How can we improve Alma?

  1. Allow a default setting for "Assign Inventory Manually".

    When several orders for items with existing holdings are being created it would be helpful to be able to have "Assign inventory manually" automatically checked.
    This most often occurs with serials when new orders are being created because of a vendor change. We close the old PO in order to preserve the history and create a new one with the new vendor.

  2. Fiscal close manager role with library scope

    We've 17 libraries and manage the funds independently. When rolls over ledger and PO lines, it is very easy to roll all ledgers instead of those in campus level. To avoid this problem, the Fiscal close manager role with library scope can restrict operators to process their controlled funds only.

  3. Can you put process type as a column in the received items list?

    It would be helpful to add Process Type in the Received Items List so we can see if an issue was claimed, or not published, etc.

  4. Add invoice price increase from last year's invoice

    When adding a new invoice line, it will be very useful to add a small box that shows percentage increase since last year's invoice line price.
    That way we can check the price increase since last year while adding an invoice.

  5. 'Additional PO Line' description

    When you have inventory that is connected to multiple PO Lines, it would be great to be able to see the description of the POL from within the inventory. Currently the additional POLs are listed but you can only see a PO Line number, and you need to click into each one to see the description.

  6. Facet for PO Lines Secondary & Tertiary Reporting Codes

    We'd really like the ability to facet in PO Lines by the Secondary & Tertiary Reporting Code fields. It's possible to facet by the main Reporting Code but not by the other two reporting codes.

  7. Add sushi job options beyond weekly

    Currently the only SUSHI job configuration options under acquisition job configuration, is either to run every Saturday or not at all. I get FAILED messages from my weekly sushi job notification. I'm finding out there are some vendors that do not make their data available except for certain weeks of the month. For example, Oxford does not make their data available until around the 15th,unless it's a weekend then it's the following Monday.

    So the job runs to no effect except about once a month.

    Can an option be added so the customer can run the job monthly in addition…

  8. Add a way to tell if an item/holding has 3 or more open requests

    It would be nice to know if a given item or holding has 3 or more open request. It would signal the acquisition that another copy of the title would be helpful. This could be achived for example if the queue number is searchable, either in analytics or in the request search.

  9. More easily edit/delete POL templates

    We would like to be able to more easily update our POL templates. As far as I can tell, you need to create a new order, make adjustments in the POL, and then Save As Template - overwriting the old template. There should be an easier process.

  10. Stop the practice of showing funds for 'in review' invoices as expenditure.

    Current Alma practice is that EDI invoices automatically load into Alma and expend from a fund whilst still 'in review' and before the 'approval' stage.

    Below are some examples where the practice of expending a fund whilst the invoice is still 'in review' is causing us issues:

    1. We have full end-to-end invoice integration from our suppliers, via Alma and into Agresso. We don't send through manual invoices for payment.   11. Expand the options for rolling over different types of PO Lines differently

    We would like to be able to differentiate how print and electronic POLs roll over.
    If either of the following could be done to address this, it would be great.
    Expand the roll over only certain types POLs list from
    One Time
    Continuous
    Standing Order
    To the full list of POL types, or at least to factor in print vs electronic.

    OR, alter the option to roll a single POL over to instead let you roll over the POLs in a public set.

  12. Make "additional code" for vendors searchable

    Using the additional code field to track changes in the Vendor Code field make sense, but has limited use if we can not search it in any meaningful way.

  13. Add option to use hyperlink in license terms

    Add functionality to license terms displayed in Primo under "Show License" to include a hyperlink, or clickable link. It would be helpful to be able to include a URL in the list of license terms, that patrons are able to click. Our institution uses an external tool to help determine terms of use and would like to direct patrons to the tool using a link in the License Terms.

  14. Increase character limit for Vendor Reference Number field in the PO Line & accept non alphanumeric characters

    We are seeing longer and longer SNAs from vendors for titles. And, since we want to be billed at the title level whenever possible, so that we have the best cost/use data available, we often ask to be billed at the title level.
    To do this, the Vendor Reference Number field in the POL needs to be at least 15 characters long. Additionally, it needs to accept hyphens, as many package SNAs have a common root, followed by a hyphen, and then a suffix for the specific title.

  15. delete pol

    We really have the requirement to delete a POL attached to a PO in our daily work, we will have to reopen the POL and then cancel it and then delete it, it’s kind of complicated and can we delete it directly?

  16. Allow for filtering by order date in Claims; Allow for non-emailed claims notes

    When reviewing claims, we would like to be able to prioritize claiming by recent titles. There is currently no way to filter claims by order date, short of exporting the search results. Adding order date or other date filters would improve efficiency.

    Additionally, we often have to claim outside of Alma, but there is no way to add a claim to the communications tab without sending an email. Adding a 'do not send claim' type button, such as existed in Aleph, would allow for keeping all claims communications in one location.

  17. Shopping cart color change depending or open or closed orders.

    Currently the shopping cart, indicating order/s, is green. It would be helpful if all the orders were cancelled or closed if the cart were another color, say red. If the order or even 1 order of may are active then the green cart.

  19. Add user information column to funds transactions tab

    Adding user information in a separate column can show who performed the transaction (relevant for allocation and transfer of funds).
    That way any transaction can be traced back to a specific user.

  20. Receive by invoice

    On the receive screen, when searching for items to receive, searching "all" doesn't search invoice number; I have to select it. Please include "invoice number" in the "all" search.
