    Summary:

    Currently, Alma does not allow libraries to configure different default Format values (Physical vs. Digital) for Book (Loan) requests versus Article (Copy/Scan) requests in the Resource Sharing Request form. The single “Delivery fields > Format” default applies globally to both request types even though these request types have very different workflows and downstream impacts.

    Problem:

    When the default format is set to Physical (helpful for book requests), article requests originating in Primo can be incorrectly submitted as Loan requests. This causes article requests to enter…

  2. Creating an invoice via the POL

    Creating an invoice via the POL

    Would it be possible to have a "create invoice" button/option within the POL via the invoice line tab. This would make creating invoices from PO more streamlined. Currently creating invoices "from PO" involves accessing approximately 5 screens. My idea would only require locating the POL, clicking on the invoice line and then selecting a button to create invoice

    As notified by Exlibris Support, the PRESSREADER collection is no longer be updated and there is a PressReader China–specific collection that does not currently exist, so we would like to submit the idea to create a new Cina-specific collection . Thank you

  4. Job to build relationships between host item and component parts to be run 3 times daily

    The Monograph in Series team is experiencing delays in checking that host items and component parts have successfully linked. The Job using the 773 field (Host Item Entry) and related record : 'MMS - Build Record Relations' currently only runs once a day at 22:00. We suggest this Job should be run 3 times per day to facilitate more speedy checking and prevent delays in the workflow.

  5. List of possible CZ electronic collection types are inadequate

    According to Alma documentation and the answer from ticket 08300011 CZ electronic collection types can be characterised as:

    Abstract & Index
    Book
    Journal
    Mixed
    OPAC
    Web Service

    Our library has linked to CZ collections which only have streaming video, or streaming audio portolios. We think it would be better if there were more content types available to CZ collections to better reflect their contents

  6. Resource sharing Rapido - matching process on 035 to allow for more granularity

    When our users place a document delivery request or another library places a borrowing request for one of our items the system can look at System Control Number which includes OCLC number. This is good. If user has an OCLC it helps to ensure we are pulling the exact right item. But this includes anything in the 035 field. Currently we have the bib numbers from our previous system in the 035 which is standard practice. The system is matching on this number. This causes confusion and delays with requests.   7. Add "created by user" and "modified by user" Index in the Alma search

    Now that the new relative date search exists in Alma, it would be very helpful to have another index "created by user" and "modified by user" to be able to search for records created or modified by a specific user within a relative date range.
    For exemple, a user could be able to review all the records she/he createred the day before in a easy way.

  8. Display Suppressed icon in the "Call Number Index"

    I would find it very helpful to have the "eye"-symbol displayed in the index for the Call Numbers. It explains why some identical Call Numbers exist. For example one of them might be missing and be replaced by a new copy of the book under the identical call number. If the missing book finds it way back to the libray the eye can be removed and the call number changed if needed.

  9. Show character limits in field

    If there is a character limit for a field, show it. Ex being Vendor Details: Contact Information: Web Addresses: Notes. As of now, an entry going over the character limit is truncated with no notification, so unless you know to check, data is lost. Simply adding character limits visible (i.e. 351/400) would solve this completely.

  10. Different Print Templates by item type for Loan Receipt Letter

    It would be great to be able to create different templates for sending out the email when a user checks out an item. Our IT department wants to send out a "Terms of Use" for when a user checks out equipment. Currently, if we were to add that to our letters, we have to place that for ALL check outs.

    As Acquisitions & Reading Lists Manager I would like to customise the Alma task list (tasks requiring your attention) to help the reading list team manage the reading list workflow as using facets is a time-consuming long way round to find the list categories each time.

  12. Library staff Email Notifications capability for Subscription Renewals

    Although Alma allows library staff to specify the Renewal Reminder Period in number of days, there is currently no mechanism in place to allow the configuration of subscription renewal reminders to be sent via email to staff.

    This would be a particularly useful tool for subscription management. Could this capability be added to the Renewal Information section please?

  13. Make restored CZ electronic portfolios local when using the Manage deleted repository tool

    When using the Manage deleted repository tool to restore deleted CZ electronic portfolios, the restored portfolio should be restored as local, with the blue house icon.

    Currently, the restored portfolio does not become local, but instead appears as linked to the CZ (blue person icon displays), even though the CZ portfolio no longer exists. The result is portfolios in your IZ, that look like they should be CZ linked/managed, aren't. Because the portfolios appear as CZ linked, you are unable to identify the portfolio as local through filtering/reporting and take desired follow up actions. For example, if a CZ portfolio…

  14. Invoice Line Price and Additional charges data made available in Analytics

    There is a need in our Acquisition department, and in the Collection Strategies department, to better understand what we spend on tax and freight for individual funds. In past fiscal years we used separate funds dedicated to the freight and tax funds. In this new fiscal year and going forward all funds, as has been practiced with endowment funds, will have freight and tax encumbered and invoiced within the fund itself.   15. Create an All Open Access CZ Collection for Elsevier ScienceDirect Journals

    Could a CZ collection be created for Elsevier ScienceDirect journals that are completely open access leaving out hybrid journals (or what Elsevier terms as "contains open access" or "subscribed & complimentary"). That information can be found on their web site: https://www-sciencedirect-com.proxy.binghamton.edu/browse/journals-and-books?contentType=JL&accessType=openAccess

    If a title becomes open access after a specific date, that information can be found on the journals "All issues" page (see attached showing that Advances in Nutrition became OA "31st December 2022").

  16. Linking Funds to Location Codes so the Funds allocation can be calculated by the ordered copies for the Location Codes

    My library recently moved to Alma, but we found that the location codes were not linked to the Funds. It is a big problem for us as we ordered more than 30 copies for 30 locations spending on 7 Funds, while the Funds calculation had to be done by excel table and inputted the amount manually. We have to spend an hour for one order eventually.

  17. Create a way of marking borrowing requests visually for Staff Attention

    Sometimes we receive borrowing requests that need special staff attention when the item is received or returned. Examples include:

    • When the other library is sending an invoice inside the item we are receiving
    • When the other library requests special handling in the use of the loaned item
    • When an item needs to be returned in special packaging or with insurance
    • When an item needs to be returned with accompanying IFLA vouchers
    • When an item has loose pieces which need to be checked for before return
    • When the item received in a request did not come from the active partner

  18. Display all assigned PO lines in task list

    With the introduction of the new PO line layout, it became possible to manually assign PO lines, regardless of their status. However, the Alma task list (tasks requiring your attention) still only displays assigned PO lines, when they are in review. Assigned PO lines with different statuses tend to be overlooked.

    It would be very useful for ACQ staff to be able to see all PO lines assigned to them in the task list. This could also encourage more use of the "Assign To" function.

  19. Improve batch Connexion export process

    Currently, exporting records in batch from Connexion results in a status report for each individual record as it processes. Each status window must be closed before the next record can be processed. See screenshot for example. This becomes very tedious when working with hundreds of records. A configuration that permits Connexion to export in true batch form with a status report appearing after either the complete job or a set number of records (10 or more) would be preferable.

  20. Consortia distribution mode of RetentionReason table per row

    Hi,

    we're thinking about the distribution of configuration for the Collection development from the Network Zone.

    For our use case, we need to be able to centrally distribute the Retention Reason table per row (
    Customization mode: Specific rows can be customized). There might be a mix of consortia and local reasons for retention. The NZ should be able to distribute the consortia retention reasons and the IZs should be able to add their own local retention reasons independently of the distributed NZ reasons.
