  1. Automatically Remove or Flag Bibliographic Records Without Inventory Created by "Link Local Portfolios to Community" Job

    Current Behaviour:

When local portfolios are linked in bulk to the Community Zone using the Link Local Portfolios to Community job, the associated local bibliographic records remain in the Alma repository even after inventory has been removed. These records become bibliographic records without inventory and require manual cleanup.

    Currently, institutions must:

    Monitor for Bibs without eInventory
Create a set of Titles Without Inventory.
Run the Delete Bibliographic Records job against the set.
Perform ongoing monitoring to identify and remove residual records.

According to Ex Libris Support, there is currently no mechanism to prevent this behaviour, and it is considered a…

  2. Option to automatically suppress Bib records when AutoHoldings portfolios are unlinked or deactivated

    The Issue:
Currently, when using vendor AutoHoldings collections (such as Wiley, Elsevier, etc.), Ex Libris recommended best practice is to set "Automatically delete portfolios removed from service" to No. This protects institutions from permanent data loss if a title is temporarily dropped or updated by the vendor.

However, when AutoHoldings unlinks or deactivates a portfolio in the Institution Zone (IZ), the portfolio remains in the system while becoming inaccessible. Because the bibliographic record is not automatically suppressed, patrons still encounter these titles in Primo VE as "Not Available" or broken links, leading to a poor user experience and unnecessary support…

  3. Flexible and normalized comparison of portfolio coverage dates in Overlap & Collection Analysis

Currently, Overlap & Collection Analysis compares portfolio coverage dates exactly as they appear in the portfolio coverage fields. As a result, equivalent coverage ranges are not always recognized as matches when the dates are recorded at different levels of detail or when some components are missing.
    For example, coverage such as:
    • 2.1.2016, Volume 1 Issue 1
    and
    • 2016, Volume 1 Issue 1
may represent the same start point, but the system treats them as different because one includes a full date while the other includes only a year.
In many knowledge bases and vendor data, coverage dates are…

  4. Ability to de-activate collections with EasyActive setting

Once you have chosen EasyActive over FullyFlexible, there is no way to switch back (https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/010Alma_Online_Help_(English)/Electronic_Resource_Management/070Alma_Single_Activation_Source_for_CDI/020Single_Activation_with_the_EasyActive_Setting). However, at the time of switching there is no way of knowing what future collections will be added, and all CDI records of future collections will be returned in an unfiltered Primo search. For various reasons, we have had to switch to a default unfiltered search in Primo and now results are flooded with CDI records, some not of good quality. If there is no way to switch to FullyFlexible, then please provide an easy method to de-activate collections so that the CDI…

  5. Improving Participant Management and Anonymous Feedback for Database Trials

We recently used the Database Trials feature in Alma and would like to suggest the following improvements:

    1. Anonymous Participant Feedback
It would be very helpful if participants could submit their feedback anonymously. Experience has shown that anonymous feedback encourages more open and honest evaluations, thereby providing a better basis for decisions regarding the acquisition of electronic resources.

    2. Improved Participant Management
Currently, participants can be added either individually or via a set. However, once they have been added, the options for managing the participant list are very limited. Participants can only be removed one at a time. If the wrong set…

  6. Display License TOU link with CDI Link-in-Record type records

We display license terms of use for our electronic collections as we try to be compliant with the subscriptions. We noticed that with CDI link-in-record type records, there is no link for the license TOUs. It would be nice if there was a way to link to the TOUs or add a note to be able to link to TOUs.

  7. Add publishing year field when creating new local portfolio

The current workflow for adding the publishing year for local portfolio is not comfortable. The year can only be added when manually editing the record in the metadata editor. Furthermore, the default date is set in the "default template for creating e-journals/e-books" in the metadata editor. That means, if you create a local portfolio, it silently sets a default year. If you don't change the default year in the default template, you will accidentially have a default year from 2022 or earlier etc. (depends on what is set in the default template) because it doesn't update itself year by year.

  8. Add an "OA articles only" option to coverage tab in electronic portfolios.

Several autoholdings collections for journals include titles with OA content even if there is no active subscription, meaning that our only access to the journal is for the OA content. This makes it hard to provide accurate coverage information to our patrons. While we can add a public note as a workaround, it would be nice if there was an "OA only" option (maybe a checkbox) on the Coverage tab for electronic portfolios.

  9. Make restored CZ electronic portfolios local when using the Manage deleted repository tool

When using the Manage deleted repository tool to restore deleted CZ electronic portfolios, the restored portfolio should be restored as local, with the blue house icon.

Currently, the restored portfolio does not become local, but instead appears as linked to the CZ (blue person icon displays), even though the CZ portfolio no longer exists. The result is portfolios in your IZ, that look like they should be CZ linked/managed, aren't. Because the portfolios appear as CZ linked, you are unable to identify the portfolio as local through filtering/reporting and take desired follow up actions. For example, if a CZ portfolio…

  10. Contributed collections - a Report to Contributor instead of Report to Ex Libris

There are many collections now that are contributed by the community. Sometimes there are errors within them and as it is now, there is no way to report that and get the linking problem (for an example) fixed and the issues can be so many that a deactivation is necessary, but then the collection becomes dead and just clutter KB. My suggestion is that when a institution contributes a collection, a mandatory field is added to the workflow of contributing. This field contains an email address. That email address is then incorporated into a button so you can report to…

  11. Add "Open Access" Electronic Access Type

Please add "open access" as an electronic access type (like perpetual, current, current and perpetual) at both the portfolio and collection levels. With more resources being open access, it would be helpful to be able to mark them as such.

  13. Handling external content filtering and proxy domain exceptions in Alma e-resources

Hi everyone. I am fairly new to Alma and still trying to wrap my head around some specific electronic resource management workflows. Recently, our IT team updated our campus proxy and content filtering rules to better control non-academic web traffic on public terminals.

Since then, we have noticed an issue where legitimate user requests for external web domains get caught in the filter, especially when testing redirect rules for electronic packages or off-campus access. The system keeps flagging certain test URLs incorrectly in our access logs.

Has anyone else configured custom proxy exceptions or specific vendor bypass rules directly within…

  14. Add 'Portfolio Parser Parameters' as a Portfolio Loader matching option

Please add 'Parser parameters' as an additional matching option for activating CZ portfolios using Portfolio Loader.

Matching by ISBN for large ebook activations results in too many multiple portfolio matches. Since the title IDs in most vendor lists or KBART files match Alma’s parser parameters perfectly, they provide a much better unique identifier than ISBNs for ebooks.

  15. Community-Managed electronic collections: Add several portfolios to one title

In Community-Managed electronic collections, it is not possible to contribute a second portfolio to the same title that is pointing to a different URL. Use case: Both URLs are valid, both contain copies (in part) of the journal. It would be nice, if the contribution only gets blocked, if the URL of the newly contributed portfolio is identical to the existing one.

  16. Flag AI created resources

As an electronic resources access manager, I would like to propose functionality be created to identify when a resources was created all or partially by artificial intelligence.

More content is being created by AI and it is getting harder and harder to detect. Gobi now has "AI-generated" as a tag under "interdisciplinary topics" when purchasing books (screenshot attached) and it would be great if Alma could do something similar to alert users when they are looking through institutions catalogs of resources.

I am not sure if this idea is for Alma only or Alma and Primo but it would be…

  17. Display access model in All-titles basic search results

When you are performing a market search, the access model shows up on the holdings records if they are either attached to the POL or have been manually added to the record. This is incredibly useful and time-saving for searching! When doing an All-titles search, you have to click into the record in order to access that information. This line for access model can be easily added to the listed metadata in the All-titles results page. See attached screenshot

  18. Add facets to left side when working with electronic collections and portfolios

The current facets for electronic collections are limited to material type. I would like to see a facet to filter by activated/non-activated collections and portfolios. Two use cases:
    1. Activated collection, missing a few portfolios in our IZ because did not have auto add turned on. If I go to the CZ version, there is no way to easily see the unactivated portfolios in that collection so I can activate them. had to page through 17 pages to find the few titles that were not activated.
    2. Seeing unactivated collections in CZ. What if we want to see which gale…

  19. Provide a direct link to a suppressed collection that will display for a specific audience while keeping it hidden from the main Collections

It would be nice to be able to create a 'private' collection... where you can provide a direct link to a suppressed collection that will display for a specific audience while keeping it hidden from the main Collections page through Primo.

  20. Allow institutions to create their own local electronic material types

At the moment, the current list of electronic material types are:

    Book
    Journal
    Dissertation
    Proceeding
    Conference
    Report
Document - This type is sometimes used for portfolios in electronic collections in the Community Zone when the type is not otherwise know. If you see this type in a collection and believe that it is incorrect, please open a Salesforce case to correct it.
