How can we improve Esploro?

  1. Ability to update affiliation of researchers attached to a grant

    When adding a researcher to a grant you are not able to update their affiliation.
    Assuming Esploro will be developed to show collaboration in grants, it will be necessary to have the correct affiliation showing for the researchers attached to a grant, similar to the affiliation for researchers attached to an asset.

  2. Configure Time Delay of Letter Delivery

    Similar to scheduling the time of an email in Outlook (see attachment), permit the Esploro letters administrator to set a time delay for when letters are sent.

    Our use case is as follows:
    When we enter new theses, it can take up to 15 minutes for them to be available via the public portal after record 'Approval'. If enabled, a Deposit Status Update Letter is sent to the author immediately on 'Approval'. If the author opens up their letter straight away, they are presented with a dead link. We have disabled the Deposit Status Update Letter as a result.

  3. Close current internal affiliations for purged users

    When a user is purged their researcher record is updated from "Affiliated" to "Non-Affiliated - Previously Affiliated." However, their internal affiliations are not moved from "Current" to "Previous". In order to do that, customers must additionally run the Update Set of Researchers job. We recommend that this functionality be added to the purge job so that when a user is purged all open internal affiliations are closed with todays date.

  4. Ability to bulk download files from asset record

    We have some assets, especially datasets, that have a large number of files attached. It would be very handy if it was possible for a user to bulk download all (or selected) files rather than having to download them individually.

  5. Add Teams, Committees, Working Groups as data in Profiles

    We would like to see information in the profiles that indicates what Teams, Committees, and Working Groups a person is on or has been on in the past. The field should be indexed so it is searchable and include a date range.

  6. Provide Asset Update API Method

    It would be useful in some circumstances to be able to Asset's via the API instead of manually through the administrative interface or the export, modify in Excel/CSV, and re-import.

  7. Remove formatting bar from 'Biography and expertise' field when field is disabled in front end

    When the 'Biography and expertise' field is disabled for researchers in the front end, the formatting bar should be removed to avoid confusion.

  8. Ability to reorder sections on the Researcher Profile Overview page

    We are using the Research Engagement field to indicate which faculty are open to speaking to the media. (We've labelled this "Media Availability.") This often appears at the top of the profile (e.g. when the researcher hasn't filled in the "Areas of Interest" field), and we would like to be able to move it down.   9. ORCID Integration - Push to ORCID in Asset

    The current Esploro ORCID integration allows a Delete from ORCID option associated with an asset that runs immediately. Could we have the same option but to push the asset to ORCID?

  10. Option to make file upload required on researcher deposit form

    Our institution requires that researchers upload an electronic copy of their work to add it to the repository. However, researchers often submit the deposit form without adding a file. In order to prevent this from happening and avoid having to return the deposit as incomplete, we would like the option to make file upload a required field in the researcher deposit form.   11. Make subtype display more prominently

    The subtype field could make our existing asset types much more flexible if it displayed in the brief results (both in the portal and on profiles). We use it to clarify "other" and to add more specificity to an existing type, for example Statutory Drafting, Brief of Appellant, Documentary, and Audiobook. A facet is actually not a good solution (despite having previously suggested it and that being implemented) because it makes these minor subtypes appear very prominently for broad searches.   12. batch revise author role

    We had a request to create a report identifying corresponding authors. We do not have this data in Esploro. We may be able to get this data, but we have no way to alter author roles in multiple assets in an efficient manner. As CREDIT and other uses of roles in an asset become more important for our faculty members and departments, having a way to add this information in an efficient manner would be very helpful

  13. Harvest Media Mentions from Altmetric

    Media Mentions are an excellent way to showcase the impact of our university’s research, but we haven’t made use of this functionality because we don’t have the staff time to find and enter this information one by one. But there are sources for this data, like Altmetric. Esploro already displays Altmetric scores, badges, and details at the research asset level. Altmetric tracks each mention of a research output by news outlets (for example: https://dimensions.altmetric.com/details/49291201/news). If Altmetric news outlet mentions could be harvested by Esploro as Media Mentions, it would greatly improve the efficiency and effectiveness of this functionality. As…

  18. Analytics - ability to report on 'Asset Approved By'

    In Analytics, under the 'Esploro Research Assets' subject area, we can currently report on 'Asset Created By' and 'Asset Modified By'.

    We'd like to also be able to report on 'Asset Approved By'.

    This additional functionality will assist us in monitoring the work of trainees that are learning the system and our processes.

  19. Show the languages information in the Researcher Profile

    Currently, we register the languages spoken by the researchers in the back end of Esploro. But this valuable information is not visible in the public Researcher Profile. We would like this info to be visible, since this way researchers can be contacted in different languages facilitating networking.

  20. pop-up notification when communicating with researchers about an asset

    When communicating with researchers about an asset, staff members must open the asset record, navigate to the communication tab, enter their message, and click "Send." However, their message is not actually sent to the researcher until the asset record is saved. This is not particularly intuitive, especially because the message appears as a new line in the communication history with the date sent and name of recipient. In order to make this step clearer, we recommend adding a hint or pop-up notification letting staff know the asset record must be saved in order for the message to be sent.
