How can we improve Alma?

  1. Ability to raise a POL at 0.00 (zero) value

    POL's are created for gifts, donations or items purchased via an eBook scheme to allow for analytics.
    These POL's have to have a minimum value of 0.01, as a POL cannot be created at 0.00 (zero) value.
    This creates an encumbrance against a fund, which is false and has an impact on the available balance

  3. Ability to change invoice owner

    Currently, invoice owner cannot be changed once the invoice Summary tab has been saved.

    If a user creates a manual invoice and mistakenly saves this tab with the wrong owner, the invoice needs to be deleted and recreated.

    If an EDI invoice loads with the wrong owner due to an issue with one or more lines, the invoice needs to be deleted and reloaded.

    This is inefficient, particularly when an invoice with many line items needs to be deleted and manually reentered. Please add the ability to change invoice owner to an appropriate value.

  4. Improve Secondary Reporting Code List Table Functionaility

    We use the secondary reporting code table to list our selectors and tie their names to any selections they have made in Alma. Currently, we have around 35-40 selectors and we keep them alphabetized by last name, first name. The problem is when we go to create a new user the user is placed at the bottom of the column. We then have to manually click the row up one time until we get it in the position we want. Every arrow click also refreshes the page which can lead to 10-15 minutes of clicking to get a user to…

  5. Customize fields required for ordering template

    Ordering templates are very helpful, but depending on the set up of each library, all the fields that are required right now may not make them as useful as they could be.

    For example, we could use templates more widely - and save more time - if a PO Line type OR if fund was not always required, and instead leave that to the operator to fill in.

  6. Confirmation message when receiving items for continuous titles

    Please consider adding a confirmation message when an item for a continuous title (e.g. print serial) has been successfully received. This messaging--which would be similar to the "success" screen when checking in serials in Aleph--would make the process much clearer for student workers who often handle this task in academic libraries.

  7. Option to receive from items list

    Please make it an option to receive an issue, without having to navigate away to the specific "Receiving" page, if you are looking at it on an items list. Often I'll be working on items and notice that one of them is not received when it should be, but I can't change that without interrupting my workflow or opening a new window.

  8. Save emails to and from Patrons for Requests

    When we “Send query to requestor” as we Manage Purchase Requests in Alma, it would help greatly if our communication “query” would be saved under a communications tab for that request. This would create a history of actions related to that request. Currently, I can only put notes into the “requestor note” field of the request, and there is no other record of queries sent to the requestor for that request unless I copy the query to myself. Connecting email messages in my box to the Purchase requests in Alma, is not convenient. Is there a way to save this…

  9. Require a barcode for newly received serials

    Serials can be assigned a barcode upon receipt, but it would be nice of Alma would prompt users to provide the barcode if/when a barcode is required rather than merely optional. (We only barcode some titles, so a prompt of some kind would help staff who don't know which titles are barcoded as a matter of routine.)

  10. Acquisition Renewals for NZ e-collections

    We would like the ability to renew a shared e-collection.
    The new FY year price would be displayed in the negotiated license and then a renew button would be available. the library would see the new FY cost and then renew or cancel that subscription.
    Then this renewal or cancel would notify the NZ administrator.
    (similar to the functionality in ConsortiaManager).

  11. Add functionality to fund summary pages to view expended orders

    There is no functionality within the fund summary pages to see what orders have been paid. The value of the expended balance does show in the summary graph however it would be really useful to see the orders this relates to.

  12. Copy POL data to new POL with different order line type

    We still experience issues when a POL is created with the 'wrong' POL type / inventory type (e.g., a print POL is created but e-inventory needs to be attached) - these 'incorrect' POLs must be deleted and recreated manually. There are other ideas out there to make POL types and architecture more flexible, such as this one:

  13. Purchase Requests options

    We would really like to be able to utilize Alma/Primo VE to its fullest potential, but one of the things lacking in the Purchase Request options is that there is no way to modify the fields or even add additional fields. We are needing at least two additional fields for us to be able to use the built-in functionality - a note field for special instructions (usually entered by faculty) and a level of priority (i.e., Rush or no rush - in the event this request is for a course reserve, it needs to be a priority, but there is…

  14. the closed pol cannot be modified

    Currently the POLs could be modified even if the status is closed. In order to prevent the mistake we wish that the closed pol can not be modified and have a view function for the closed POLs.

  15. Purchase order line details (subscriptions)

    Under the note tab gets filled up with "The PO Line has renewed automatically on (renewal date) by the system" as each year passes. This note should be in the history tab. The note field should be about important information pertaining to the subscription only.

  16. Vendors : simplify Contact information and People contact tabs

    Hello,

    Handle vendors in ALMA is pretty twisted and not user friendly !

    We can understand the distinction between Vendor details (network level) and Vendor account details (institution level).

    But why distinguish Contact information and People contact in two separate tabs ?
    This makes us input twice same informations.

    Our request : to get one tab for all Contacts ; each contact would be distinguished by a specific frame with name, first name, job description, email, postal mail and phone nember. All display in one single screen.

  17. Update details of multiple SUSHI accounts at once

    Currently to make changes to a SUSHI account you must do each account individually. This means if some detail of our SUSHI credentials changes for a vendor we have to manually make that change on each SUSHI account we have set up for that vendor, which could be 8+ accounts.

    It would be really good if we could select multiple SUSHI accounts and then make a change across all of them, e.g. updating the URL or RequestorID etc.

  18. Enable link from Invoice line to live Purchase Order Line so that data can be updated

    The Alma renewals workflow for continuous resources (Subscription POLs) involves creating Invoices and updating the renewal date and other data such as Notes in the Purchase Order Line. This should be possible as part of a unified workflow when invoicing, i.e. adding the invoice line and then linking through to a live Purchase Order Line to update and save the renewal date etc.
    Currently the Invoice Line PO Line link is View Only which means a separate search and action is required to find and update the renewal dates etc in POLs. This is inefficient and wastes time - given…

  19. Please allow adding multiple sequences with numeric prefix.

    Now only one sequence with numeric prefix is allowed; if I want to add multiple sequences with numeric prefix, I have to add a random alphabetic prefix and then remove it. Please allow adding multiple sequences with numeric prefix.

  20. Add "Purchase Type" to PO line order templates.

    It would be very helpful to have the Purchase Type included in order templates. PO lines that share criteria in other fields usually have the same Purchase Type.
