Pick the fields that can be exported to Excel in a set
Currently, we are limited by a pre-determined list of fields that we can export from a set. E.g. If i have a set of "Electronic Collections" or "Electronic Portfolio" records, why can't i export the URL field? Many other useful fields are also not available. Is this a challenge technically?
Dear Community,
I am writing to inform you of a recent change that affects the status of an enhancement you have created or supported in the Idea Exchange: As part of our ongoing commitment to align our internal development processes and increase roadmap transparency with our community, some Ideas that were previously marked as “Planned” have been reassigned a status of “Accepted”.
The “Accepted” status signifies that the Alma Product Management team recognizes the value of these Ideas and is committed to their development. However, enhancements are not expected to make it onto The Roadmap in the next year. We believe that this change will ultimately benefit our user community by providing a more realistic and transparent view of Alma development.
We appreciate your understanding and patience as we implement this change. We understand that this change may lead to disappointment or frustration, and we sincerely apologize for any inconvenience it may cause. Please know that your ideas and suggestions are extremely important to us, and we are committed to continually enhancing Alma based on your valuable input.
Thank you for your continued effort in enhancing Alma. Your contributions are invaluable to us, and we look forward to continuing to work together to make Alma the best it can be.
Most sincerely,
Tamar Fuches
Alma Team

Including the MMS ID would be very useful - this would allow us to export from Alma, the give the spreadsheet to someone to further work on (remove rows etc.) then re-import into another set in Alma. Adding the MMS ID would also allow sending a file of MMS IDs to Analytics for further processing.
Other fields we'd find useful are ISBN/ISSN, URL and Available for Group information. The reality is it's difficult to state what's required - we tend to have a particular need to do an export and then find the fields that were exported weren't quite what we were hoping for and then have to find other ways to achieve what we want. It's difficult now to think of what those fields were that we missed and what we were trying to do with them.
I think it's fair to say that most of our need is to export records for further work outside of the system (e.g. a list of items to take to the stacks for weeding/put a list of titles together that are available at a particular campus) and we want the flexibility to be able to put fields on the export that are most useful for the task being undertaken. It'd certainly also be useful to have individual field showing in each column rather than concatenated into a single one (e.g. publication details and location/call number holdings all concatenated into a single field on a physical titles export).

The inability to go from Alma Excel output to Analytics is the problem. What we need is a unique ID in a column in the Excel output that can then be inserted into Analytics having used the very powerful Search and Indication Rule options in Alma to get the bib records I want. For me, MMS Id is the most important. Once I have this, I can add semi-colons to the end of each MMS Id and put them into a filter in Analytics i.e. MMS Id >contains any>[long line of MMS Ids with semi-colons between them] From there I can do anything to do with bib titles. For other people it might be a Portfolio Id or a POL number or similar.

Hi Asaf and Dana,
Some of the respondents have answered your question. Here are my inputs, mostly scenario-based.
1. How can I export a list of “Electronic Collection” records including fields like “Electronic Collection Level URL”, “Proxy Enable”, Alt title and etc.? These are very useful fields in the “Electronic Collection” records but when you choose the export function from a Set, we are limited by the pre-determined fields (Package Name, Type, Services, Creation Date, Modification Date, etc). I have also tried Analytics to see if I can get hold of the list but to no avail.
2. How can I export a list of bibliographic records (MMSID) including fields like title, MMSID, ISBN, etc? Again, we are restricted by a set of not-as-useful pre-determined fields.
To sum it all, to be able to export any fields in a particular type of sets (bib/portfolio/e-collection/item). It will be super awesome if we can even export fields from any other linked records. Eg. If we have a bib set, we can export portfolio fields from all portfolio records that are linked to the bibs in the set. If you have seen or used “Millennium - Create List”, you will understand where I am coming from.
On a related(?) issue, we noticed that the export function is only limited to the 5,000 records. Could this be furthur enhanced? Thanks!

If you are creating a set and exporting to Excel so that others can physically look at the materials, it is nice to have the call number, location, etc. We put local notes in the 590 that would helpful to export. Also, if all I have is a list of MMS bib IDs it would also be helpful to be able to export the holdings IDs and barcodes.

We are having difficulties understanding the workflows and scenarios where there are fields missing. There are many existing options for exporting data in bulk from Alma (e.g. Run an export Job, export a list from the Tools option, etc...). Please provide more specific details so we can progress with our analysis

You can do some things with Analytics but the URL field isn't available there either. Ideally you should be able to export the data you need from either environment - Alma is easier to use for most people and not everyone has access to Analytics or the expertise to use it

Is this not something you can do with Analytic's?

Ideally, it would be any field in a particular type of record (bib, portfolio, item, collection).

Hello
Will you be able to provide a list of fields that you find useful and that are missing from the export?
Thanks
Dana
