Improve 'Electronic Resource Activation Task List' Management

The Electronic Resource Activation Task List does not adequately cover the multiple tasks and steps that operators need to complete during the resource's lifecycle. For example, for most electronic resources, there are usually multiple tasks in progress simultaneously (e.g., entering the EZProxy stanza on the server, ensuring admin access to the publisher's site). But because the Electronic Resource Activation Task List allows only one status to be assigned to a resource, there is no way to manage multiple simultaneous tasks nor easily determine what task has already been completed. This results in double handling and inefficient use of managing our electronic resources.

We would like the Electronic Resource Activation Task List to be improved so that operators can display a comprehensive customizable list of tasks to attend to for the resource, the status of each task and the ability to record comments relevant to each of the tasks to be completed/in progress. Operators will be able to use the Electronic Resource Activation Task List to manage the entire eresource management workflow, not just the activation component. Operators will be able to use the Task List to assign and track multiple tasks simultaneously to accommodate the non-linear process of eresource management. Institutions will be able to add custom tasks. Operators will be able to view the status of each required task and the status will remain visible until all aspects of the management process are completed.

I am writing to inform you of a recent change that affects the status of an enhancement you have created or supported in the Idea Exchange. 

As part of our ongoing commitment to align our internal development processes and increase roadmap transparency with our community, some Ideas that were previously marked as “Planned” have been reassigned a status of “Accepted”.

The “Accepted” status signifies that the Alma Product Management team recognizes the value of these Ideas and is committed to their development. However, enhancements are not expected to make it onto The Roadmap in the next year. 

We believe that this change will ultimately benefit our user community by providing a more realistic and transparent view of Alma development. We appreciate your understanding and patience as we implement this change.

    What is the status of the planned improvements to the Electronic Resource Activation Task management? It was noted in August 2018 that this was added to the Alma road-map. Thanks!

    We are looking forward to this change. For instance, we are trying to figure out the best way to notify catalogers that an eresources is ready to be cataloged and being able to add that to a task list would be very helpful. Any update on when this might be delivered?

    If it isn't too late to comment on this for ExLibris to include in their roadmap, it would be great to be able to have alerts e-mailed when these items/tasks are due.

    Right now it's only possible to add an electronic resource to the task list by adding e-inventory. It would be extremely helpful for our purchasing workflow if we could manually add a brief bib without e-inventory attached to the task list or manually add any other item.

    I love the idea of being able to use the task list for things other than activation! managing troubleshooting, licensing, platform changes...

    Also - there may be multiple operators working on a single resource (e.g., a Licensing Librarian and an Acquisitions Librarian). We need the ability to add multiple tasks and have multiple operators interact with those tasks.

    Agreed - excellent idea and would allow us to move away from checklists that are maintained outside of Alma.

    This is perfect.....we've had to resort to Trello to handle some of our e-resource workflows (platform changes is the biggest one). The ability to create a checklist that we can add to a Trello Card is really quite nice and I see this solution as a possible replacement.
