  1. Allow patrons to renew the due date of their item, if a request on title level exists, but their copy is not the recalled one

Please offer the option to configure physical item requests in a way that ONLY the recalled copy is blocked from being renewed.
All other patrons who have loaned a copy should be able to renew their due dates according to the maximum renew period.

Our institution offers patrons to place requests on borrowed media on title level. ALMA sets the copy with the earliest loan date to the renew status "recalled". Until this - or any other copy - has been returned, ALL other copies of the title cannot be renewed and therefore have to be returned to the library.

  2. Ability to delete a CZ linked portfolio from Repository Search>Portfolio list

It would save a lot of time and clicks if it was possible to delete a CZ-linked portfolio from within the repository search, rather than having to identify the portfolio, open it, click on the collection name, then click on 'Additional information', Service, Portfolio list, search for the portfolio again and then click on the delete option from here. We would rather use this for ebooks than simply 'deactivate' as inactive portfolios are still retrieved in a repository search, which causes confusion about what we exactly have access to.

    The functionality is already supported.
It is possible to delete a CZ linked portfolio from the Electronic Portfolio search results.
We will update the documentation to reflect the above.

  3. Patron Self Registration

Make Patron Self Registration possible via Primo. This feature would need to be configurable by libraries and able to be turned off altogether by the library. Configuration options could include: what data elements are required, whether new accounts need to be reviewed before they are active.

  4. Search entry for Resource Sharing Requests must be adjustable

When working on resource sharing requests lists (lending and borrowing) the first thing to do is selecting another search entry/term, mainly an aspect at the end of the list, to find a special request, because the author ist never the aspect we search for. The list in the pull down menue is hard coded and there is no option to re-order the list as we need it.
At least we like to achieve that the list starts with the last three search aspects the staff user has used. Alma has to remember them for the logged in staff user similar…

  5. Add the "internal description" and "notes" fields of the portfolios and e-collections to the eInventory dimension in Analytics

In our e-ressources workflow, we currently use the "internal description" field of the portfolios and e-collections to maintain some useful information on the resource status, e.g.: "local", "to check"... (because there is no specific field for these needs). It would be very useful to add this field in the "portfolios" and "collection" domains in Analytics, so that we can, for example, create an analysis to receive weekly reminders on these status. Currently, we have to use sets, which is less dynamic and personalized.
It would also be very useful to add the "notes" fields in the Analytics dimensions for portfolios…

  6. MARC field 382 should be searchable

The MARC field 382 (Medium of performance) should be searchable in Alma and Primo. The problem is acute for Finnish music libraries in Alma, because the field contains information about the instruments and/or voices in composition, but the field is not indexed in Alma. We had last autumn in Finland a large-scale subject headings conversion that greatly increased the amount of 382 fields. Then we were still in Voyager where the field is searchable. We hope that it would be so also in Alma.

  7. Make fine/fee types editable

Our library has many unique types of fines/fees, AND many of the fine and fee types in Alma's FineFeeTypeDefinition's Description table do not apply to us. Rather than providing customers with a fixed list, why not create an editable table of Manual Fine and Fee Types, similar to the Reasons for Transactions table that controls options for waiving fines?

  8. Borrowing - Request completed check

We would like to propose an enhancement request for Resource Sharing - Borrowing where, when you return a book, you get the option to "Complete the request" with a box you can check, like you have when you receive an article (digital or physical non-returnable). Now the status is changed to Returned item to partner, but if you work with non Alma suppliers, this status is superfluous because there will be no Checked in on the Lending side which changes the status to Request completed.

Borrowing Workflow Profile has an option for ‘Lender check in’.

If you remove that from the workflow profile that is linked to the request’s partner, returning an item will immediately consider the request completed, without waiting for a lender check in confirmation.

Workflow profiles are attached to the partner record, so you can set up this type of workflow for some partners and a different one for others

  9. [Alma] - resource sharing form - explicitly accept conditions

In the Resource Sharing Form right now there is neither nothing remembering the user of the conditions for the ILL service nor a check box meaning their acceptance.

It would be better to have a mandatory check box to click to grant acceptance of the conditions and a link to an external webpage summarizing those conditions.

The resource sharing form mandates the signing of a copyright declaration. The exact text of the copyright declaration is fully configurable by the institution, see https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/010Alma_Online_Help_(English)/030Fulfillment/080Configuring_Fulfillment/Copyright_Management#Configuring_Copyright_Declarations. The text can be configured to make sure the patron signs in agreement for the service’s terms of use.

  10. The cataloging level of a record changes to the level of the user editing the record when the record is saved. Add option to disable this.

The cataloging level of a record changes to the level of the user editing the record when that record is saved. Please add an option to disable this feature. If a higher level cataloger wants to up the cataloging level on a record, they can do it manually. We're in a consortial environment, and this feature causes much frustration for our member libraries.

  11. Toggle cancelled borrowing requests in a "terminated" status

Borrowing request can be cancelled by staff or by patrons. This happens fairly frequently.

Now the problem is that cancelled borrowing requests stay "active". This creates a lot of noise in the list of active borrowing requests. RS staff has begun to delete the cancelled borrowing requests in order for them to only see the really active ones. This of course has a consequence on Analytics. I am unable to know how many borrowing requests were cancelled because they don't exist any more.

So ideally, cancelled borrowing requests would keep their cancelled status, but have an activity status of terminated…

  12. ability to track perpetual access to eJournals when you cancel them.

submitted case #00086211 to create a new field in the Electronic Portfolio and Electronic Collection records for 'Perpetual Access Coverage Dates', and for this field to be retrievable in Alma Analytics.

We use separate spreadsheets to track these cancelled titles. In Alma, we would update coverage end date, POL if applicable (for individually subscribed titles in our case), and also a public note indicating the discontinuation. Patrons contacted us and asked why they couldn’t access a title any more, so we figured a public note would be more helpful to patrons in this case. But the public note fields is…

  13. Ability to report all MARC tags and subfields in bibliographic, holdings and authority records

    Hi Ex Libris

I would like to have the ability to report on Marc bibliographic, Holdings and Authority data with ease.

It should be easier to create an output field that will output a whole Tag or Tag with subfields using Alma Analytics.

There used to be a BRIALLIANT functionality with VOYAGER where you could use Oracle stored functions to output MARC data. Options included:
    GetAllAuthTag (AuthId, tag, format)
    GetAllBibTag (Bib
    Id, tag, format)
    GetAllMFHDTag (MFHDId, tag, format)
    GetAuthTag (Auth
    Id, tag)
    GetBibTag (BibId, tag)
    GetAuthSubfield (Auth
    Id, tag, subfield)
    GetBibSubfield (BibId, tag, subfield)
    GetMFHDSubfield (MFHD

Please note that it possible already in Alma user interface to report on (create sets of records) according to any field and / or subfield of the MARC record. This functionality does not require that the field is indexed. Indication rules are used to retrieve data according the presence (or non-presence) of data in fields or subfields.
For further details see the following three files at https://knowledge.exlibrisgroup.com/Alma/Product_Materials/Overview_Materials/Presentations_and_Documents

  14. Make Alma recognize "Primary Identifier" when creating a set of users

Every time anyone creates an Analytics report on users, if they want it to be usable in Alma via "Create Set," they have to rename the first column of the Analytics report to "Username," which is not a field in the Users subject area in Analytics.

Make the Alma UI accept "Primary Identifier" as a recognized unique identifier so that we can use it to pull User sets from Analytics into Alma.

  15. Notify libraries when e-mailed notices bounce

I just discovered an e-mail address for an internal patron (non-student) was entered incorrectly, so the patron could not possibly have received any of the overdue notices that were sent to her. If the the person who handle bills and overdues or someone at the library could receive notification when an e-mail sent out through Alma bounces, a problem of this sort could be rectified quickly. If I had not stumbled across the error, the patron might never have been notified about her overdue book.

    Dear Customers,

This request is already supported, there are instructions in the OLH explaining how bounced emails can be handled.

Hello. Please note that it is possible to do “un-receive” from the receiving page (receiving workbench). For details see
“Acquisitions – How to unreceive an item via the unreceive button.docx”
    at
    https://knowledge.exlibrisgroup.com/Alma/Product_Materials/Overview_Materials/Presentations_and_Documents
This document shows a detailed example of the “un-receive” option for items of both a “one time” and “continuous” type order.

  17. Job to scan in items

Our spine labeling workflow is quite bottlenecked because we have to scan each item 3 times: once to print the label, once to scan out of Tech Services, and once into scan into place. If there were a job to scan in items, we could at least reduce the 3 scans to 2 by scanning into an .xls and then running two scan in jobs on the same file.

The “Scan-in operation on item” API may be useful for this. You can use this API to scan in a bulk of items. The API is documented in the Developers Network.

A script for performing bulk scan-in of items is also described in the Developers Network.

  18. Restrict Access Policy for Digital representations by Geographical Location

We would like to be able to restrict access to digital representations by geographical location. The specific use case we have at the moment is that we want to apply for an orphan works license for one of our collections but it would only cover us for the UK so need to be able to restrict access.

    Hi,

There are two options you may consider.

    1. The display logic rules hide resource sharing requests when there are available copies. However, if the location of the available items has a ‘unavailable’ type then Alma will consider the items unavailable for this rule, even though they are on shelf.

The location ‘type’ is an attribute of the physical location.

    2. As mentioned in my comment, you can define general electronic requests that can help hide the resource sharing link depending on item locations. For example, assume you have a ‘Laptops’ location, and you do not want a resource sharing link to show up when searching items of this location. You can:

    1. Define a dummy General Electronic Service that will show when the location is ‘laptops’.
    2. Define a Display Logic Rule that hides the resource sharing link when the above mentioned service exists (i.e. when the location is…

  20. Suggestion for Increase of Shared Dimensions Between Subject Areas in Analytics

We have donors who require reports on how we are spending their endowment funding. These reports include Fund Transaction data, Bibliographic Details, and Holding Details. The idea is that the donor should be able to locate any item within our library that we have purchased on their funds. Unfortunately, Holding Details lies within the Physical Items subject area, and currently is not a shared dimension in the Funds Expenditure subject area. Holding Details (such as in the case of Call Numbers) are closely linked in usefulness with Bibliographic Details.

My suggestion, therefore, is that ExLibris please add Holdings Details as…

The suggestion here is to add information from the physical items to the funds expenditures subject area. It was opened three years ago. Three years (perhaps after this was opened – Ideas Exchange states “three years ago” but not an exact date) ago we added the fund information to the physical items subject area. This should satisfy the need of creating a report with data from both areas. See https://knowledge.exlibrisgroup.com/Alma/Release_Notes/030_2016/06July_2016/Alma_July_2016_Release_Notes/08Analytics_-_July_2016_Enhancements
