  1. Improve Secondary Reporting Code List Table Functionaility

    We use the secondary reporting code table to list our selectors and tie their names to any selections they have made in Alma. Currently, we have around 35-40 selectors and we keep them alphabetized by last name, first name. The problem is when we go to create a new user the user is placed at the bottom of the column. We then have to manually click the row up one time until we get it in the position we want. Every arrow click also refreshes the page which can lead to 10-15 minutes of clicking to get a user to…

  2. The pre-check function during creating an invoice

    A customer needs a pre-check function during creating an invoice line, if the vendor of the selected PO line is different with the invoice line's, Alma should notify the user. So it could save time than verify it during the save stage.

  3. Customize fields required for ordering template

    Ordering templates are very helpful, but depending on the set up of each library, all the fields that are required right now may not make them as useful as they could be.

    For example, we could use templates more widely - and save more time - if a PO Line type OR if fund was not always required, and instead leave that to the operator to fill in.

  4. Save emails to and from Patrons for Requests

    When we “Send query to requestor” as we Manage Purchase Requests in Alma, it would help greatly if our communication “query” would be saved under a communications tab for that request. This would create a history of actions related to that request. Currently, I can only put notes into the “requestor note” field of the request, and there is no other record of queries sent to the requestor for that request unless I copy the query to myself. Connecting email messages in my box to the Purchase requests in Alma, is not convenient. Is there a way to save this…

  5. Require a barcode for newly received serials

    Serials can be assigned a barcode upon receipt, but it would be nice of Alma would prompt users to provide the barcode if/when a barcode is required rather than merely optional. (We only barcode some titles, so a prompt of some kind would help staff who don't know which titles are barcoded as a matter of routine.)

  6. Acquisition Renewals for NZ e-collections

    We would like the ability to renew a shared e-collection.
    The new FY year price would be displayed in the negotiated license and then a renew button would be available. the library would see the new FY cost and then renew or cancel that subscription.
    Then this renewal or cancel would notify the NZ administrator.
    (similar to the functionality in ConsortiaManager).

  7. ACQ: Improve PO Line Claiming job

    Please make the PO Line Claiming job more granular. Sending claim letters to all vendors without restriction of any kind is not really feasible.

    It should be possible to define own sets of PO lines (which should be claimed) by using the following criteria:
    - One time orders
    - Continuous orders: All / Serials / Standing orders
    - Vendors: All / only specific vendors
    - Acquistition types: All / only specific types (purchase, legal deposit, exchange, etc.)

  8. Defer PO Lines with Acquisition Method "Purchase at vendor system"

    The documentation on Deferring PO Lines clearly states that "you can defer any PO line except those with the Acquisition method of Approval plan or Purchase at vendor system" (https://knowledge.exlibrisgroup.com/Alma/ProductDocumentation/010AlmaOnlineHelp(English)/020Acquisitions/050Deferrals/010DeferringPOLine_Workflow).

    We would like to be able to defer PO lines with the Acquisition method of Purchase at vendor system. We have many PO lines with this Acquisition method that are only paid every few years, i.e. 5-year hosting fees. The ability to defer PO lines with this Acquisition method would allow us to clear encumbrances for the unaffected years and release those…

  9. Copy POL data to new POL with different order line type

    We still experience issues when a POL is created with the 'wrong' POL type / inventory type (e.g., a print POL is created but e-inventory needs to be attached) - these 'incorrect' POLs must be deleted and recreated manually. There are other ideas out there to make POL types and architecture more flexible, such as this one:

  10. Purchase Requests options

    We would really like to be able to utilize Alma/Primo VE to its fullest potential, but one of the things lacking in the Purchase Request options is that there is no way to modify the fields or even add additional fields. We are needing at least two additional fields for us to be able to use the built-in functionality - a note field for special instructions (usually entered by faculty) and a level of priority (i.e., Rush or no rush - in the event this request is for a course reserve, it needs to be a priority, but there is…

  11. Improve po_line_remove_interested_users_job

    The polineremoveinterestedusers job allows institutions to delete Interested Users from PO lines that have closed. However, there are many times when a PO line is closed before the item has left the department; consequently, running the polineremoveinterestedusers job means that interested users may be deleted before the item becomes available. Additionally, while the job removes the Interested Users from Alma, it does not remove the information from Analytics.

  12. Reopening closed POLs should re-encumber funds

    Currently re-opening a closed POL doesn’t re-encumber the funds. The workaround for this is to delete the fund, save the change, then add the fund back and save again.

    When we brought this up with Ex Libris they advised this can't be done automatically, but that they would instead add a popup message advising the funds will need to be manually re-encumbered. This was supposed to be added in December 2016 release but we noticed some time later that it didn't eventuate (SalesForce case #00436654).

  13. Ability to attach bibliographic record to CZ order

    The Change Bib reference action is not available for POLs that have originated from the Community Zone. This is an issue as POLs with CKB references don't have bib record information which can be used in Analytics.

    In our SalesForce case about this (00570591) we were told that POLs for an electronic item can be relinked only if it has an MMS ID in the first place, and we see from the manual that changing the bib record isn't possible using the relink action if there’s not already a bib record attached:

  14. Enable purchase requests from Edit Citations page in Alma

    It would streamline workflows where it's decided additional copies are required for stock if a purchase request could be made from the Edit Citations page within Alma. At the moment requests can only be placed to move or digitise the content.

  15. Add the ability to upload EDI files from FTP sites manually

    Currently, Alma will only allow you to manually upload an EDI invoice file from a local folder. If you map an FTP site shortcut to your desktop and attempt to manually upload the EDI invoice file from that location, it will say there is an error. I have confimed that Alma does not currently support manual EDI invoice file uploading from ftp sites, only when you configure it to run automatically.

    Import profiles support both processes, so it seems like this area of Alma should support both manual and automatic uploads from FTP sites as well.

  16. Update details of multiple SUSHI accounts at once

    Currently to make changes to a SUSHI account you must do each account individually. This means if some detail of our SUSHI credentials changes for a vendor we have to manually make that change on each SUSHI account we have set up for that vendor, which could be 8+ accounts.

    It would be really good if we could select multiple SUSHI accounts and then make a change across all of them, e.g. updating the URL or RequestorID etc.

  17. don't mark zero usage SUSHI reports as invalid

    When SUSHI harvests a report that has no usage for the selected dates, it is labeled as invalid. This is misleading. As long as all the correct headings for the report are in place, the report should be considered valid.

  18. Please allow adding multiple sequences with numeric prefix.

    Now only one sequence with numeric prefix is allowed; if I want to add multiple sequences with numeric prefix, I have to add a random alphabetic prefix and then remove it. Please allow adding multiple sequences with numeric prefix.

  19. Allow a default setting for "Assign Inventory Manually".

    When several orders for items with existing holdings are being created it would be helpful to be able to have "Assign inventory manually" automatically checked.
    This most often occurs with serials when new orders are being created because of a vendor change. We close the old PO in order to preserve the history and create a new one with the new vendor.

  20. Fiscal close manager role with library scope

    We've 17 libraries and manage the funds independently. When rolls over ledger and PO lines, it is very easy to roll all ledgers instead of those in campus level. To avoid this problem, the Fiscal close manager role with library scope can restrict operators to process their controlled funds only.
