  1. Ability to create additional note fields in the physical item editor

At the physical item Editor, we currently have access to one public note, one Fulfillment note, 3 internal notes and 3 statistics notes. We would need 3 additional public note fields visible to the user in Primo and 3 additional internal note fields.

  2. Simplify item scanning when processing is complete

Operators would benefit from not having to choose a Work Order Type and Status when the treatment is complete. It is not always easy to find out which cataloguing or repair operation has been carried out on an item. And above all, it's not useful if Done =“No” is selected.

Couldn't you put this last line at the beginning of the form, and open the Work Order Type and Status boxes only if "Yes" has been ticked, rather than the other way round?

Thank you and thank you for supporting this modest proposal.

  3. Add Ability to Exclude Holdings Records from LHR Publishing to OCLC When Holding/Bib Records Are Suppressed from Discovery

Currently, Alma's LHR Publishing job for OCLC does not exclude holdings records from publishing when the holdings record or the related bibliographic record is suppressed from discovery.

We request the addition of an option in the LHR publishing job to exclude such holdings records from publishing to OCLC. This functionality is particularly important for suppressed holdings records, as the management tag for publishing to OCLC is set at the bibliographic level. Currently, if a bib record contains two holdings records, it is not possible to publish one holding to OCLC while excluding the other.

  4. Enable forcing barcode number for new items

When cataloguing a new item, we wish to force cataloguers to add barcode number before save. If some libraries do not want that, forcing the barcode field could be optional.

  5. The option to change the permanent location in the item should not be a default, it should be selectable.

To change the permanent location in the item can lead to incorrect results. If you have two holdings with different locations and then change the location of the item which is connected to the first holding to the location of the second holding, your item will be relinked to the second holding AND the first holding will be deleted automatically. If the first holding contained additional information (e.g. the call number), this information will be lost.
The option to change the permanent location in the item should therefore not be a default, it should be selectable depending on the needs…

  6. Allowing the relink of a holding from a bib record to another maintaining the call number even if the location is the same.

Now in Alma if you try to relink a holding with the same location (ex.: ABC) and call number 123 (1) from a record to another that have already a holding with the same location (ABC) and call number 123 (2), the holding with location ABC and call number 123 (1) disappear and everything is under the location ABC and call number 123 (2),.
This happens with a relink of a POL or an item.
We want to maintain the call number 123 (1).
If it is not possible to do it automatically at least a pop up message that…

  7. Enable us to display items in an "Unavailable" location type as Unavailable in Primo

We need the ability to show items that are assigned to a location with Type = UNAVAILBLE to show as unavailable in Primo

The primary use cases that prompt this idea are:
    1. A library is closed for renovation and the items are inaccessible to staff and patrons, but the items must still be discoverable so that patrons can be directed to Resource Sharing in Primo.
    2. Portions of a collection are temporarily inaccessible to staff and patrons, and the items are assigned to a temp location, but must still be discoverable so that patrons can be redirected to Resource…

    Dear colleagues,

Thank you for raising this idea.

This was part of the CERV cycle in 2025, but did not make it to the final list.

During the analysis, 3 possible approaches were discussed, each has a different estimation and effort:

Option 1: New dedicated process type

    • It will be possible to mark specific items as "unavailable", similarly to the way it is possible to mark them as "missing"
    • Items marked as "unavailable" will be considered as "not in place"
    • The new "unavailable" option will appear as a possible process type in all the places where there is a list of process types, including configuration options such as Fulfillment Unit Rules

Option 2: Mark a location as "unavailable"

    • It will be possible to mark a location as "unavailable"
    • All items in this location will be considered as "not in place"
    • The difference from option 1 is that when an item…
  8. Item Statistics Notes fields - choose controlled/not controlled individually

At present it is possible to choose for all three of the Item Statistics Notes to be controlled (i.e. select field contents from a drop-down list) or for all three not to be controlled (i.e. free text).

This is restrictive and inflexible. It would be preferable to be able to choose field by field which are controlled and which are not, i.e. have some of the Statistics Notes free text and others controlled.

  9. Generate barcodes in batch

Alma can be configured to generate a unique identfier in the barcode field of the item record one record at a time. Once the configuration is set, the unique identifier can be created by clicking the Generate button or simply by clicking Save.

It would be very helpful for Alma be able to generate sequential unique identifiers for each item in a set by running a job. That way, we could create a situation where each item in Alma has a unique identifier, either a real barcode number for a real barcode attached to an item or a different unique…

  10. Move requests and temporary locations - option to flag for processing, etc.

At present the item move requests sometimes work too seamlessly. Especially for items that are onloan when the request are made (or the item is restored to its permanent location). This is an issue when the items need manual intervention, e.g. relabelling. Items go through the process without being flagged unless another process is used, e.g. a work order or fulfillment note.

It should be possible to flag items for manual intervention when they arrive at their new or original location. A message on the lines of 'Move Request: check labels etc.,' in the manner of a fulfillment note.

  11. Change physical items job -- adding notes improvement

The "Append to field" option was added in November 2023, but two additional options are still required.

    1. 'Delimiter' should be an option.
Now, the default delimiter is ";".
Some institutions use symbols other than ";" as delimiters.
      For example, we use "|".
Therefore, there is a need to make the delimiter optional.

    2. Writing forward in the note
The current specification is to write backwards.
Some institutions operate writing new information in the front of the note.
There are three reasons for this.
(1)It is easier to manually add notes at the front of the note.
      (2)It is easier to see…

  12. Add all Enumeration and Chronology fields to the Inventory Information tab of an Import Profile

Currently, only Enumeration A - C and Chronology I - K are listed in the Inventory Information tab of our Import Profiles. Our consortia uses Enumeration A-D; Enumeration D specifically is used for free-text phrases that do not conveniently fit into the category of volume, number or issue; so "index", "part", "box", etc. are all written in EnumD. This is why it is frustrating that this enumeration field cannot be imported via an import profile.

It would be immensely helpful for us if all enumeration fields were listed in the import profile. There is no point in having so many…

  13. Apply different Physical Item Sort Routines to different material types

It would be useful to to apply a different sort routine to different item formats. So for example, we'd prefer books to sort by description ascending, but journals to sort by description descending.

  14. Enhance Shelf Report

Shelf report is a great tool but only searches for items based on permanent location and not their current/temporary location. As a result, items that are on display will display exactly as if they are missing and scanning a display shelf shows that the items were scanned but do not belong in that location, the same status as if an item from the traditional shelving was placed on the display shelf.

Additionally, it was previously posted (June 28, 2022) that it would be useful to be able to select multiple locations when performing a shelf report. It was commented that…

  15. Improve Job "Change Physical items information" parameter "Item call number"

Our "Item call number" are made up of two parts, one alphabetical and the other numerical. We need to be able to modify the alphabetic part in a group of items, and keep the numerical part exactly the same.

  16. Work orders: unnecessary message "cancel requests" when moving an item with work order

When moving an item that has a work order from a location to another, the cataloguer receives a message "The item is in work order, moving the item will cancel the requests if the item is not requestable in the new location". Most of these messages are not pertinent, and we ask for the possibility to adjust it, so that it only appears when really necessary. It confuses cautious employees who are afraid of unintentionally deleting markers, or it is hardly noticed because too often wrong.

  17. Deleting items on reading lists: notification when batch-withdrawing

The recently-added “Alert of Associated Reading List when Withdrawing or Deleting Items” facility is very welcome. However, this only produces alerts when withdrawing individual items. Would it be possible to add this notification to the reports produced when doing batch withdrawals, otherwise this feature has only limited use.

  19. Add fields, ‘Pattern Type’ and ‘Linking Number’ to the ‘Change Physical Items’ Job

Area of concern: Additional indexes for ‘Change Physical Items’ Job.

Please reference Ex Libris presentation ‘Automation Tasks for Summary Holdings’:

    https://knowledge.exlibrisgroup.com/@api/deki/files/63890/Serials_-_Automation_tasks_for_summary_holdings.pptx?revision=2

In order for 863/866 Summary Holdings generation to work properly, each item record must contain certain information in the ‘Pattern Type’ and ‘Linking Number’ fields. Currently, neither of these fields are available via the ‘Change Physical Items’ job.

What should be changed: As Serials Processors, we would like item level fields, ‘Pattern Type’ and ‘Linking Number’, made editable via the ‘Change Physical Items’ Job. Being able to change these fields in batch would benefit our workflow by allowing us…

  20. Mejorar realizar cambios globales en ejemplares físicos

Permitir realizar cambios globales sobre los campos de signatura de ejemplares físicos, para modificar una parte de la signatura sin cambiar el resto. Por ejemplo:

    EPP3300/WES cambiar a PLP3300/WES
