  1. Interested In Letter – improvement to the usability

    When working on a purchase request, you can tick a box if you would like to notify the patron upon receiving/activation, and upon cancellation.

    OTB the Interested In Letter sends the same message when the request is received or cancelled. The letter in use does not seem designed for the cancellation message.

    This creates a discrepancy between what we choose to notify the patron of, and what we are actually able to communicate.

  2. Allow PO-Line type to be edited

    When we migrated, a lot of our print serials were migrated with the POL type "Electronic Journal - Subscription" and a dummy order was created for the print journal subscription. We still can't figure out why/how this happened. But if there was a way to change the POL type after the creation of the POL, that would probably go a long way to resolving this issue.   3. Tie the Non-Renewal Notice Period or Cancellation Restriction fields in licenses to the PO Line

    Create a linkage between the renewal notice period and cancellation restriction fields in a PO Line, if it is linked to a license agreement that references either a non-renewal notice or termination notice period, ask if this information should sync. Perhaps this is an area where DARA could operate?

  4. Do not create activation task if portfolios are activated on import and do move POL into waiting for invoice status

    When using GOBI API for e-book ordering and loading local stand alone MARC records, we don't want the activation task to be created because the portfolios are already activated on import, and the activation task is hampering the order from moving to Waiting for Invoice.

  5. Allow update PO Lines information job to change continuous to one-time and vice versa

    Sometimes PO Lines are created using the wrong PO Line Type. Currently the Update PO Lines Information - Advanced job allows changing PO Line Type, but not from continuous to one-time or one-time to continuous. This is the error message we see when we try:
    "Could not change a one-time PO line to a continuous PO line or a continuous PO line to a one-time PO line." It would be helpful to be able to change from one to the other in cases where a PO Line was created as a continuous, but should have been one-time, or vice versa.

  6. Manage EDI Tasks - Addition of Fund Code column

    The addition of a sortable Fund Code column within Manage EDI Tasks would be incredibly useful for us. We use two strands of ordering at our institution, depending on if a title is required for research or teaching. The addition of a fund code column would allow staff to easily identify the EDI Tasks for their area.

  7. Ability to add option to see if line has invoice to POL summaries

    When looking at a list of POLs, it would be useful to see in the summary or be able to add to the customised summary view, if the item has been invoiced.

  8. Estimated price -field for following year on continuous POL

    Estimated price -field is needed for databases and another continuous purchase orders for following year budget planning. There should be price fields for both current year and the following year (also possibility to split them to different funds). Estimated price -field should also to be selected on the analytics reports. Publishers may change database or journals prices a lot more than average rate.

    There are currently no POL line types for streaming content.

    I'd like to see the following POL Line types added:
    Streaming Video - Subscription
    Streaming Video - One Time

  10. Keep POL reclaim interval and grace period when changing vendor

    We have an issue with acquisition when it comes to continuous orders. If we change a vendor for a given POL, the data previously entered for the grace period and the reclaim interval disappears. They are replaced by the default value from the vendor.

    This can be quite a serious issue when changing vendors for many POLs at once, which happens from time to time.

    It would be much more efficient to keep the grace period and the reclaim interval for the POL, as it's linked to the serial publication interval.Grace period and claim interval depends on title periodicity.

  11. Overriding and/or deleting a continuous POL at the item level

    As a cataloger at a large research library, we frequently receive gap-fill purchases of periodical issues from third-party vendors or as gifts from donors—including for subscriptions that are still open.

    We know that we can associate a POL at the holding level, but this is undesirable for these situations where we need to trace the POL/method-of-acquisition to an individual item. Also, if you change a continuous POL at the item level, Alma changes the POL for every item attached to that same holding.

  12. Make PO line Rollover Job work dependent on ledger and possibly fund codes.

    User Story. Currently we our Acquisition team have a different set of ledgers to our Subscription team. When we do a Rollover of funds and ledgers this is not an issue. However, when we are trying to test the PO Rollover it is difficult to separate out the PO Lines that are for the Acquisitions Rollover and the Subscriptions Rollover.
    Solution - It would be better if you could only roll over PO lines that were attach to a specific ledger (and possible set of fund codes). So that we could run the Acquisition rollover separately to the Subscriptions rollover.

    Our colleagues are missing the field "Acquisition method" in the results list when searching for PO Lines.
    Currently the field is only a facets value but this will also not add the field to the Excel export file.

  14. Additional functionality for new Born Digital POL types

    As a Legal Deposit library we process physical and born digital material in the same way through Acquisitions; creating bib records (often pre-publication), POLs and claiming if we don't receive material in the expected timeframe. We need the new Digital POLs to work as close to the Physical workflow as possible.

  15. Provide a solution to use POLs in context of Auto Holdings collections

    The Auto Holdings collections are a big help for activating electronic resources. However, if you want combine them with manage your orders for the resources in Alma, you run into problems.
    Use case 1: A library orders several thematic e-book packages on a yearly basis from Springer. They activate SpringerLink Books - AutoHoldings. All e-books are activated there. If, however, the library wants to retrace, wich thematic packages they bought in which year, they are confronted with n POLs attached to SpringerLink Books - AutoHoldings with no chance to sort out quickly, which order pertains to which collection and which…

    When starting a communication with a vendor the body field is pre-populated. Unfortunately, the fund name is missing. We would like to have to option to add the fund name in the communication letter (via letters configuration).

  17. Allow more than 50 POLs on a PO via manual packaging

    Right now, in the Purchase Order - Package screen, you can only package 50 POLs onto one PO. The "PO lines to package" screen will only display 50 POLs max, and if you select all, then go to the next screen, it removes everything from the first screen that you selected. This means only 50 POLs max can be put on a PO. This is frustrating when we put in an order for more than 50 items and have to create multiple POs for a single order. I think the easy fix would be to have those POLs remain checked…

  18. Delete interested users job - independent of Interested In Letter

    Ex Libris says the Delete interested users job "Runs weekly to delete interested users that are linked to closed or canceled PO lines. The job checks that an interestedin letter was sent to the interested users before removing it from the PO Line. Interested users will not be removed from a closed or canceled PO line if a letter was not sent to them."

    Due to privacy regulations, we would like the job to run regardless of a letter being sent or not. The closed or cancelled PO line should be sufficient to run the job.

  19. Always add newly implemented fields to API and Analytics

    We have repeatedly run into issues with the following: Things implemented in the Alma UI are not automatically available via API and/or Analytics.

    Recent examples include:
    * June 2020 "Can't edit restricted users" - Ex Libris offered to add this to the API, but not to Analytics
    * CDI Search activation status - as of now it is not clear whether we will have access to this via API

    To be honest: I am not willing to open an idea or NERS every time Ex Libris thinks it's nice to have something in the Alma UI, but do not care…

  20. Batch deleting PO's

    There is currently no system job to delete PO's. These have to be done manually using the Acquisitions>Purchase Order>Delete PO function individually in ALMA.

    We have 1000's of old orders migrated from our legacy system that are no longer required. We also now only keep 7 years worth of orders in line with current financial practice and so would like to be able to set a job to batch delete at rollover into the new fiscal period.
