1. Developer Network master NZ account that can access/support each member IZ

   This is an idea to improve the infrastructure of the Developer Network for consortia central offices.

   Consider the case of support staff in the central office of a consortia. When using the Ex Libris Support Center, we are able to view open cases from across our consortia members and update them, assist them, etc as necessary, using our central consortia "master accounts"

   Unfortunately, in the Developer Network, we have a central account, but it is only connected to our Network Zone for managing API keys, seeing API usage, and managing users. If we want to be able to support all of our consortia members, we need to create a separate account for each Institution Zone, and each of these accounts has to have a unique email address. Yes, we can use the "+IZName" trick in the email (such as "account+IZName@host.name"), but this still leads to multiple accounts that need to be supported and maintained, and if these accounts are shared by central office staff, it limits the ability of using multi-factor authentication.

   What we are proposing is that the central NZ API accounts that have the "user manager" role also have the ability to have that role and access for each of the member IZs in the consortia.

   In short, we want to encourage our institutions to use the Developer Network if they have interest in programming with APIs, but they run into roadblocks with creating user accounts and then they lose interest by the time we can sort it out. Often the ‘user manager’ left the institution long ago and we have to open a case from the Central Office to get access and name a new user manager for the institution, and this takes too long. A consistent ‘user manager’ across all the campuses would really help with this.

2. "Request re-indexing" option for withdrawn items

   There is a re-occurring indexing error in Alma when withdrawing items, where these items sometimes do not disappear from the Alma instance and a re-indexing job must be performed to correct it. These items often cannot be re-activated from "Manage deleted repository" and can't be interacted with. (See attachment)

   Ideally, it should be possible to request a re-indexing of the Alma-instance directly in Alma. This could be for a single record or the instance as a whole.

3. Reporting on historical location changes

   Analytics should allow users to run reports on historical location changes e.g. identify items that were moved from Branch A to Branch B or different locations in the same branch. This information is visible in the Item history tab; it should be made available for management reports.

4. Ability to run a job on a set from the Manage Sets screen

   Currently we need to create a set in the Manage Sets area then go to "Run a Job", select the job to run and then select the set.

   Wouldn't it be great if you could go to Manage Sets then click on "Actions" for a particular set, then choose "Run a Job". You could then be prompted to choose the job to run but you wouldn't need to go through the additional step of choosing the set (and you wouldn't have to exit the sets screen to go to the "Run a job" screen). And only the jobs that can be run on the type of set you have (All, titles, physical titles, physical items, portfolios etc.) can be presented to you as options.

   That would be a nice little timesaver in certain circumstances

5. Massive copy of records from the community zone to the local catalog

   In our institution, we have thousands of active electronic records for our institution but belong to the Community Zone. We want to copy massively these records to our catalog without having to do it one at a time.
   Our usual procedure is, from an excel file in which we have the ISBNs or ISSNs of the electronic documents, to upload the portfolios from the electronic collection itself. In this way we bring and activate in our institution the portfolios of the collection, but this does not generate a local copy in our catalog of each of them. So, we have many thousands of portfolios brought to our institution in this way, but now we want to know how we can copy them to our catalog without having to do it one at a time.
   We need to add many records from our IZ but linked to the Community Zone a marc field 526. In this note field we provide information on the recommended bibliography for our degrees. We need to load that field 526 via API.
   The addition of this field 526 allows us afterwards that users can search in Primo for the bibliography recommended for their studies.
   Currently, Alma does not allow the incorporation of this 526 field by API if that record is not copied in our catalog, so we need that record to be copied in our catalog. Adding this field to a record that is not copied in the catalog is possible if it is done one by one, but we want to do it via the API since it is several thousand records. However, the API gives an error if you try to put that field in a record linked to the CZ, without a copy to our local catalog.
   Conclusion: We want to copy massively records from CZ to catalog without having to do it one at a time

6. Enhance Advanced Search to allow regular expressions

7. Diacritics and special characters

   When importing records from vendors diacritics and special characters should also import. Currently they come in as random characters or unicode and it takes up staff time to manually correct them.

   Thank you for submitting this idea. As of 2024, it is possible to update the access model at the collection level, as requested in the related idea mentioned in the comments: Collection level access model setting – Have an idea for Ex Libris?

   We will therefore not be adding this for bulk portfolio updates.

10. Fix Call Number Sorting for certain classifications

    Certain call number classifications that don't follow the typical format (LC class code, class number, Cutter code, title code, pub date) aren't sorting correctly in Alma's Browse Shelf Listing or Primo's call number browse.

    One example is from a classification concerned with books about Civil War troop regiments:

    .T55
    2010

    Which should typically sort like this:
    E577.5 1st
    E577.5 2nd
    E577.5 3rd
    E577.5 10th
    E577.5 24th
    etc.

    However, it seems as though the call number normalization isn't set for these specialized classifications and they end up sorting incorrectly, like this:

    E577.5 1st. P48 2004
    E577.5 10th .W35 2009
    E577.5 16th
    E577.4 2nd .M35 2016
    etc.

11. Allow option to abort import once it has been submitted

    Once an import has been submitted, there should be an option to abort or cancel the import.

    Sometimes mistakes are made. The wrong import profile is chosen, the wrong file is chosen. Often the mistake can be noticed very quickly, but there is no choice but to wait until the entire import file is loaded. And by then the damage is done, it can be very tedious in Alma to undo certain mistakes (portfolios imported to the wrong collection for example).

According to support " it is outside Alma's current functionality to be able to be separate an item from a collection of related bib records. It would be an enhancement to this functionality."

    I am proposing that Ex Libris fix or enhance this functionality so it will work. My institution has a large collection of 'bound with' physical materials from the 1700s with analytical cataloging. For example, 26 pamphlets bound into one volume. In many instances, they were cataloged as multiple volumes on a specific topic. Without this functionality working, it is not possible to identify which volume belongs to the specific analytic record; they all appear.

14. create brief record

    In Resource Management, there are options for creating a physical item using a template that list the MARC fields as their type, not like the field numbers in Metadata Editor. Such as, Title is listed with a field to enter this information, and Author and so on for the Resource Information. As a cataloger, I know the MARC field numbers and can easily catalog in Metadata Editor, but this is not the case for the acquisition coworkers I collaborate with to order new materials.

    In the Add Physical Item function, you can create a brief record with only the title, but it also creates an item, so if you try to order a new item from this brief record in Add Physical Item, you create a duplicate item record.

    It would be great if ExLibris added an option under Resource Management to Create a Brief Record (for the sake of ordering) WITHOUT creating an item record, that had the MARC fields parsed (like in Add Physical Item). This way, acquisitions personnel can easily create a brief record (ONLY a bib record) for ordering, and then click 'Order', instead of trying to create a brief record in Metadata Editor where you need to know the MARC field numbers for each field.

    Please add this function! It will make workflow easier. It would also be great if you added a step to assign the brief record to a cataloger, so acquisitions can assign it to a cataloger without trying to open the brief record in Metadata Editor in order to assign it. Thank you!

15. Metadata Editor: Add More Keyboard Shortcuts and Make Existing Ones Intuitive

    The ME needs a keyboard shortcut for every function. 'Search External Resources', 'Release Record', and many other actions do not have keyboard shortcuts, so I still essentially have to use the menu for everything. This is simply inaccessible.

    Secondly, the shortcuts that do exist don't make sense. A new field is F8, but deleting a field is CTRL + F6? Why not just make it CTRL + F8? Or F9? These shortcuts are poorly thought out and confusing.

16. Improve ME Browse Call Numbers Tool

    When editing a holding record in the Metadata Editor, the Browse Call Number tool shows the call number from the current holding record in a shelf list display. However, the resulting list starts with the call number in your holding record and shows the following call numbers. What we need is to see the call numbers both before and after the one we're working on. Request the list show at least 2-3 call number prior to the one we're working on, plus those following.

18. Add a mapping structure for normalization/merge rules in MDE

    The numbers of normalization rules is getting quite annoying. When we are in a consortium we also see every rule in the network zone.
    I would like a posibility to create folders like in Analytics.
    This would be helpful to group rules by institution or category.

    We carefully evaluated the potential effects and risks of this change and decided to continue with the current behavior where you can use filter to find your rules. While we understand this may not be the desired outcome, we want to recommend to use an effective way to find easily your rules by creating them with a naming convention (i.e. name of campus, library, name of members, indication of IZ or NZ origins, category ...) and use the already existing filter to locate easily your rules.

    We carefully evaluated the potential effects and risks of this change and decided to continue with the current behavior where you can use filter to find your rules. While we understand this may not be the desired outcome, we want to recommend to use an effective way to find easily your rules by creating them with a naming convention (i.e. name of campus, library, name of members, indication of IZ or NZ origins, category ...) and use the already existing filter to locate easily your rules.

19. Add option to not attach a logo to Letters (to reduce e-mail spamminess)

    If we hide the logo by removing it from head.xsl, it's still attached to e-mails and contribute to increasing the spam score (which is already quite high due to several other issues like html-only content)

    If an email logo is not uploaded, the header logo is used as the email logo. Can this please be changed? If an email logo is not uploaded, it might mean that we don't want an e-mail logo.

    Alternative, to keep backwards compatibility, a new option "Don't attach logo to e-mails" could be introduced.

20. batch move license inventory

    I would like to batch move license e-inventory on licenses and amendments to another license/amendment.

    Currently, you can move e-inventory to a different license one at at time. It would save time to select inventory to move to a different license in bulk.
