  2. Additional PO line for Electronic portfolios/collections to show these additional resources in the PO Line

    The new Additional PO option in the electronic portfolio/collection editor is great, but it would be good if these resources could also be identified from within the additional PO itself.

  3. Change Financial Year dates after they have been set

    It doesn't look as if it is possible to change the start and finish dates of any financial year in Acquisitions Configuration > Fund And Ledger Fiscal Period table mapping tables once the year has been created, unless it is deleted completely.

    Can it be made possible for the start and (in particular) the end dates to be edited having already been set and saved, if so required?

    Being able to do this would be of particular benefit around the time of a financial year rollover, especially if an institution cannot be certain that all financial transactions for the outgoing…

  4. Barcode column can be sorted in Receiving Department Items.

    We suggest that all columns can be sorted in Receiving Department Items. Especially the barcode is the necessary column to be sorted because it is used for the sequential number, so that we want to display in ascending/descending order.

  5. Ability to link to single interface records from vendor record

    At the moment, when you link to an interface from a vendor record in Alma the interface record cannot be linked to one that has already been set up. For example, if you have Vendor A and link it to Interface X you cannot also link Vendor B to Interface X. You are also unable to have two interfaces with the same name. This is required in situations where we have multiple vendors for the one interface. For example, SAGE journals are acquired directly through SAGE but the ebooks are acquired through iGroup.     Make it possible to deactivate vendor records from the vendor list by clicking on the "active" checkbox, rather than having to edit each record individually.

  7. When you change vendors in the PO, there should be a warning note if a PO# is not entered

    When you change the vendor for a PO, there needs to be a warning note if you do not fill in the PO#. If you are doing a large number of these (say you changed vendors for a e-journal package) it's very easy to miss putting in one po number, thus changing all your open PO's with that vendor to another vendor.

  8. need more search criteria in acq such as operator id or create/update date

    It would be useful to have some additional search criteria, such as operator id, and facets, such as a last update date range and status, available to monitor staff productivity. Not just in purchasing but in all areas of acquisitions the site reports the need for functionality that will allow a combination of attributes of the records to generate results. For example, an operator should be able to search using their user name, some category of task (po lines in review, invoice lines in review, invoices pending approval, etc.) and a date or date range, or status (sent/ waiting auto…

  9. The default receiving status in manage items of receiving workbench is all and it should be not received or should be configurable

    As part of the new prediction pattern development it is possible in the receiving workbench to receive new items and filter the 'manage items' section by "all" "received" or "not received".
    Currently it defaults to "all" which is not what would be desired because
    A. it would show too much
    B. they would need to manually search for what they want to receive.

    It should default to "not received" because then they can choose the issue they have in hand and receive it. Another option would be to have it always remember the previous filter of the user and use…

  10. Retain Data in Interface Records

    We really like the multiple tabs on interface records that allow us to record different admin logins and statistical information.
    Publisher and vendor changes happen pretty frequently in our environment and we foresee needing to move interfaces from one vendor to another on occasion.
    We just found out the hard way that when an interface is deleted from a vendor record and then added to another vendor record all the information that was in the various interface tabs gets wiped out. Can something be done to preserve the information that was hand keyed into the interface tabs?”

  11. EDI check in for print journals

    Alma documentation states that Alma supports the following Edifact message types – INVOIC, ORDERS, OSTENQ, ORDRSP, ORDCHG. However our old LMS Aleph supported an additional Edifact message type called DESADV.

    This allowed our serials agent, Ebsco, to check in our journals in on the LMS remotely via EDI once our monthly consolidated deliveries of print journals were despatched from the warehouse.

    Provided our prediction patterns matched the PIA line this worked efficiently. An example of EDI text is as below:-

  12. Customizable columns for reporting codes in the Acquisition Receive screen

    We sort our purchases by subject codes expressed in the reporting codes. These are unfortunately not visible in the receiving screen. As we handle a large number of books for many departments, the ability to view all levels of reporting codes in the receive screen would be a huge help in the receiving and post-receiving process.

  13. Allow for Gift Acknowledgement Letters

    The Legal Deposit method of acquisition allows for letters of acknowledgment to be sent to the vendor by automatic email from Alma after the item is received on Alma.

    This functionality is lacking for the 'Gift' method of acquisition. As standard we like to send an acknowledgement to all of our donors and it would be ideal if Alma could automate this process as it does for Legal Deposit acknowledgements. The functionality to send an 'order' letter for a gift is there - but not for acknowledgement of receipt, which is actually the wrong way around for our requirements.

  14. Add "Expected receipt after ordering (days)" to PO template

    It makes more logical sense to add a relative date ("Expected receipt after ordering (days)" to PO template) rather than a fixed expected date ("expected receipt date") in the context of a PO Line template.

    This change would lessen the likelihood of false claims because the date in the PO Line template is a date in the past.

    It would be helpful to have the option to sort by invoice date from the Waiting for Payment screen. Currently, there is no Invoice Date column.

  17. When adding invocie line, Secondary Reporting Code and Tertiary Reporting Code which is empty in POL will be set to a default value from the

    For ‘add invoice line’ operation after typing the POL number the system will bring the POL’s information such as total price, reporting code, Secondary Reporting Code and Tertiary Reporting Code, which is good. But we want the information for Secondary Reporting Code and Tertiary Reporting Code to override the information from configuration > acquisitions > purchase order > Secondary Reporting Code/Tertiary Reporting Code. Even if the POL’s Secondary Reporting Code and Tertiary Reporting Code are empty, which currently will be set to a default value from the configuration.

  18. Configure issues to appear in chronological order rather than alphabetical order for recieving

    For titles (especially newspapers but some others) that don't have a volume number, ALMA lists them in alphabetical rather than chronological order when receiving new issues. This is highly inconvenient as well as illogical. It means clicking through page after page of issues for newspapers, which are predicted a year out. Surely there must be some way to arrange them chronologically? If not, then it would be helpful if ALMA could show more than twenty results per page.

  19. How can we know which ISBN identifier be used to perform the "linking local portfolios to CZ" processing

    We have 2 local portfolios https://onlinelibrary.wiley.com/doi/book/10.1002/9781118558133 (v.1) & https://onlinelibrary.wiley.com/doi/book/10.1002/9781118558126 (v.2) which those 2 portfolios are linked to MMSID 9940441503411. See attached spreadsheet.
    As those 2 local portfolios with the 3 same set of ISBNs be involved (9781848211124, 9781848211117, 9781848211100), we have tried to link them to CZ by ISBN identifier. Only 1 local portfolios be linked to CZ successfully (see linking to community by ISBN identifiers_2.png). We have performed the linking process again and found that it is linked to the same CZ portfolio (bkey=10.1002/9781118558126). We are wondering which ISBN identifier be used for the linking processing if we have…

  20. Make Faceting in "Manage Purchase Requests" sticky

    It would be very helpful if the faceting that can be done in Manage Purchase Requests can be made "sticky" for each user account; some who use that area/workflow are orderers, some managers, and some selectors. All may have different areas they only want to see (e.g. request type, location, or those with queries, etc.), and it would be nice if the faceting we do can be made sticky, so we don't see unwanted entries.
