  1. Change order icon color in All Titles / Physical Titles result list based on order status

    If the status of all POLs on a title is Closed, change the green shopping cart icon color to grey when looking at the All Titles or Physical Titles result list.

    It is really helpful to see if there is an order for something when doing a title search. However, it creates a lot of extra clicks to see if an order is active order or not.

  2. Restore ability to attach "Access Service - Subscription" POL type to inventory

    We have several resources with POL types of "Access Service -Subscription", but we no longer have the ability to attach them to the relevant electronic collection or portfolio. For example, our British Periodicals electronic collection had the access service POL attached in March 2017, but we're unable to attach the same POL type to our Times Literary Supplement historical archive collection as anything other than an Additional POL. We also have over 200 active Kanopy streaming video POLs that we're unable to attach to the portfolio.

  3. Allow more than 50 POLs on a PO via manual packaging

    Right now, in the Purchase Order - Package screen, you can only package 50 POLs onto one PO. The "PO lines to package" screen will only display 50 POLs max, and if you select all, then go to the next screen, it removes everything from the first screen that you selected. This means only 50 POLs max can be put on a PO. This is frustrating when we put in an order for more than 50 items and have to create multiple POs for a single order. I think the easy fix would be to have those POLs remain checked…

  4. Order type for APC and "Read and Publish" agreements

    We have started to make APC (Article Processing Charge) agreements and also Read and Publish (to publish OA at no additional costs) agreements between the Library and some publishers.
    We found that there is no suitable order type to use in Alma when creating such orders.

    We ask Ex Libris to add a suitable order type for such orders.

  5. Change bib reference action added to POLs created from CZ records

    The Change Bib reference action is not available on some of our PO Lines due to using a CZ record to create the order. This is an issue for us as PO Lines with CKB references don't have bib record information when we use Analytics.

    In our now closed SalesForce case (00570591) we were told that PO Lines for an electronic item can be relinked only if it has an MMS ID in the first place, and we see from the manual that changing the bib record isn't possible using the relink action if there’s not already a bib record…

  6. PO lines to renew task list - display the renewal note

    It would be useful to be able to customise the display so show the Renewal Note in the renewals task list so that we can see if there is anything particular to do/not do without opening up the order.

  7. Delete interested users job - independent of Interested In Letter

    Ex Libris says the Delete interested users job "Runs weekly to delete interested users that are linked to closed or canceled PO lines. The job checks that an interestedin letter was sent to the interested users before removing it from the PO Line. Interested users will not be removed from a closed or canceled PO line if a letter was not sent to them."

    Due to privacy regulations, we would like the job to run regardless of a letter being sent or not. The closed or cancelled PO line should be sufficient to run the job.

    In the "Associated PO Lines" tab of a POL record, make the associated POL a link that could be clicked to bring the user to that POL.

  9. Change bib reference number on cancelled PO

    There is no option to change the bib reference for cancelled POL/POs. If this option could be added to the functionality of cancelled POLs, we would be able to move these records to more appropriate records to assist with clean up (i.e. deleting suppressed, no longer used records) or to keep like order records together so we can track order history and prove perpetual access. Currently in order to move the record over we would need to reopen the POL and then lose our PO notes that migrated from our previous ILS.

  10. Change the way the Receiving Note is updated in the Update PO Lines Information job

    Currently this job fully replaces the information in a receiving note. We would prefer that the job either append or pre-pend the information we would like to add to a receiving note. It is usually not a one for one replacement, but rather a common detail of additional information we need to add. Often, we can't use the job, since we still want any information already in the note to remain there.

  11. Duplicate orderline

    There are times when an orderline needs to be created for titles that come as a package. It would be very useful to have the ability to duplicate orderlines, so that funds, order types, renewal dates, existing notes, etc. do not have to be manually entered over and over.

    When the need arises to do an additional POL on an electronic title, we would like to see the activation status on the additional POL. An example: Ordering a second copy of an ebook

  13. Copy of communications in the Attachments tab at POL level

    In each POL in the Attachments tab, the communications sent to the providers generated through a job are saved.
    It would be useful if manually generated communications from the Communications tab could also be viewed from the Attachments tab.

    When manually associating a PO Line under the Additional section of a POL, this association should also populate an entry on the Associated PO Lines tab

  15. Add more fields to the Update PO lines information & Update POLs Advanced jobs

    All fields of the POL should be something that can be updated by job.
    Some specific fields that it would be really helpful to have in the Update PO Lines Information or Update PO Lines Information Advanced jobs are:
    Subscription from/to dates
    Renewal date
    Cancellation Restriction checkbox & Cancellation Restriction Note
    While it might be possible to update these fields via the APIs, the permissions and skill level needed to use the APIs is much higher than to run jobs.

  16. Batch deleting PO's

    There is currently no system job to delete PO's. These have to be done manually using the Acquisitions>Purchase Order>Delete PO function individually in ALMA.

    We have 1000's of old orders migrated from our legacy system that are no longer required. We also now only keep 7 years worth of orders in line with current financial practice and so would like to be able to set a job to batch delete at rollover into the new fiscal period.

  17. Add multiple vendors to order to distinguish between licensing agent vendor and invoice vendor

    We often place orders with a licensing agent but then the invoice is received directly by the publisher or even a subscription agent. However we can only record the invoice vendor on the POL record. It would be really useful to be able to record multiple vendors on an order by type, e.g invoice vendor; licensing agent vendor.

    Currently, Alma can only support one currency for all POLs in one PO. We would like to Alma can allow POL to use different currency under same PO.

  19. Communications in cancelled POL

    Alma offers the possibility of sending communications to the vendors at the POL level. While the POL is active, you can see both the communications made and their content in the POL Communications tab. However, when the POL is canceled, the content of the communications cannot be displayed in Alma.

    Knowing the content of the communications, especially in POLs that are canceled, is necessary to know the reasons for the cancellation.
    We propose that the content of the communications be seen in Alma not only when the POL is active, but that it be viewed independently of the POL Status.

  20. Automatic Hold Item check for its interested user

    Please make it possible that when a PO line has an interested user, its Hold Item gets checked automatically by using any of the following methods:

    1) the library's configuration change
    2) Import Profile setting
    3) Update PO line job

    This function is necessary for Patron-Driven Acquisitions which takes up most of our purchases. Now we manually open each PO line and tick the box one by one, which is one of the biggest hassles when there are hundreds of PO lines to review.
