Allow more customization on when notices are sent to Interested Users
Right now, if we add an interested user to a PO Line, they receive a notification when the book is received by the library. They often then make their way to the Access Services desk almost immediately, assuming a request was placed on the book, and anticipate checking it out. However, the title is usually still in Technical Services for end processing, copy cataloging, etc.
We would like to submit an enhancement request that this feature be more customizable, allowing us to delay the notice being sent to the interested user until the book is out of processing and has a location relating to Fulfillment or the stacks.
Dear community,
As stated below by Zohar Shemesh, for physical material it is possible to "keep in department" and have the letter to interested users sent only when "Done".
The description of this idea focuses on physical material. In the comments, some ideas were raised regarding electronic material.
I close this idea as the physical material part is already supported. You can open a separate idea, focusing on electronic material.
Thanks,

We are seeing the same and we are trying to customize our letter for electronic activation notification to be able to be used for these instances as well.

Has anything been done with this idea recently? I would also love to be able to notify interested users when a physical item is ready to circulate, but not necessarily hold it for them. Right now, I see the option to notify interested users when received. We’ve tried that, and then people show up for it before it has been cataloged and processed (happened just last week). There is also the option to hold it for someone when ready, but not all patrons actually want the book (or want it for themselves). They just may want to know we have it, and recommend it to their students, etc.
We would like to be able to do something in between- notify interested users, but not hold it for them, when the item has been cataloged and is ready to circulate. I can’t figure out a way to do that… -

When is this development work due to take place please?

Will this idea be included in Delayed Emails functionality, which is on the Alma Roadmap for H2 2019? Could the OOTB Interested Letter include link syntax so that we could give users a link that they can click to access the resource directly without having to search Primo?
More and more, our users are requesting digital/electronic items for purchase. They are frustrated when they cannot find their resource in Primo, after having received an Interested In email from the Library, telling them the resource is available.

Has this been implemented? I seem to be getting notices about receipt now when they have become available. Lots of my requests are shelf-ready which do become available right away but at least since March notices for books needing processing are coming when available.

I agree with Maaike. The message should be sent when the item is marked as done, and so made "available".
We note this idea to develop is "planned" but there has been not update for 9 months. This enhancement would be a great help for us.

Hi Yoel,
Seems like your proposal is a good one for covering the scenarios and preferences that have been presented.
Nuances always come into play when a change actually goes to Production and is active use, but those are inevitably difficult to predict in combination with local setup. We appreciate that you are willing to call for our input in this.

We have this same problem and an enhancement would help immensely.

Hi:
In light of the previous comments and in order to make this technically feasible and also accommodate all opinions, how does the following sound:Create two parameters:
1. delay_days_interested_user_notification_physical
2. delay_days_interested_user_notification_electronicParameter delay_days_interested_user_notification_physical = the number of days between when a physical item is scanned in at the circulation desk destination and the letter will be sent to the interested user. Note that the number of days begins when item is scanned in at the circulation desk and not when it is received. This accommodates suggestions below such as that of Kathleen who states "I like the original idea of tying the sending of the message to reaching a designated location"
Parameter delay_days_interested_user_notification_electronic = the number of days between when an electronic resource is activated and the letter will be sent to the interested user.

I agree with Shannon. We also use the acquisition workflow and work orders. For us, X number of days doesn't make sense. The message should be sent when the item is marked as done, and so made "available".

I agree with Stacey & Ann - we also would prefer not to see any pop-ups.

I have a suggestion for D. could the message be set to send when the the physical item is marked as done in acquisitions workflow? or X number of days after it marked as done instead of x number of days after it is received?
I understand that not everyone uses the acquisition workflow, but this is what would work best for my institution. That said, of the offered options, I prefer C then B.

I like the original idea of tying the sending of the message to reaching a designated location on the fulfillment side - delaying notification by X number of days doesn't take into account if something crops up that delays processing/cataloging of the item. Additionally, if processing occurs sooner than expected, the item could be sitting on the shelf for several days before someone is notified.

The most important for us is that newly activated electronic items can be found in Primo when patrons get notified.
Option B would certainly give a maximum of flexibility to all Alma institutions.
Do you plan to have this working with a new Scheduled Acquisition job (at HH:mm as it will be defined in the configuration)? Or will the notifications be sent with an exact 24h, 48h, etc. delay after item has been received/activated?

Hi Yoel, I agree with Stacey that we would want to avoid pop-ups. Option B would work fine with us.
Thanks, Ann -

Hi Yoel,
I'll pipe up to give our opinion on your proposed options, as a voter but not the original submitter.
Each has pros and cons, but perhaps a mix of A or B, and then also C would be good.
In sum, the ability for Administrators to set a global parameter for the majority of acquisitions, but also the ability for an individual user to override the global setting when needed in unique scenarios.
If C was implemented, it would be best as some sort of optional fixed field or drop down menu to change the default global setting, rather than a popup, as popups require more clicks to navigate past.

Hi.
Thank you for the idea.
Please allow us to request clarification here.
Note that this is a request for further clarification and not a statement that we will make one of these suggested changes below.Which of the following would you prefer / need ?
A. A global parameter for example delay_days_interested_user_notification which would be the number of days between when a physical item is received or electronic resource is activated in which the letter will be sent to the interested user. Default will be "0" this behaving like today. If set to "2" then if the item was received on Jan. 19 then the letter would be sent on Jan. 21.
B. Two global parameters for example delay_days_interested_user_notification_physical and delay_days_interested_user_notification_electronic and the first one would be like option A but only for POLs of type physical and the second one would be like option A but only for POLs of type electronic
C. A pop-up window which would appear when doing receive which would have two radio buttons: "Send user notification message"
1. Now
2. In X days.
If choosing button "in X days" then there would be another box to put in the days.D. Something else
Thanks again for the suggestion

This customization to delay notices would also be very helpful for electronic resources that notifies interested users at the moment are 'activated' from the electronic resource activation task list. Because it takes an overnight job to load the records in Primo, the interested user receives the notification before they can find the mms record for the title in our catalog.
