  1. Alma task lists: "Assign to me" and bulk actions

    In Alma task lists ...


    • Electronic resources - activation - unassigned (Electronic Resource Activation Task List)

    • Order Lines - review - unassigned (Purchase Order Lines in Review)

    • Invoices - review - unassigned (In Review Invoices)

    ... there is only a row action ("..." button) to start the "Assign to" dialog which opens a pop-up window where you can select a user. Our colleagues are not satisfied with this cumbersome assignment functionality.

    The missing functionalities are:
    (1) a one-click "Assign to me" button
    (2) a bulk functionality for "Assign to" and "Assign to me" (it is already possible to mark several…

  2. Batch deleting PO's

    There is currently no system job to delete PO's. These have to be done manually using the Acquisitions>Purchase Order>Delete PO function individually in ALMA.

    We have 1000's of old orders migrated from our legacy system that are no longer required. We also now only keep 7 years worth of orders in line with current financial practice and so would like to be able to set a job to batch delete at rollover into the new fiscal period.

  3. Ability to edit "subscription from date", "subscription to date", and "additional information" fields on closed invoices

    For some institutions, this data did not migrate, and for others, there are invoice operator errors that need to be fixed. This is vital to subscription management. We need this.

  4. Ability to store & track VPAT® documents

    As part of the procurement or licensing process, many libraries may request that a vendor provide a VPAT® (Voluntary Product Accessibility Template) in order to indicate their compliance with Section 508 of the US Rehabilitation Act. It would be desirable if functionality could be developed somewhere in Alma that would allow libraries to track & report whether/when a VPAT was requested and received, which VPAT version was used, and local notes related to accessibility testing.

  5. Include Attachments Tab Data in XML Output of Invoice Export

    Currently, when you send invoices to your S/FTP server, only data from the Summary tab and Invoice Lines tab are included in the XML output.

    We would like the data from the Attachments tab to be included in the XML output as well for our upcoming integration with Workday. Workday requires a URL for the attached invoice and the Attachments tab is the place to store this.

    These data also do not appear to be available via the API. Adding these data to both places would be ideal.

  6. Setting a pickup location for interested users

    It would be nice to set the pickup location as you do with requests. Currently the item goes to the "owning library" and the pickup is set there. We have Faculty that prefer different libraries for pickup so if a book is purchased but we allocated it to a Science Library but the faculty goes to a different library we can't set the pickup for that item.

  7. Incoherent date in the “Date” column when the transaction type is “Expenditure”

    According to the developer, the expenditure date comes from the invoice date and always comes from it (see documentation at https://knowledge.exlibrisgroup.com/Alma/ProductDocumentation/010AlmaOnlineHelp(English)/020Acquisitions/030Invoicing/020Creating_Invoices).

    As you can see there, the calculation of the exchange rate is also done according to this date: "By default, Alma calculates the value of the transaction based on the exchange rate on the date specified in Invoice Date."

    Now we know where the date comes from when the type of transaction is “Expenditure”. However, in other types of transactions (transfer, allocation, encumbrance, etc.) the date that appears corresponds to the moment in which…

  8. Seperate the price and currency in Item's inventory price

    The field Inventory price field in physical item contains price and currency while Alma copies price from POL to item.Please seperate the currency into anohter field and make sure the price field is numeric. In this way, the Inventory price field can be counted directly.

  9. Automatic Hold Item check for its interested user

    Please make it possible that when a PO line has an interested user, its Hold Item gets checked automatically by using any of the following methods:

    1) the library's configuration change
    2) Import Profile setting
    3) Update PO line job

    This function is necessary for Patron-Driven Acquisitions which takes up most of our purchases. Now we manually open each PO line and tick the box one by one, which is one of the biggest hassles when there are hundreds of PO lines to review.

  10. Add a "Platform" field to SUSHI Release 5 Account Details

    A field for Platform needs to be added to the SUSHI Release 5 account details page. Some vendors, specifically Elsevier, require that platform information is included to harvest data via SUSHI.

    LibInsight provides a "platform" field in the SUSHI release 5 account set up. With COUNTER 4, the platform was provided before the customer ID (SD/C000000123). For release 5, a separate field is required.

  11. Add a Description column in the Received Items List page

    Subject: Add a Description column in the Received Items List page

    As a Receiving operator, I would like to be able to see the description of the item I am receiving in the Received Items List page, without needing to click on Edit Inventory Item to navigate to the physical item editor.

  12. “Creating an invoice from PO” always sets the encumbrance to zero

    The use of the function “creating an invoice from PO” is essential for us. It saves a lot of work during invoice processing. The function always sets the encumbrance to zero, even if only a partial invoice has been recorded (for example: encumbrance: 300 Euro, partial invoice: 100 Euro -> disencumbrance: 300 Euro instead of 100 Euro).

    Ex Libris write: "This enhancement is already on the Alma Road Map but I can't provide a date now when this will be implemented."

    From our point of view, this is a mistake and should be corrected. A disencumbrance of the budget may…

  13. PO Line and invoice attachments: Upload/View/Edit/Delete - additional user roles needed

    It is possible to upload attachments to a PO Line or an invoice. These attachements can be viewed, edited and deleted as well.

    In case of using Alma as (the only) data storage for e.g. invoice PDFs, it is very important that attachments can be deleted only by specially privileged staff users. Deletion might be necessery e.g. because of erroneous uploads.

    Looking into the 'Roles Reports' shows that there is no 'Delete' option listed (so Edit means also Delete):

  14. Add Additional Fields to the Create Purchase Request Form

    We have access services library staff who create purchase requests for items to place on reserve as well as requests from students and faculty. It would be very helpful to Acquisitions staff to have a few additional fields/enhancements on the Create Purchase Request form:


    1. Add a Receiving Note to the form - we add reserve information to the receiving note so that the staff member receiving the item sees that the item is for reserves. Checking the notes tab is an extra step and the note could easily be missed.


    2. Requester field. The requester automatically becomes an interested user, but…

    We would like to be created a new target in SFX KB for the objects (ebooks) included in the file attached (MIT Press Philosophy collection).
    The access that will should be created is from the site of the publisher MIT PRESS https://direct.mit.edu/, not of the vendors.

  16. Generate Feedback Message with Link to E-Resource Activation Task

    When creating an e-activation task for an electronic inventory item directly from the portfolio or collection, the feedback message contains only an informational message that the task was completed but does not contain a link to the task on the E-Resource Activation Task List. We would like to see a feedback message that would include a direct link to the task so that the user can then handle the task (for example, assign the task to themselves or to others.)

  20. Copy of communications in the Attachments tab at POL level

    In each POL in the Attachments tab, the communications sent to the providers generated through a job are saved.
    It would be useful if manually generated communications from the Communications tab could also be viewed from the Attachments tab.
