), and which are maybe not important to check on regularly as we could mark them available again as and when they re-surface.
   I would like to see a separate item status for these books to make our work easier, to eliminate the need to put these items in some sort of Work Order as a workaround because those WOs expire and have their own sets of problems, and to improve our customer service by being able to focus on the missing books currently required by our users.
   The new item status could mean an automatic supress from Discovery, would allow us to list these items if we have the need for that, but most importantly, would allow us to treat currently missing (and actively/urgently searched for) items separate from those long-term missing ones

10. User Group fee

    I would like it to be possible for a fee to be added to a user record when a certain user group is selected, eg.Postal Loans. The patrons are not imported with this user type - it is changed when they make the request to receive loans by post. There is currently no functionality that allows a fee to be added automatically when a new User group is manually selected.

12. Allow conditionals and general messages to be sent to and received from ILLiad ISO resource sharing partners

    The SUNY system has started sending resource sharing borrowing requests dircectly to a non-SUNY library's ILLiad via an ISO ILLiad resource sharing partner. Things are going well for the most part, but we're unable to pass general messages to ILLiad, and we're unable to receive conditional messages from ILLiad. Could you please work with Atlas Systems on allowing these messages to be passed between systems?

    While we initially hoped it might align with broader needs, the idea has not gained the traction we typically look for to prioritize development. As a result, it’s unlikely to be pursued in the foreseeable future.

13. Customize secondary search menu under Borrowing/Lending requests

    When searching under Borrowing & Lending requests, the order of the search field options defaults to alphabetical.

    It would be nice to have the ability to customize the order of the search options, so the most used search fields can be placed closer to the top of the list to avoid extra scrolling.

    For example, searching by Title is common, but the option is near the bottom of the menu. Staff need to scroll down to it every time they want to search requests by Title.

    It would be nice to at least be able to identify a favorite search field, so the menu could default to that every time.

15. For calendar entries which have a start date in the past, automatically update the start date to the current date upon edit.

    When you edit a calendar entry, you have to physically change the "Valid from" start date to today if the entry was first entered in the past. If you forget to change the start date to the current date, you trigger an error that reads "Valid from cannot be in the past".

    My enhancement request is:

    For calendar entries which have a start date in the past, automatically update the start date to the current date upon edit.

16. Alert regarding Multiple chapters requested from one item by one patron

    We would like an alert to let us know if a patron has placed multiple requests for chapters from one item. Copyright only allows for 10% or 1 chapter. As we are multicampus, it is hard to keep track of what a patron has requested to avoid breaching copyright.

17. More Options for the "Pick Up Requested Resources" Window

    It would be great to have even mor configuration options for the pick up requested resources window. (See picture below)
    For example wenn picking up SIA norms, we would like to see such fields like the series number field (field 830) so we don't have to search on in the shelve for the exact norm.

18. Income funds for Resource Sharing

    When we set up a fund, we choose a "fund type". We need to choose between "Resource Sharing" and "Income". This means we can setup up Resource Sharing expenditure funds but not Resource Sharing income funds.
    It would be very useful to apply an income fund to Lending Requests in the same way as we apply a resource sharing fund to Borrowing Requests. It would allow us to balance our books correctly.

19. Configuration of “Remote Facility” Library location

    Allow an institution to override a “Remote Facility” library location from being first or last for selection to fulfill a request.
    This should be an option via Configuring Transit Time Rules.
    An alert could be activated to notify the operator that including a “Remote Facility” library location in transit time rules will override its designation as a first or last selection.

    Alma provides materials for “hold shelf” to patron, whose ID has expired, if he requested before his expiration date.
