1. Job for copying the configuration from the production environment into the Standard Sandbox

   Making testing and training in an Alma Standard Sandbox based on Ex Libris provided configuration is very difficult since this configuration may be very different from the one in the customer's production environment.

   Currently Ex Libris is offering two types of Sandboxes for Alma:
   (1) "Standard" - by default included in Alma subscription pricing. This sandbox contains Ex Libris provided data and configuration
   (2) "Premium" – for addition subscription fee – this sandbox includes a full copy of the customer's data and configuration

   Refresh of the Alma sandbox environment is possible up to once a quarter, upon request. In the case of a Premium Sandbox, Ex Libris updates the customer’s Premium Sandbox with the most recent data and configuration copied from the production environment. In the case of Standard Sandbox, Ex Libris resets the Sandbox data and configuration to the original copy.

   We would like Ex Libris to propose an improved Standard Sandbox so that customers can export the configuration from the production environment with a job in order to import it in the Standard Sandbox. This Standard Sandbox would still contain Ex Libris provided data, only configuration would be copied from prod to sandbox. A Standard sandbox containing the customer's configuration would be very useful for staff training, testing of setup scenarios, new enhancements, integration with other systems, etc. This service is already proposed for Primo!

2. Add and improve audit logging and system event tracking for changes to Alma configuration

   Many institutions have needs and requirements to be able to track when Alma configurations change, and who changed them.

   This is especially true because many Alma "administrator" roles combine complex librarian tasks with systems configuration abilities. For example, Catalog Administrator or General Systems Administrator is required to create new metadata import profiles - a task that catalogers need to do regularly. But, both roles also grant additional abilities to configure Alma behavior for resource management,
   integrations and the like.

   Use cases include:

   • Monitoring changes as part of standard internal audit review. For example, an institution may identify that even though electronic resources staff need Fulfillment Administrator in order to manage general electronic services, none of those electronic resources staff should be changing other areas of fulfillment configuration. Because Alma's roles do not separate those duties, the secondary requirement would then become to monitor changes in the fulfillment configuration areas outside Discovery Interface Display Logic to know which staff members are changing them and when. We would want a regular report that logged information like the name of the logged in user, the name of the table, the date/time the change occurred, what row(s) changed, and what the prior and new values were in those rows.

   • Troubleshooting unexpected Alma behavior. For example, suppose that custom linking for a set of CDI databases begins to behave unexpectedly. Configuration for those database links is handled in Configuration > Discovery. A staff member hears about the database issue, goes in and attempts to fix it,
     but can't. The issue then gets reported to a systems staff member. At that point, the systems staff member can only see the last updated by and timestamp. They need to be able to see who edited that table, and when, to help figure out what
     might have happened.

   Analytics currently has a subject area called "System Events" that does a poor job of capturing this information. For example, there is a system event type 6141 - Mapping table updated. However, the information captured there is internal tracking information and not actually relevant to mapping table updates, according to Ex Libris support.

   Improving how this data is kept and tracked would go a long way towards reducing risk of Alma not functioning as expected, and making it easier for institutions to manage audit requirements and troubleshooting needs for Alma users.

3. Add a view option for Attachments.

   Currently if you want to view an attachment (e.g. licence attachment, POL-attachment, etc) you have to download it to your computer. This is very annoying if you just want to have a quick glance at it as your are constantly cleaning out your downloads folder.
   It would be really great if there were a view option which either showed the document in a pop-up or opened it in another tab of your browser.

4. Pin POL notes to top of list

   Context: when acquisition staff view POLs, there are some notes that are important to see, and other notes that are less important. However the only sorting options for POL notes are by created or updated date.
   Proposal: users need the ability to pin one (or more) notes to the top of the list of POL notes, so the important notes are always easily viewable.

5. Create a "sticky note" widget for individualized staff notes.

   It would be helpful to have a "sticky note" type widget available on the Alma homepage so that staff could record personalized ideas/instructions/reminders to themselves about Alma-specific work.

   The simplest version could just be a plain text box where staff could add/delete text as desired. A fancier version could allow for multiple notes to be created, storing them each with a title and create date and listing them all in the Widget.

   If we get really crazy there could be a setting to enable the user to choose whether the note is a public note (for all other Alma users at the institution) or a private note. But I would be happy for the simplest of options--just a text box to jot down notes that will always be there when I login to Alma.

6. Add more work record details (e.g. MMSid) to the InterestedInLetter to improve Interested User notifications

   Currently the XML which builds the InterestedInLetter for receipted Print and activated Electronic resources does not provide many details which can be customised in the letters customers would like to send to their patrons/interested users.

   A specific use might be to send a pre-set Primo link to the resource (e.g. a deeplink search by MMSid), but also to be able to provide much clearer information to the Interested user about what the item is, and where it is/will be found.

   i.e.
   i) Order Number (PO Line ref)
   ii) Title (Possibly brief POL record/not the updated bib to which inventory is finally attached
   iii) Call number
   iv) Message (two set text options).

   It would be much more valuable to configure the letter with additional XML data, such as the MMSid, the full Bibliographic record title, and other elements similar to other item notifications.
   This mainly applies

7. Option of standard clock time or military time

   The 24 hour standard clock time is more feasible for reserve/loan periods rather than military time, or at the very least incorporate both options for the user. Military time is too confusing for our student workers. We had to use a cheat sheet to convert military time to standard clock time to avoid giving incorrect information to the patrons.

8. Ability to customize Discovery display labels for work orders down to the status level

   For Discovery display labels (labels in Primo), all work order types (fulfillment, bindery, and acquisitions) are controlled through the following two customizations:

   1) c.uresolver.getit2.itemlist.status.WORKORDERDEPARTMENT.
   withexpected_date In process of {0} until {1} (where 0=Work Order Type, and 1=Work Order Days to Process)

   2) c.uresolver.getit2.itemlist.status.WORKORDERDEPARTMENT.
   withnoexpecteddate In process of {0} (where 0=Work Order Type)

   So, currently, we cannot customize down the the statuses setup (local to us) under the work order departments, but this would be helpful to do. For instance, we have fulfillment work orders with a status of Trace Requested, for items that are lost and being searched for, but that are not yet declared Missing. It would be helpful if the message displayed in Primo could indicate that the item was being searched for, and didn't merely display "In Process of Fulfillment."

9. Add a job that can set the CDI option collectively

   We would like you to add a job to set "Activate for search in CDI" collectively for the electronic collection set of CZ.
   Also, please add a job to batch update the following CDI options for the electronic collection set of IZ.

10. Add function to monitor broken display logic rules

    When the name of a collection/interface/service used in a rule changes the rule quietly breaks. The only way in Alma to find out it's broken is to open the specific rule in edit mode, where it says "not listed" next to the changed collection/interface/service. There is no indication in the list of rules and you are not notified when a rule breaks. We have a long list of rules in use so it's difficult to keep track of the broken rules. It would be useful to be notified when a rule breaks or to have a way of monitoring broken display logic rules better.

11. Description Templates -- Create reference table for months and seasons

    Hi,

    I'm wondering if it would be possible to create some sort of reference table for the months and seasons. This would be for use in the description templates. Then we could use MM, MON, and MONTH (for example), to indicate whether the two digit code in the particular Chron field should be displayed numerically, as the standard abbreviation, or spelled out.

    Having such a table would mean that for each type of pattern a single template could take the place of the 12 or 16 we have to create now.

    This would be much more efficient right off the bat and would also provide a cleaner/shorter list of templates to arrow up/down through to get a new rule in the right place, so would save a ton of time there as well. 12. Establishment of stronger passwords for the creation of internal ALMA/Primo users

    As an universities consortium from Galicia, CISUG, we are representing three member universities. Our univesrities have a security problem in the management the keys for internal users in Alma.

    Alma's internal authentication system allows the user can create complex passwords, but this should be a requirement, not the user's responsibility as to whether they are secure or not.

    Our request is that:

    1.  ALMA enforce passwords to be at least 8 characters long, and allow the system administrator to increase that minimum. 
       

    2.  ALMA allows to force mixed case, numbers, and special characters to créate paswords. 
       

    3.  Alma checks that the password is not composed of user data (e.g. name, surname, email, etc.) that can be easily guessed or obtained. 
       

    4.  Alma checks that the password is not the same as any of the last passwords used, nor is it formed by a concatenation of them.. 
       

    5.  Alma validates the new password against a “blacklist” of passwords that are unacceptable due to being widely used, deductible or compromised (e.g. “aaaaaaaa”, “1234abcd”, etc.). 
       

    In addition, Alma shall audit the password validation process and:

    1.  Limit the number of unsuccessful access attempts, applying an incremental delay after several failed attempts (e.g. 1 minute delay after 3 failed attempts and +10 minutes for the following ones) to make it more difficult to use bot attacks.  
       

    2.  It must be able to block the system in case of reaching a set number (e.g. blocking the user after 10 failed attempts).  
       

    And as additional methods to ensure security:

    1.  Alma shall allow to automate a forced process of periodic password change (for example yearly, semi-annually, etc).  
       

    2.  Alma shall have a mechanism that allows the administrator to request a change of passwords if there is evidence that they have been compromised.  
       

    We understand that it is more complex, we believe it would be advisable that Alma allow the user to have a security method of authentication based on two-factor authentication (2FA), as offered today by most information systems (Google, Microsoft, etc.).

    With the implementation of these requirements, users would have their personal data more secure (both in terms of access to the system itself, as well as in anticipation of it serving as an entry vector for other tools), and the institutions would thus comply with the precepts of the ENS Spanish "National Security Scheme" in terms of minimum cybersecurity requirements.

13. Location color schemes

    I would like to make it an option to change the color scheme of the ALMA top ribbon/possibly sidebar to differentiate locations especially between Main Circulation Desk and Acquisitions, of which I have to switch regularly. This would save me time spent on correcting errors due to being in the wrong location for a particular procedure.

14. Clicking on the 'tick' alert takes directly to the notification

    Clicking on the 'tick' on the Alert column on a reading list (in the Reading List Task List) would take you directly to the list of citations filtered to 'Any Alerts', or would open the 'Notes' tab if the notification is for a Library Discussion Note at list level.

15. Improve "Select all" search results selection

    When running a search within Alma, we have the option to "Select All", at which point we can accomplish various tasks like "Push selected to MDE" (for a Physical Titles search), "Add to Itemized Set" and "Create Itemized Set" (for a Physical Items search), etc.

    However, when clicking "Select All", this only selects the results on that page of results, which is capped at 50. If you create a search with many pages of results, you would have to take action on each page individually. Clicking "Select All" should actually select all results, not just the results on that page--or at least we should have an additional option that would specifically select results visible on that page.

16. Allow multiple time zones for institutions with campuses in different time zones

    We are currently implementing Alma, and have been staggered to learn that we are only allowed one time zone as our default. We understand that (it seems) most Alma institutions only have the one time zone, but in our case we have two different time zones - and one of them has a period of daylight savings every year, so that adds to the complication.

    We can't see how Alma will be functional for us with Fulfillment and the like, if we can't allow both our east and west coast campuses to have their own time zones in place when working with Alma.

    Are there any other institutions out there that are dealing with multiple time zones? We did wonder if this is where instituting a consortia setup would come into play - we were told early on that very few institutions do this, but since we seem to be one of very few institutions with multiple time zones (we just had to be special), perhaps we would qualify.

    Any advice would be much appreciated, or else an implementation of my idea would help us out a lot.

17. Add the "Public note" of the item to the PNX record

    The content of the item field "Public note" will not be published to Primo. We want to index the public note in Primo but the field is not transferred to the PNX record.

18. Making Copy to Community / Network / Institution configurable

    When searching for authoritiy records, there are options to copy an authority to Network or to Community or even to the Institution zone.

    We understand there may be institutions and consortia administrating different kind of vocabularies at different levels, but this is not the case for all. We see in our consortium too many mistakes due to catalogers selecting the wrong button when importing a record. We therefore strongly suggest making all these options configurable, so that it will be possible to hide the buttons.

19. Folders in "Manage sets"

    We would like the option to make folders in "manage sets". This would make it easier for different depatmants to navigate through the public sets of the institution.

20. Enable Auto Refresh on the Monitor Jobs Page

    At University of Tennessee we have found we are often waiting on lengthy system jobs to process before manually ran jobs are completed. It would be nice if this page had a built in auto-refresh to reload job percentage completion. It is rather tedious to repetitively click the refresh button to see if a job has began or made any substantial progress. If possible the button should be able to be clicked for instant refreshes but it should also refresh automatically in a timely matter. I believe increments of thirty seconds would be favorable or up to a minute. Thank you for considering this idea!
