  1. Invalid email address list or failed to be sent notifications

    We would like Alma to indicate somewhere (in a report, in the user account or else) if an email was not delivered to a patron or a vendor due to an invalid address. This would help to locate them faster and correct this data.
    Otherwise, we would like to have a list by Alma institution of users / vendor accounts with invalid email addresses.

  2. Add ‘Bokbasen’ as a new provider in the Upload Electronic Holding functionality in Alma

    The collection Bokbasen Allvit (which contains Norwegian academic e-books) is now added to CZ. There is a need for a solution for the administration of this collection. The library administrator can at any time purchase a new time-limited e-book license or change the budget for pay-per-loan titles. This, in combination with time-limited licenses expiring at different times and days (365 days after the purchasing date) will cause the catalogue of available titles to change continuously.   3. Make configurable pop-up assistance in metadata editor

    Currently the po-up assistance in metadata editor for subfields 260$a$b$e$f, 264$a$b, 505$r$t and 561$a is hardcoded and it can not be deactivated. Activation/Deactivation should be configurable. We have many queries from our catalogers about that.

  4. Please enhance moving titles/collections function

    Please enhance moving titles/collections function. Now I can move only a set of titles from collection A to B by Add bib to collection job, and it means I need to create hundreds sets and run the job hundreds times. Also moving collection has to be done one by one. I have done this so far but it's just too tedious and time-consuming.

    For digital titles and collections Primo Collection Lobby is the book stack and they need to be rearranged sometimes. (Even on PC we often re-organize folders too!) However on Alma it's so hard to reorganize titles and…

  5. Claimed returned option for Lost items

    In our previous system, with one click we were able to change items to Claimed Returned status, no matter what their current status was. one click and it was done.
    But in Alma, for some reason, this is not possible once the item has been declared Lost. One has to go through a long and convoluted process creating a file and saving it then creating a set and saving it then running a job on the set. This involves three pages of instructional documentation and about 15 minutes of staff time every day.

    The 'Claimed Returned' action will be available for lost loans. It will change the loan status to 'claimed returned'.

    A customer parameter will determine whether the change to claimed returned should trigger a 'Find Item' action (and refund the lost item fees) + change to 'claim return', or only change to 'claim return'.

  6. Provide birthdate information in search results of patron search

    When searching for patrons through Fulfilment>Manage Patron Services, it would be useful if the search results included the patron's birthdate so that library staff had a unique identifier to check against when there a multiple patrons with the same name.

  7. Converting Physical item request to Digitization or Borrowing request

    It would be great if we could convert a Physical item request to e.g. a Scan request or a Borrowing request.
    For instance: our patron places a request in another Library from our institution ( = In transit Physical item request), but it turns out the book is damaged (-> convert to Patron digitization request) or lost and cannot be supplied. (-> convert it to a Borrowing request)

  8. Enable configuring VAT on the purchase order line level

    Institutions should be able to enable configuring VAT on the purchase order line level so that it can be taken into account for encumbrance calculation. Having the VAT only configured at the invoice stage creates incorrect Fund Balance reports where Encumbered Balance is always underestimated and Available Balance always overestimated. A distinction between Inclusive and Exclusive VAT in the POL would be necessary.

  9. Copy and paste multiple MARC fields into the metadata editor

    We would like to be able to copy multiple lines from MARC records and paste them into the metadata editor so that multiple MARC fields are pasted into the record in one action. This would help us enormously with our workflow of importing MARC authority records from LibrariesAustralia into Alma.

    For us, this is necessary because the LibrariesAustralia headings are not in the community zone and are unlikely to ever be included there and Alma does not allow for Z39.50 import of authority headings.

    Dear all,

    I believe we now understand the requirement better: To be able to paste a block of text in MARC 21 format, and have Alma parse it and populate the MARC tags, indicators and subfields accordingly.

    This is a larger development, but we hope to be able to add a solution for it to our future roadmap.

  10. add security levels to norm rules

    Because all norm rules can be edited by all staff with cataloger roles, there is great room for erroneous changes for rules that are applied to batch jobs. For example, the norm rule that is applied to records being brought in from Z39.50 targets can be edited by any staff member. A single error in the rule can break the z39.50 import process for all staff until the source of the error is identified.   11. Purchase Request Library management in User records

    A new multi-selection field, Purchase Request Library, was added to the User Details page with the June 2018 release. If one or more libraries are defined for a user, the user may create purchase requests only for the listed libraries. If no libraries are defined, the user may create a purchase request for any library.

    But managing Purchase Request Libraries in user records can only be done record per record; there is no possibility for batch processes.

    Currently, there is no option:
    - to add or remove a Purchase Request Library with the Update/Notify Users job;

    The Purchase Request library will be supported vi SIS/API and user update job, just as the Resoruce Sharing library is.

    We’ll also look into making the Purchase Request and the Resoruce Sharing library be searchable in the users advanced search option.

  12. Batch file download function to local PC (Alma-Digital)

    Please provide Select all and download them to local PC function on Digital Title > Representations > Files List. Also a file export job for a set of digital titles is needed. (FYI, Rosetta has the latter function.)

    As part of the transition to new UI concepts in Alma, search results in Alma will include list actions. Once the search results for files will be implemented, it will include a download action of all / selected files.

  13. Short Term Loans - Courtesy and Overdue Notices

    The new shortloancourtesyreminder & shortloanoverduereminder cannot be configured for multiple locations. For institutions with several hourly loan locations (for example Boston College maintains 2 and 3 hour loan periods for Course Reserves and a 4 hour loan period for some technology items) this dictates that the reminder notice has to be set based on the location with the shortest loan period. The overdue notice must be timed to make sense for for the longest loan period.

    In our test configuration we used the following time parameters:

  14. Add preferred pronoun field that displays in Fulfillment Manage Patron Services display

    We will be asked to provide a place to store preferred pronoun for our users (e.g. he/his/him) at some point in not too distant future.

    We cannot use Note field for this information because we have been told by Ex Libris that if we import notes the entire note section in a user record is overwritten.

    We need a configurable field (i.e. we can add the categories of preferred pronoun) that displays in the patron info section of the Fulfillment Manage Patron Services display

    The core user record will  have a field for selecting a preferred pronoun. The options will be from a configurable drop down such as:

    • he, him, his
    • she,her,hers


    The field will  be updatable from:

    • Alma form
    • SIS
    • API
    • Primo (VE)


    The preferred pronoun will in the Manage Fulfillment Options screen.


    It will be possible to locally override this field without overriding from the SIS, like other fields allow (such as user group).

  15. Alma Metadata Editor needs a "delete portfolio" option.

    When am in the MD Editor, looking at a record for an e-resource, I can "View Inventory" to display the portfolios. From that half of the screen, I can view or edit the portfolios. Within that view or edit, I can click on the "Linking" tab and "Test access". If I find that the link has expired and the portfolio needs to be deleted, I want to be able to delete it at this point. But I have to return to the bib. record, release it, exit the editor, click back as many times as it takes to return to…

  16. Change item information RESTORE change type should allow clearing temporary item information.

    When using the Restore change type under Change item information, the only change made is toggling the "item is in temporary location" back to NO. Any values filled in for temporary library, temporary location, temporary item policy, temporary call number, etc. remain. Restore should clear those fields, or allow operators to keep those fields by unchecking a box that would be checked by default.

    If the item has been scanned to have an item policy for special circ rules, that information remains in the record when it is restored, even though that information is not applied. If the item is…

  18. Blocking borrowing requests on books published within the last year

    With an active automatic rota for books, borrowing requests sent from Primo to Alma are automatically sent to partner. This applies for books published within the last year as well. Before we activated the autoROTA, we would usually change most of these borrowing requests into purchase requests and place the patron on a waiting list.
    New books requested by a patron are often items we want to purchase ourselves, and not spend money on borrowing from our partners in addition. With the autoRota there is no way for us to block these borrowing requests from being sent.

    Hi,

    We’re thinking along the lines of enabling rules that will automatically turn resource sharing requests to purchase requests based on criteria such as:
    - Requester User Group
    - Copyright related block
    - Publication Date within time
    - Request failure Yes\No → This will enable to set the rule to work when the request is created or when it is rejected

    The rules output will have options to either create purchase request in addition to the resource sharing one or cancel the resource sharing request and create purchase request instead.

  19. New fields on Alma screens missing from Primo RS form

    In the December 2017 enhancement, the fields Chapter Author, Chapter Title, and Editor were added to the Alma Resource Sharing screen and Chapter was renamed Chapter Number.
    However, these fields were not added to the Primo Resource Sharing form, which means all the details must be entered in one field such as. Chapter details: title, author, number.
    As most Resource Sharing requests arrive via the Primo form, it would be helpful if EXL fixed this too.

  20. Re-sequence MARC fields by each tag when running a normalization rule

    Currently, after running a normalization rule on a set of bib records, the bib records display the 5XX fields out of order, e.g. 500, 546, 506 etc. This occurs even after running the CnmarcBibReSequenceTask as fields between 500 and 899 are not sorted, or sorted only by hundreds (this was the information given to us by a member of staff when we reported the issue on the ExLibris Customer Portal).

    Having all fields in the correct order would ease any future cataloguing needed on these records, or when staff members view the record for work purposes.

    Changing the existing re-sequencing task would impact all libraries, whether interested in this change or not - but we will look into adding a new re-sequencing task that will handle all fields, so libraries will have a choice on which re-sequencing behavior they want to apply.
