  1. Enable suppression of assets on portal and profiles before approval of the asset

    We can currently only suppress assets from the portal and profiles after we've approved the asset post. This approach carries the risk of forgetting to adjust the asset's visibility later, potentially leading to it being visible when it shouldn't be.

    Ideally, you should be able to complete all aspects of an asset post, including adjusting its visibility, before approving it. This is particularly crucial for key functionalities like the visibility of an asset.

  2. Ability to display thumbnail images of outputs wherever they are listed (e.g. on the Outputs tab of a Profile)

    Currently, when a file has been loaded to an asset, the thumbnail shows in the repository view, but not the profile view.
    Likewise, if the asset is listed as a related asset to a project, the thumbnail does not display.
    We would like to see consistency so that the thumbnail is display anywhere there is a list of assets.

    This is especially important for profiles as we are currently trying to encourage our creative academics to use their profiles and having a visual element would make them much more inclined to use them.

  3. DataCite integration with research resources (equipment)

    Esploro currently supports landing pages for research resources (such as equipment, instruments, and facilities), which is a great step toward improving visibility and discoverability. However, these resources are not yet integrated with Persistent Identifiers (PIDs) like DOIs, which are increasingly required under national and international PID strategies (e.g., Australia’s National PID Strategy).

    Assigning DOIs to research resources ensures they are treated as research objects, enabling better tracking of usage, linking to related outputs and grants, and supporting reproducibility. DataCite provides a schema for minting DOIs for resources, but Esploro lacks a direct workflow for this integration.

  4. Default values in deposit form customization

    When creating a new form to allow users (PHD student/researchers, ...) to upload specific asset types could be useful to set a default value for some field: e.g. the publisher name and place for ETD of PhD students

  5. Selecting a license in self-deposit

    Selecting a license is not intuitive on the self-deposit form. You have to click the three dots next to the file after it’s been uploaded, then select the license. This is too bothersome for the researcher, so she's not selecting a license. We can leave this blank for most items, but it's very important for anything we're registering with CrossRef or DataCite, so it requires follow-up with the researcher. It would be better if the form prompted the researcher to select a license (or not).

  6. Display Esploro Asset Creation Date in Portal

    I received the business/use case below from Carla Cher, the Manager, Intellectual Property and Commercialisation here at RMIT University for displaying the record creation date in a publicly available asset record on the portal.

  7. Harvest Media Mentions from Altmetric

    Media Mentions are an excellent way to showcase the impact of our university’s research, but we haven’t made use of this functionality because we don’t have the staff time to find and enter this information one by one. But there are sources for this data, like Altmetric. Esploro already displays Altmetric scores, badges, and details at the research asset level. Altmetric tracks each mention of a research output by news outlets (for example: https://dimensions.altmetric.com/details/49291201/news). If Altmetric news outlet mentions could be harvested by Esploro as Media Mentions, it would greatly improve the efficiency and effectiveness of this functionality. As…

  8. Add ability to keep assets in sets in a specific order

    It would be great to have the ability to keep the assets within a set in a specific order. Now that we can use Analytics reports to create sets in Esploro, we would like to use top 10 lists we have created specifically for our institution to create sets of “top 10” assets, and add them to the Top 10 lists area on our homepage. You can currently do all of those things, but the set will not not stay in top 10 order. So the list that displays on the home page is not in top 10 order.

  9. Impact Idea 3: Extra Research Topics/Subjects

    Expand the range of research topics and subjects within Esploro Projects by adding options for ANZSRC Socio-economic Objectives (Why), ANZSRC Fields of Research (What/How), and Sustainable Development Goals. We propose including up to three Fields of Research (FoRs), three Socio-economic Objectives (SEOs), and three Sustainable Development Goals (SDGs).

    This enhancement will improve project categorization, aligning better with global research standards and facilitating more effective tracking and reporting of research impact.

  10. Include records with external links in the Esploro scope for Primo VE

    A new custom local data scope (Available Research – with inventory only) was introduced in the July 2025 Esploro release. This provides flexibility to add the scope in with other scopes (Alma, Digital, CDI etc.) to create a blended search profile.

    This is a great addition, but we have found that the new custom local data scope only includes Esploro records which have files attached or that have a link with either institutional or null link ownership.   12. Consolidated Task List for all assets requiring staff intervention

    When our staff work on approving assets they need to work off multiple lists because of how they are displayed in the tasks list. We would like to see a consolidated list of Draft and Pending Approval assets so that we can then filter by date or researcher to work through them as a batch. As it is, we need to check in the Smart Expansion task list, the Research Deposits task list, and the Smart Harvesting task list.

    A consolidated list would streamline our workflow and make assigning tasks to users significantly easier.

  13. Embargo options for Links

    When researchers deposit large dataset files, it is often impractical to upload them to Esploro. In those cases, we store the datasets externally. Then, in the Esploro record, we upload a readme file and add a link to the externally-stored dataset files. When access to the linked files needs to be embargoed for any number of privacy and security reasons, we need to be able to register DOIs, provide open access to the readme files, AND embargo access to the link(s).

  14. Include researcher proxies in Esploro letters and communications

    Allow repository staff the ability to communicate with researcher proxies regarding deposits. Currently, all letters and communications regarding deposits are sent only to the researcher. In cases where a researcher has appointed a proxy to deposit assets and manage their profile, library staff should have the option to send messages to the appointed proxy instead of or in addition to the researcher. Staff should be able to select this option when approving or returning deposits or using the "Contact Researcher" button. Proxies should also have the option to recieve letters about the researcher accounts they manage.

  15. Automatic update for forthcoming article with the published date

    Hi, would it be possible to have a job that automatically update the asset information once the journal article is published either by using the metadata from the DOI or from WOS Identifier? For example, to add the published date alonside the first online date, and fill in the volume and issue, as well as the pages number?

    Updating the forthcoming manually is quite tedious, and I believe that it wouldn't be too difficult to automate it, as the information exists in the DOI's metadata (publish print / publish online date part)

    Enable Projects to be linked with additional entities, such as Activities, Media mentions, and Resources to Projects. This will enhance the depth of project information and make it easier to track various related aspects of research activities.   17. Allow customers to modify the frequency of the usage statistics letter

    Currently, the usage statistics letter can only be sent monthly. Some researchers find this schedule too aggressive (especially considering asset usage doesn't typically change dramatically from month to month). Many of these researchers tend to unsubscribe as a result. However, some have suggested they would be more open to receiving these notifications is they were less frequent. We suggest Ex Libris consider giving customers the option to modify the frequency of this letter (i.e., quarterly or annually).

    Ideally, it would be great if researchers themselves could manage their notification preferences (including frequency) from their researcher profile. See related enhancement request:

  18. Improve functionality of ETD Degree Names table

    Issue 1: Currently, ETD degree names must be manually entered individually into the table. There is no facility to upload a spreadsheet to populate the table. When repositories need to account for all relevant current degrees as well as past degrees for earlier theses uploaded, this list can be very long - we had 100.
    Solution: allow for spreadsheet upload to populate table.

  19. Add asset type Blog post as a type of Publication

    We need an asset type Blog post to appear under Publications. These are not entire blogs. These are not interactive resources. They are a type of publication. We currently use asset type Other with a subtype Blog Post, but this means the items are not integrated with other publications on a researcher's profile.

    We had hoped to deal with this through a 2023 roadmap item "Local Management of Asset Types and Categories" but it appears this will not be happening.

  20. Assign assets with active messages to administrators

    Currently, you can only assign assets that have not yet been approved to administrators. Due to the built in messaging system in the faculty profiles, it would be helpful from a management standpoint to be able to assign assets with active messages to administrators. Currently, assets with active messages are only visible in the general task list. It's not possible to know what is in progress or being reviewed by another administrator unless you open each asset to view any communications.
