  1. Configure date types used for searching and filtering in research portal

    Currently, the Date facet in the research portal includes all types of dates associated with an asset (e.g. created, published, submitted, availability). Some of these dates may be used more for administrative purposes (i.e. we use Submitted for when items like ETDs were added to the repository, which may not be related to when the asset was created), and therefore should not be used for filtering search results for users.

  2. Ability to control the public visibility of grant information

    Give customers the ability to manage the public visibility of grant information. The details of certain grants cannot always be made public. Therefore, institutions must have the ability to selectively suppress grants from discovery and control the public visibility of certain elements (e.g., amount). Ideally, this control should be available both to Esploro staff as well as the researcher/grant recipient.

  4. Unpaywall OAI-PMH Output

    Here at RMIT University, we would like to make available our open access repository content to Unpaywall. https://unpaywall.org/

    In order to do this, Unpaywall have advised us of two changes that need to be made to our OAI-PMH output to enable harvesting by them.
    Firstly, they require us to configure our OAI-PMH to include clear identifications of the versions of the attached open access files, i.e.. Published Version, Accepted Manuscript and Submitted Version.
    These descriptions are used in our current Esploro Repository instance and it would be ideal if these could be included in our OAI-PMH output. Unpaywall have recommended…

  5. Display book subtitle on researcher profile

    When we add a book for a researcher by ISBN, the system correctly puts the book title in the title field and the book subtitle in the subtitle field (example: Title = Epidemic invasions
    Subtitle = yellow fever and the limits of Cuban independence, 1878-1930). However, on the researcher record, only the title (Epidemic invasions) displays. When you click the title to get to the Esploro research portal, both the title and subtitle correctly display.

  6. LoC and DC Headings

    We would like to have the availablity to select Library of Congress or Dublin Core Subject Headings instead of the ExLibris base set of subjects. We found that ExLibris's base set is poorly inadequate and it became a huge annoyance and time consuming to copy and paste the Library of Congress headings for our catalogers.

  7. Embargo end date calculation should consult the “first Online Publication” date, not only the “published date”

    Currently, If there are, in an asset, both “Published Date” and “First Online Publication” – Esploro calculates the embargo end date based ONLY on “Published Date”. The embargo end date should first consult the “First Online Publication” date.

    We suggest this workflow when calculating the Embargo end date:

    Take “First Online Publication”
    If none -> take “Published Date”
    Any non-standard use cases (which are probably the minority) can be handled by entering an explicit embargo end date.

  8. Improve version control of research assets

    Research outputs typically go through several different iterations or versions over the course of their lifecycle. NISO, for example, defines up to seven versions of scholarly journal articles <http://www.niso.org/publications/niso-rp-8-2008-jav>. In order to avoid confusion, support proper citation, and ensure compliance with publisher open access policies, it is critically important that institutional repositories clearly distinguish between different versions of the same work by prominently displaying this information in both the asset record and PDF cover sheet.

    Esploro currently offers two options for communicating version: asset type and file type.

  9. Esploro - Add action for assigning a name variant to job Update Set of Research Assets

    Sometimes we need to bulk update the name displayed in the Discovery Portal for a Researcher. To do so we create a new name variant but we would also like to bulk update all assets related to this specific Researcher with the new "Name Variant".

    To do so an action "Choose Name Variant" could be added to existing Job: Update Set of Research Assets / Task Creator or Contributor

    Such a feature would also be very useful to refine the data after an import via file or an harvesting.

  10. Offer separate search scopes for faculty and student research assets

    Our institution uses Esploro to provide access to two different types of research assets: faculty publications and ETDs. Currently, Esploro offers the option to search ETDs separately from other assets. However, it is not possible to search our faculty assets separate from ETDs. We would like the option of parsing students and faculty assets into completely separate search scopes rather than having them combined into one.

  11. Lock asset to prevent simultaneous edits

    We've developed a backlog of deposits to process. When multiple staff are working on processing these deposits it's currently possible for editing conflicts to occur if the same asset is edited simultaneously.

    Could a lock please be added to the asset to prevent such conflicts?

  12. Enable movement of internal organisation units in hierarchy

    Issue: We have recently undergone a restructure and many of our internal research centres and units have been moved and report to a Faculty. The affiliated researchers need to reflect this on their profiles. Currently a new organisational unit would need to be added however it is the same organisational unit with the same orgid. We cannot move the orgunit and associated assets and need to create a new orgunit under the parent organisation (then move the assets into it) however the orgid cannot be used as this is a unique identifier.   13. Add dedicated accessibility fields

    Add fields to document the accessibility of individual research assets. This information can help Esploro managers track accessibility compliance for items and set expectations for users who may want to access items. At minimum, one field with controlled vocabulary terms and another for free-text entries would be helpful.   14. Draft mediated deposits display in profile

    Currently, drafts of mediated deposits do not display in researcher profiles. Complicated mediated deposits like datasets often go through several drafts before they are ultimately approved and published. In these cases, it would be very useful for the draft deposit to display in the profiles of all affiliated researchers for their review and feedback.

  15. Add notes that display in Esploro brief record display

    Though many Esploro researcher deposits naturally disappear from the research deposits queue as part of their lifecycle -- approved, returned to researchers, etc. -- for deposits that for one reason or another have to remain in the deposits queue for an extended period, a type of internal note explaining their presence in the brief display would be very helpful.

    In our case, our library does the work of seeking OA permissions for deposits, leaving deposits in the queue awaiting responses for a period of days, weeks, and in rare cases months. As you may imagine, this can build up very…

  16. Add job to batch edit and/or suppress file labels in File Viewer

    Currently, the file label displays in the File Viewer above the file itself and appears as prominently as the title of the asset (same font and size). For the thousands of assets we migrated to Esploro, this file label is by default the file name, which references the ID number of the file in our previous repository and nothing else (e.g., no author, title, year). This is not at all helpful to our patrons and is frankly quite ugly. So I would recommend that you add a job to edit and/or suppress the file labels in batch. Right now we…

  17. Add student profiles from Alma as Creators or Contributors for Assets

    We would like to track presentations, grants, student art exhibits, performances, and other activities that would qualify as artistic or scholarly outputs by students completed as part of their studies. We would like to add students (via their Alma profile) as Creators or Contributors to research assets. However, it doesn't seem like we can do this unless we add students as researchers. We do not want to create researcher profiles for students. Esploro allows tracking of these via ‘Assets’ but students can only be manually added, instead of imported from their Alma user record.     Resources inserted in Esploro are duplicated in Primo VE when a bibliographic record for the same work exists in Alma or in other collections.

  19. Approval notification email - weekly option

    It would be good to allow researchers to subscribe to a weekly summary of new assets approved rather than receiving an individual notification for each asset on approval. When adding multiple assets for one researcher, the researcher may feel overwhelmed by the number of separate notification emails. It is possible to turn off approval notifications temporarily, however the librarian would need to remember to manually turn it back on once the assets have been added. Having a single weekly summary notification may be more end-user friendly.

  20. Include researcher proxies in Esploro letters and communications

    Allow repository staff the ability to communicate with researcher proxies regarding deposits. Currently, all letters and communications regarding deposits are sent only to the researcher. In cases where a researcher has appointed a proxy to deposit assets and manage their profile, library staff should have the option to send messages to the appointed proxy instead of or in addition to the researcher. Staff should be able to select this option when approving or returning deposits or using the "Contact Researcher" button. Proxies should also have the option to recieve letters about the researcher accounts they manage.
