Overdue lending requests - sort by overdue-date
In regards to overdue lending requests, it would be very beneficial to have the option of sorting by due date. By sorting this way, you could tackle the documents that have been kept out of circulation the longest first, with one (or two) clicks.
Per 13.05.24, the options we can choose from in the "sort by" drop-down menu are:
- Last interest date
- Update date
- Creation date
- Title
- Shelving location
There are toggleable due-date spans in the facet menu. A sorting function would still be beneficial.

Make "Order:#" icon larger
The icon (the number itself) is tiny and unnecessarily complicates looking at the orders. Make it bigger? Make the word "Order" the thing to click on? This sounds like an obnoxious request, but the number is so small!

Batch printing Labels and RFID tags in one action
I'd like to be able to select newly added (or old) purchased stock and print their labels and RFID tags. Printers are available to do both. Spineomatic app still requires manual adding of barcodes which wastes time.

Add option in Analytics to report on user notes that are set to pop up note
Alma does not currently offer the ability to use Analytics to identify user notes that are set to pop up. We would like to be able to more easily identify these notes that are set to pop up to prioritize them during a user note clean up project.

Interface field "Admin Documentation" - Extend default display size
The Interface field "Admin Documentation" contains often a lot of text which covers several rows.
In order to read the content of the field more quickly without scrolling, It would be helpful if the default display size of the field could be extended - ideally to four rows instead of two.

Make "Change expected date"-button available for unclaimed PO lines
Currently, the function “Change Expected Date” is only available, when a PO line is in claim.
However, it happens often, that vendors announce a delayed publishing date before a POL is claimed. It would be very practical, if in cases like these, the expected date could be changed via the button "Change Expected Date" as well, instead of having to open the POL > Edit > Change date > Save.
It would save a few clicks and allow us to use the same workflow for the same task.

Tasks menu – customising display options.
UNSW Library are proposing that libraries can determine the options in the Alma Tasks menu “Citations” and “Reading Lists” display.
In Alma the Tasks menu displays as a widget or clipboard icon. (See screenshot)
The Tasks menu is an important feature for monitoring Citation/Reading List statuses. Over the years we have created local statuses and would like to build these into the display. As well as remove those statuses we do not need to monitor.
The benefit of this customisation allowing a library to configure these displays improves processing workflow.

Add Close Note to the Change PO Lines Status job
We would like to add a Close Note when running the Change PO Lines Status to Close orders. Currently we can add a Cancellation Note but if we CLOSE a batch of orders (essentially cancelling continuation orders that have had receipts), there is no way to add a general note that populates all order lines. We have to manually add a note to each order.

Combining "Request Type", "Work Order Type" & "Process Type" in a single analytics report
We'd like to retrieve a full list (with breakdown of all Work Order Type, including withdrawn, display, missing, not for circulation items…etc) of physical records by Material Type, Word Order Type & Process Type via Analytics. However, only part of records can be retrieved currently after combining Process Type & Work Order Type together. After consulting Salesforce, it is confirmed Analytics do not support to combine these fields together in a single report. It's crucial to enable combining these fields in a report as library always need to review the figures of each Work Order Type & Process Type, not only Process Type. The two information would help us to review the item status more comprehensively.

Add Bursar Transaction ID dimension to Fines and Fees Subject Area in Analytics
Bursar Transaction ID is a critical data element when an institution uses a Bursar integration profile to export fines/fees and import payments. We recently implemented this integration and are looking at ways to reconcile Alma transactions with data extracted from our bursar. If Bursar Transaction ID were present as a dimension in Analytics, this would be much easier. It should be added.

Display collection "Public Name" instead of "Public name (override)" in Import Profile Details
We repeat the use of "Public name (override)" to aggregate several local collections under the same heading in our discovery layer. In the example I am dealing with, we use "Project Muse eBooks", but have separate collections for each year of titles. The import profile that we use to load these titles displays the override name, which means that I am unable to tell which collection we are loading into without editing the profile and selecting a collection anew.
I would love it if we could use the "Public Name" of the collection in Inventory Information tab of the import profile. This could be in addition to the "Public name (override)", like we see in Alma search results or as a replacement of it. If that isn't desired or possible, it would be helpful to have hover-over text that displays the "Public Name" or the collection ID, to provide context to the "Public name (override)".

Renewal Hour and Renewal Time in the Renewal Date folder on Fulfillment
Hello,
Some days ago one of our libraries asked for some hourly fulfillment reports. I then noticed that the "Renewal Date" folder does not have a "Renewal Hour" nor a "Renewal Time", as most of the other date folders have. Is it possible to add a "Renewal Hour" or "Renewal Time" to the "Renewal Date" folder?
Regards,
Oberdan

Enable us to display items in an "Unavailable" location type as Unavailable in Primo
We need the ability to show items that are assigned to a location with Type = UNAVAILBLE to show as unavailable in Primo
The primary use cases that prompt this idea are:
1. A library is closed for renovation and the items are inaccessible to staff and patrons, but the items must still be discoverable so that patrons can be directed to Resource Sharing in Primo.
2. Portions of a collection are temporarily inaccessible to staff and patrons, and the items are assigned to a temp location, but must still be discoverable so that patrons can be redirected to Resource Sharing in Primo.
In both of these use cases, setting the Location(s) to type = UNAVAILABLE accomplishes both suppressing a link for local requesting, and allowing a Request for Resource sharing link to appear, without any other configuration changesRight now, items that are in a type=UNAVAILABLE location show in Primo with a prominent "Available" indicator in several places, and use the label for c.uresolver.getit2.item_list.status.ITEM_IN_PLACE in ViewIt, even though the items are not actually available. There is no way to use existing functionality to suppress this "Available" label or the "In library" (ITEM_IN_PLACE) label without an unreasonable amount of work (see info on the impracticability of using work orders below)
What is needed:
1. The calculated availability for items in a type=UNAVAILABLE location needs to be Unavailable/Not Available, when Alma might otherwise consider the items to be "in place" (not on loan, not in a process, etc)
2. The ViewIt information for items in a type=UNAVAILABLE location needs to use a new label, and not the "c.uresolver.getit2.item_list.status.ITEM_IN_PLACE" labelWhy the suggestion on the closed Idea 46262368 "make location type 'unavailable' functional: items in these locations should be shown as unavailable in Alma and Primo" (see URL below) of using work orders to accomplish this is unworkable:
1. Work orders cannot be removed in bulk. If there are 300000 items that needs to be set to UNAVAILABLE, removing 300000 work orders manually when they are available again is an enormous burden on staff, and is practicably impossible.
2. Patrons find the Primo display of items in work orders to be confusing
3. Items in work orders are requestable unless further changes are made to the items or to configurations. Using a type=UNAVAILABLE location accomplishes the un-requestability without needing to do any other configuration or data changes,SUMMARY:
Give us the ability to show items in a type=UNAVALABLE location as unavailable in Primo
- enabling clear and understandable display of an item's availability to our patrons
- without onerous additional workNote: this is basically a repost of https://ideas.exlibrisgroup.com/forums/308173-alma/suggestions/46262368-make-location-type-unavailable-functional-items

Thank you for raising this idea.
This was part of the CERV cycle in 2025, but did not make it to the final list.
During the analysis, 3 possible approaches were discussed, each has a different estimation and effort:
Option 1: New dedicated process type
- It will be possible to mark specific items as "unavailable", similarly to the way it is possible to mark them as "missing"
- Items marked as "unavailable" will be considered as "not in place"
- The new "unavailable" option will appear as a possible process type in all the places where there is a list of process types, including configuration options such as Fulfillment Unit Rules
Option 2: Mark a location as "unavailable"
- It will be possible to mark a location as "unavailable"
- All items in this location will be considered as "not in place"
- The difference from option 1 is that when an item is in an "unavailable" location, it can still be in a process such as loan, work order or any other process type. These are 2 separate attributes
- The existing options for location based configuration can be used
Option 3: A new "unavailable" field in item level
- It will be possible to mark specific items as "unavailable", similar to the availability status of portfolios
- Items marked as "unavailable" will be considered as "not in place"
- Similar to option 2, "unavailable" item can still be in a process such as loan, work order or any other process type. These are 2 separate attributes
- As this is a new attribute, relevant configuration options will need to be enhanced to take this attribute into consideration. Further analysis will be needed here
Although option 3 might give more flexibility, it is super complicated and would require huge effort. Therefore, the selected option is option 2: Mark a location as "unavailable".
The description of this idea exchange sounds like this option, however in the comments I saw some references to option 3. Therefore I wanted to share with you the analysis and discussion - you can see it in: https://public.3.basecamp.com/p/ERLrkhNUHtTYerEiaQAsG2uT
Please note that as this did not make it to the final list of the CERV selected items, there is no timeline for implementing this.
Thanks,
Tamar Fuches

RS - Copy Request Note to Request Cancel Letter as well wheb Converting Borrowing requests into patron physical item requests
The idea of
Converting Borrowing requests into patron physical item requests
has been implemented in 2019 (https://knowledge.exlibrisgroup.com/Alma/Release_Notes/010_2019/Alma_2019_Release_Notes?mon=201902BASE).
Request Note is copied in the Note field of the request. However it would be great that, after a successful 'View local resources' the request note could also be copied to a Note field in the "Ful Cancel Request Letter" automatically received by the user, thus letting the user know more specific info we usually write in the request note. For example, we write there an additional link to the resource we might have found, Having that automatically in a Note in the Ful Cancel Request Letter emailied to the user would be useful.

Overdue notifications
If a user has an overdue notification fee the title of the book for which they got the fee is not mentioned in the Titles colum of the Fines tab on the user record. If it was it would help us explain the fine to a user looking for an explanation at the counter. Can this be fixed?

Allow groups of partners to be selected in rules tables by rota template or other attributes
We are a large university, with many resource sharing partners. We would like to set up rules concerning certain groups of partners, e.g. we charge more for sending physical items internationally due to the cost of postage, and want to set up Shipping Cost rules to reflect that. Unfortunately, it seems like the only way to do so is to select "partner" as a parameter and select each partner individually.
We would like to be able to select all partners with particular attributes, e.g. all partners in a particular rota template, or all partners using a system type. This would mean these groups could be maintained in a single location and quickly assigned when setting rules.

title and other variables in email subject field
We would like to include variables in the email subject line for emails to make more sense to patrons. When patrons see generic email headings, they tend to see the email as 'noise' along with other institutional email clutter. However, when patrons see a title that is personally relevant to them when they scan their inbox, they are much more likely to open and read the message.
We are asking Ex Libris to consider using the same syntax of @@variable_name@@ as a method to include variables in the subject field of the email. Please consider:

Exporting invoice lines with multiple funds
This is a known issue. According to an article of April 2023, "When POL is paid with 2 funds, and invoice is created, the export to Excel of the invoice lines only contains the 1st fund." It would be nice to have all funds included on the Excel file for better fund analysis and reporting.

Notes for display logic rules
We would like a notes tab in the Discovery Interface Display Logic rules screen. We have over thirty rules, and some are inactive. We would like a way to record some notes as a record of our decision-making for this quite complicated area.
