Improve 'Electronic Resource Activation Task List' Management
The Electronic Resource Activation Task List does not adequately cover the multiple tasks and steps that operators need to complete during the resource's lifecycle. For example, for most electronic resources, there are usually multiple tasks in progress simultaneously (e.g., entering the EZProxy stanza on the server, ensuring admin access to the publisher's site). But because the Electronic Resource Activation Task List allows only one status to be assigned to a resource, there is no way to manage multiple simultaneous tasks nor easily determine what task has already been completed. This results in double handling and inefficient use of managing our…
299 votesDear Alma Community,
I am writing to inform you of a recent change that affects the status of an enhancement you have created or supported in the Idea Exchange.
As part of our ongoing commitment to align our internal development processes and increase roadmap transparency with our community, some Ideas that were previously marked as “Planned” have been reassigned a status of “Accepted”.
The “Accepted” status signifies that the Alma Product Management team recognizes the value of these Ideas and is committed to their development. However, enhancements are not expected to make it onto The Roadmap in the next year.
We believe that this change will ultimately benefit our user community by providing a more realistic and transparent view of Alma development. We appreciate your understanding and patience as we implement this change.
We understand that this change may lead to disappointment or frustration, and we sincerely apologize for any…

Alma overlap analysis tool to include different identifiers in one comparison
We would find it useful if the overlap analysis tool compare a list that includes different identifiers. i.e. ISSN, EISSN, ISBN, EISBN, TITLE in one comparison.
Currently it only allows you to compare overlap within just one identifier. This is very important with collections from vendors that include different kinds of material.
Being able to conduct this kind of overlap analysis is important for us in terms of making purchasing decisions and we feel that including this kind of feature in the overlap analysis tool would make this a more efficient process within Alma.208 votesDear community,
Thank you for the idea. We suggest the following high level solution:
1. In Resources menu > Overlap and Collection Analysis > Compare collection analysis, it will be possible to select multiple match methods, from the existing list of match methods, and the order in which they will be used
2. The match will work as following: Try to match by method #1. If no match was found, try to match by method #2.
3. The report will include information on the matched identifier and its value
4. Similarly, in Resources menu > Overlap and Collection Analysis > Look Up Titles, it will be possible to upload an input file with multiple identifiers columns. The possible identifiers are the existing ones, and columns format will be the same as today. The difference is that it will be possible to place multiple identifier columns, in the order they should be used.
Thaks,
Tamar Fuches

Separate new and deleted portfolios behaviors of "Activate new portfolios associated with service automatically"
"Activate new portfolios associated with service automatically?" has just 2 options (Yes and No), and it doesn't just control what happens when new portfolios are added to the collection; it also controls what happens when portfolios are deleted from the collection. I think there are probably additional use cases besides these as well.
If "Activate new portfolios associated with service automatically?" is set to "Yes":
New portfolios added to CZ collection are automatically activated in IZ
Portfolios deleted from CZ collection are totally deleted from IZIf "Activate new portfolios associated with service automatically?" is set to "No":
New portfolios…200 votesDear community,
This idea is planned to be included in the February 2025 Alma release.
Thank you once again for bringing our attention to this need.

Electronic Material Types - Need for more options.
Unlike the Physical Item Material Types, Electronic Material Types are limited because they are hardcoded. However, the list that is provided by Ex Libris does not give us enough granularity. For instance, at our institution, we have senior theses that are deposited into our institutional repository. However, when you create the portfolio and select the Electronic Material Type there is no option for either “Bachelor’s Thesis” or a generic “Thesis”. Instead, they only provide “Dissertation” or “Master Thesis” there is no option for a Bachelor’s of Senior project. Therefore, we are forced to select Book which is inaccurate.
This would…

Alma Metadata Editor needs a "delete portfolio" option.
When am in the MD Editor, looking at a record for an e-resource, I can "View Inventory" to display the portfolios. From that half of the screen, I can view or edit the portfolios. Within that view or edit, I can click on the "Linking" tab and "Test access". If I find that the link has expired and the portfolio needs to be deleted, I want to be able to delete it at this point. But I have to return to the bib. record, release it, exit the editor, click back as many times as it takes to return to…

Add "Delete or replace URL's SUFFIX" to Job "Change Electronic portfolio information"
Sometimes it is necassary to change or delete the URL in portfolio information for a set of portfolios. It is possible to delete or replace URL's prefix in Electronic Portfolio information, but it is not yet possible to delete or repclace url's suffix .
For us it would be very useful to have both opportunities.100 votesDear community,
The option to edit URL's suffixes in bulk using the 'update portfolio information' job is planned for the upcoming November release.
Thanks

Add ‘Bokbasen’ as a new provider in the Upload Electronic Holding functionality in Alma
The collection Bokbasen Allvit (which contains Norwegian academic e-books) is now added to CZ. There is a need for a solution for the administration of this collection. The library administrator can at any time purchase a new time-limited e-book license or change the budget for pay-per-loan titles. This, in combination with time-limited licenses expiring at different times and days (365 days after the purchasing date) will cause the catalogue of available titles to change continuously. The catalogue will also be different per institution. In order to provide the end-user with accurate information about the availability for each institution, there is…

Display perpetual coverage dates where no other coverage provided
We now have the ability to log current access dates and perpetual access dates on a portfolio. However there is no way to display the perpetual access dates in Alma or Primo unless looking at the coverage tab of the portfolio.
It would be good if there was an option to use the perpetual coverage dates as our display dates either by having an additional option for the local, global, local and global section, or just displaying those dates if local only is selected and there is nothing in the local section.
We have titles that we had current and…

Authenticated "Authentication note" field
Make the content of the "authentication note" field (electronic collection editor and portfolio editor) only visible to our legitimate end-users by means of authentication: preferably via sso, another option would be via ip. That way we can register and manage all our username/password information for e-sources from within Alma. And get rid of the in-house solution (according to the Alma-L mailing list other institutions, like us, developed solutions involving a link to an authentication protected page).
Currently the authentication note has the same functionality as the "public note" field. It is displayed to anyone searching in our Primo. There also…84 votes -
replace "Do not show as Full Text available in CDI even if active in Alma" with a pair of show local / show CDI checkboxes
To avoid duplicates when we have both local portfolios and CDI records, we can rely on the "Do not show as Full Text available in CDI even if active in Alma".
Enabling this feature will show in Primo local IZ portfolios, and is very good when local records are rich and CZ records are limited/poor.
Sometimes however CDI records are richer and provide indexing at chapter level. In such a case we would like to hide IZ local portfolios and show CDI records instead.
It would be therefore useful and clearer to replace the "Do not show as Full Text…81 votes -
E-Collections: Read-only access to Alma for other institutions
We wish to provide read-only access to our Alma instance to other institutions in our consortium and vice versa so that we can compare setup more efficiently. The permissions need to be quite restrictive and prohibit access to financial, patron data, etc. but allow us to view E-Collection, Service and Portfolio level screens.
When comparing set-up of our e-collections we are spending a lot of time discussing via email and sharing screen shots, which is not as efficient as being able to go in with a view privilege and compare in real-time.

make "test access" work when direct linking is enabled
The "test access" button in Alma does not work when direct linking is enabled in Primo. When trying to test access for an electronic portfolio, Alma loads a blank page forcing staff to click "display in a new window" in order to proceed. We recommend that this behavior be changed so that test access works the same regardless of whether direct linking is enabled.

Allow portfolio loader to match on MMS ID when creating e-inventory
The portfolio loader tool can only create inventory by matching on ISSN, ISBN and PID. It does not match on MMS ID. This is an issue when creating electronic portfolios for theses/dissertations or source material that do not have an ISSN/ISBN.

Upload Electronic Holdings (Autoload holding list) – the reports do not listed out the deleted titles
We use the autoload feature to update electronic holdings for specific vendors such as ScienceDirect and Ovid.
After autoload, we find that the job will list out the no. of portfolios “added”, “updated”, and “deleted” but without the deleted titles listed out at the job report. Whenever a portfolio is deleted, we need to check if the deleted titles are removed correctly? Do we have perpetual access right for the deleted titles and do we need to claim for the access right with the new publisher.
We use the load portfolios tool in the Electronic service to add/update/delete portfolios for…
70 votesDear community,
Thank you for bringing up this idea. We plan to implement it as part of an enhancement to the Upload Electronic Holdings job reports.
Our solution will create a link from the job report to the relevant deleted repository (currently exists under 'Manage Deleted Repository'). Allowing report users to view the detailed list of holdings deleted by the job and those of you with Repository Manager role will also be able to restore deleted holdings.

Include rolling dates in local date information field
As an electronic resource librarian, I would like to see a better way to deal with rolling coverage dates. There does not seem to be a good way to deal with gaps in portfolio coverage when there's a moving target date involved. For example, if a title includes perpetual access from 2011-present, and issues 12 years or older are open access, unless you include a public note, what will display is:
Available from 2011 volume: xx issue: xx
Most recent 12 year(s) not availableThis is confusing to patrons and librarians alike. It would be useful to have the option…

"view in discovery" - a link with flaws
The "view in discovery" function produces only a rudimentary link structure, which is not identical to the link structure produced by a call by end users accessing a portfolio directly in PrimoVE.
Thus, the "view in discovery" function, which is designed to verify the presentation of portfolios in PrimoVE that are administered in Alma, is currently of limited use because administrators cannot assume that the view produced by this function actually corresponds to the view encountered by end users.
For adequate quality assurance, it would be necessary if administrators could freely customize the link structure of the "view in discovery"…

Add indications to Electronic Service & Portfolios showing when portfolios use MARC metadata instead of parser parameters for linking
There are some electronic services and portfolios in the Alma CZ that do not use parser parameters. Instead, they use ISSN or some other element drawn from the MARC metadata to construct their links. However, there is no indication in Alma when a service or portfolio behaves this way. To the Alma user, it looks as if the portfolios must be misconfigured, as they have no parser parameters and no apparent way to link at the title level. This makes troubleshooting linking problems very difficult, and it conceals the actual linking functionality from Alma customers.
To be fully transparent with…

Brief Record - Quick Cataloging Template
Boston College would like to see the contents of the linking tab of Electronic Portfolio Editor added to the Brief Record, Quick Cataloging template for electronic articles.
This will enable us to edit the URL and enable the proxy as we catalog and would save us the step of going in later to edit the linking information. It would also enable us to test the link before posting it, rather than using the "view it" function afterwards.
