  1. Saving Queries on the Community Zone

Please, let us save queries on the Community Zone as a logical set.

It is well understood that no one but Ex Libris is supposed to be able to run jobs on the CZ data and most likely that is why you currently cannot save a query on the Community Zone as a set. However, saving queries can often serve as just a shortcut for submitting a (more complex) query again and again, and for electronic resource librarians it is interesting to check the CZ regularly for newly added collections which are freely available, e.g., or adhere to any other…

  3. Include submitter name with Report to Ex Libris form

Any Alma user who can access the action menu of a portfolio or electronic collection can submit the Report to Ex Libris form, but the Salesforce case is opened with the CRM contact chosen on the form. Unless the submitter includes their own name in the form's description field, it becomes impossible for the CRM contact to determine who opened the Salesforce ticket.

Please include the name or primary ID of the logged-in Alma user in the Salesforce ticket. This will facilitate follow-up with the staff member who reported the issue.

  4. Allow license on NZ - managed electronic resources to be viewed by member institutions in their IZs

For electronic resources activated in the Network Zone where access is distributed to member institutions in the consortium, license terms attached to the e-resources cannot be viewed in the IZs of member institutions. License terms can be viewed by institutions only by searching Primo VE, only if "Enable Display of License Information" is enabled in their Fulfillment configurations. This is not an optimal way to search and view license terms for these resources are shared via the NZ.

Since institutions in the consortium have access to the resource via the Network Zone, it would be beneficial if staff at member…

  5. Create option to keep CZUTL deleted portfolios active in Institution Zone

When portfolios are deleted from a non-auto-active electionic collection and notifications for this appear in the Community Zone Updates Task List, the portfolios stay unlinked in your institution zone but are deactivated. Often these are portfolios that represent access that still exists for the institution and we merely reactivate the local portfolio. We would like to be able to select an option to keep these portfolios active in our institution zone. If they are really no longer necessary, we can delete them when we review the CZUTL, but it would save us time if the portfolios were not deactivated automatically.

  7. Add a translation field to custom License Terms

Under Alma Configuration > Acquisitions > Manage License Terms, it is possible to add library-defined license terms. However, contrary to the "out of the box" license terms, which is provided with a translation in all supported languages, it is not possible for the library to add a translation. This is not an issue with Primo, since a label table can be used, but it affects the Alma UI, where custom terms cannot be displayed in the UI's language, and API responses, which are language sensitive for OTB license terms but cannot display a translation for custom terms.

  8. Lyell Collection Complete MARC record improvement

Please can the CZ MARC records for the various Lyell Collections be improved? The lack of detail makes them very hard to discover in Primo.

  9. Show when a MMS record is Suppressed on the Electronic Collection search results

When using the Electronic Collection search, the results list does not show whether the MMS record is suppressed. This Idea is to suggest that the suppressed icon is displayed on the Electronic Collection search results when the MMS record is suppressed from discovery.

This is important if the Electronic Collection has CDI results - if the MMS record is suppressed from discovery, so too are all of the CDI results. So, when trouble-shooting why CDI records are not displaying as expected, it would be helpful to see the suppressed icon on the Electronic Collection search results page rather than having…

  10. Customizable fields for Electronic Collections

We would like to be able to introduce custom, local fields into our Electronic Collections to help us manage workflows, reporting, and inventory management. Currently, we store a lot of information in our Internal Descriptions to help with this work. It would be great to have dedicated, customizable fields that can be defined for local uses. Ideally, the management of these fields would look like the license term management, with options for free text, controlled vocabularies, and yes/no fields. If that is too complicated, then just making a handful of "local fields" available would also be helpful ("local field #1",…

  12. Add configurable Electronic Material Type field to Electronic Collections

Electronic Material Type is only configurable at the portfolio level, not the electronic collection level. In many cases, all the portfolios in an Electronic Collection share the same material type. Electronic Material Type should thus be configurable at the Electronic Collection level and inherited by all portfolios in the collection, indexed in Alma searching, included in Alma Analytics, included in the portfolio Extended Export, and modifiable using the Change Electonic Collection Information job.

With the addition of this field, libraries could assign appropriate Electronic Material Types to all our collections (except those that are a mix of material types, which…

  13. Add Expiration Date field to portfolios (for Streaming Video lease tracking)

Libraries lease streaming films for limited periods of time. We need to track the date each film's lease expires so we can delete the portfolio from Alma or take action to lease it for another term. We are currently using the portfolio coverage field to do this, but this is a workaround, not the designed functionality of the field. An Expiration Date field would allow libraries to enter the expiration date into each streaming film portfolio and use Alma searching and Analytics to track the expiring portfolios. It should be indexed in Alma, available in Alma Analytics, visible in the…

  15. Bulk add perpetual access dates

We would like to be able to add perpetual access dates in bulk to individual portfolios. This functionality would be helpful for tracking perpetual access on packages/bundles where a large number of portfolios share a common start and/or end date.

  17. Allow coverage comparison from uploaded files in Collection overlap analysis

When we upload a collection title list with coverage for collection overlap analysis, Alma doesn’t compare coverage. For comparing journals, this is fatal. A title match with no coverage overlap means nothing. We understand that the coverage column in the vendor’s file can be messy and non-standard. We would rather standardize and format the coverage in the EXCEL file and let Alma do the coverage comparison, than to eyeball the coverage of 15,000 titles or more.

Tell us the correct format to indicate coverage, and let us extract the values for the beginning year, ending year and embargo columns, so…

  18. Allow comparison with specific collection(s) with uploaded files in Collection overlap analysis –

When we upload a collection title list with coverage for collection overlap analysis, Alma doesn’t allow us to select a specific collection to compare with. It only allows us to compare with the entire IZ, which is not always the goal. If we can select specific collections to compare with when we use Alma collections, it should not be too difficult to do the same comparison when using an uploaded title file.

  19. An import profile should be able to delete IZ copy of NZ-linked electronic records

For libraries that belong to a consortium, currently, the import profile to delete both electronic bibliographic and inventory records only marks the NZ-linked records for deletion. It does not delete the IZ copy of the NZ-linked records, even when the Allow bibliographic record deletion and the delete/deactivate portfolio options are selected.

To improve Alma for libraries with NZ-linked records, Alma's import deletion process should unlink the record from the NZ and then delete the resulting IZ copy. That would be consistent with the current behavior of existing deletion jobs like the "Delete Bibliographic Records" job.

  20. Provide option to exclude open access titles when activating community zone collections

We have a number of auto-activate Community Zone collections for licensed content which also contain open access titles. We would like an option to exclude the open access titles. This would enable more accurate cost per use analysis and reduce duplication in our catalogue.

eg. we've noticed duplication in Springer collections because we have licensed subject collections activated but also the Springer Open Access Ebook CZ collection (having this collection active means all open access titles are available for our community, not just those for the subjects we have purchased in any given year)
