  1. Option for whether or not to carry forward Funds and Ledgers in a rollover

    This concerns the Financial Year Rollover rules for rolling over the Funds and Ledgers.

    It has become evident after each annual rollover we perform that these rules are carried forward to the new Fiscal Period in their entirety, without any option not to.

    This is frustrating for us, because as an institution we set our expenditure limits on a fund by fund basis. However, we appreciate that this may not be the case for other institutions.

    As such, would it please be possible to press for an additional option applied to the rollover job for Funds and Ledgers, whereby we…

  2. Sort option required for Vendor Account in Vendor Details > Invoice tab

    When navigating to a Vendor record and clicking on the Invoice tab, it's immediately apparent that one can sort several columns in ascending/descending alphabetic or numeric order:


    • Invoice

    • Date

    • Creation From

    • Creation Date

    • Last Updated Date

    • of Lines


    • Total Price

    The one column that seems to be missing the up/down arrows that would facilitate sorting is Vendor Account. Why is this?

    We'd like to request that sorting is applied to this column as well. Staff find it odd to have to download all invoices into a spreadsheet and then sort according to this criterion, but not have to do so…

  3. Customization of invoice line summary display

    The notes field on the invoice lines summary display currently displays a tick if there is anything is written in the notes field of the invoice line. It would be more convenient if we could customize/configure what we can view so that we can see the content of the notes field without having to go in and view the individual invoice line.

  4. Automatically Associate Certain Payment Methods (e.g., Credit, JV, Deposit) with Prepaid Functionality when Creating Invoices

    We would like the ability to automatically associate certain Payment Methods (Credit Card, JV (Correction), Deposit Account, etc.) with Prepaid functionality when creating Invoices. 1) This would save time. 2) Most institutions do not want certain payment methods going to their ERP, but occasionally forget to check the Prepaid box. Setting this up systematically would serve as a fail-safe for such situations.

  5. Add the Amount Paid in Current FP field to invoicing

    Presently there is a field which displays in the PO Line Summary for continuous orders which details how much has been spent on that PO line in the current financial year - useful for items which are subscriptions but paid for individually, such as Law looseleaf subscriptions. If this field could appear when entering an invoice on the Invoice Line Details that would be a great help in deciding whether to disencumber these orders, particulary towards the end of the financial year.

  7. Add percentage figures to the Fund Balance graph

    When a fund is selected, the Fund Balance graph shows Expended, Encumbered and Allocated amounts. Can it be made possible to display those expended and encumbered amounts together with the percentage figure of each as a proportion of the allocation? It would also be great if we could see the number of items each at expended and encumbered status here.

  8. Should be able to fill in all fields in item records by typing.

    Currently, location fields in item records can only be filled in by choosing from a menu. It would be helpful if it were also possible to simply type in the location when it is known. That way the change from one temporary location to another could be done by a macro, which would save a LOT of time when processing a cart of books with the same location change.

  9. Display all orders for physical item searches, even when individual item records are not linked to a POL

    When doing various collection development tasks, acquisitions and resource managers may want to know whether there is order information for a title at the same time they're viewing physical item details via the More Info link in Alma. Currently, Alma does not display orders for physical item searches when a POL is not linked to an item record. This is a problem for closed orders that migrated from another ILS because the POL does not get linked in the item record during the migration process. We see accurate information when conducting an All Titles or Physical Titles search, but not…

  10. Add description field to trial module

    The manage trials module in Alma needs to have a description field available. This would be very useful as it would educate trial participants as to what new product they are evaluating. Right now the only information provided is Title. This new field would also need to be available in the XML for TrialLetter.

  11. The default receiving status in manage items of receiving workbench is all and it should be not received or should be configurable

    As part of the new prediction pattern development it is possible in the receiving workbench to receive new items and filter the 'manage items' section by "all" "received" or "not received".
    Currently it defaults to "all" which is not what would be desired because
    A. it would show too much
    B. they would need to manually search for what they want to receive.

    It should default to "not received" because then they can choose the issue they have in hand and receive it. Another option would be to have it always remember the previous filter of the user and use…

  13. Allow a default setting for "Assign Inventory Manually".

    When several orders for items with existing holdings are being created it would be helpful to be able to have "Assign inventory manually" automatically checked.
    This most often occurs with serials when new orders are being created because of a vendor change. We close the old PO in order to preserve the history and create a new one with the new vendor.

  14. Trials - table & report for Purchase Decision field

    For the Purchase Decision field in a Trial we would like to have -
    1/ Ability to add new Purchase Decisions via a table similar to other areas of Alma. At the moment only options are Yes or No
    2/ Be able to run a report (or filter) on this field so we can take to collection development meetings if Purchase Decision was, for example, Future Purchase

  15. Identification of Reply vs Response in Communication tab of POL

    It would be useful to be able to easily identify a Reply vs a Response when looking at all of the 'Answers' associated with a Communication in a POL. Perhaps an arrow could indicate which direction the communication occurred ? e.g. an arrow pointing to the left ('out') if it is a Reply from us to the vendor, or an arrow pointing to the right ('in') if it is a Response from the vendor.
