2. Hide Pod Terms

   Issue:

   Since going live on Rapido in 2022 I have consistently received requests from staff and librarians asking for more control over the appearance of pod terms on the Rapido tiles. The bold parts of the tile are not editable at all and have created many patron complaints when the terms are not met because either A) the first library in the pod request order is unable to fill the book for some reason or B) the book is delayed due to shipping issues or staffing issues. These complaints are why this is a consistent issue brought up by librarians or staff.

   Proposed Solution:

   While the pod terms themselves are great for libraries to adhere to, it would be helpful if they weren't so visible to patrons. I propose being able to toggle them on or off in Primo, so the terms still manage the pod but are not visible to the patron. This will remove the issue when pod terms change or expectations are not met.

3. Apply the lending institution’s permanent barcode to a borrowing request's temporary barcode when no duplicate exist

   Problem

   Currently, Rapido applies a prefix to the temporary barcode for items received by a borrowing institution when lending and borrowing partners do not have shared barcodes enabled. Clarivate indicates this behavior is necessary to prevent barcode duplication, which could otherwise cause system errors.

   However, this creates challenges for institutions with multiple service points. If a patron loses the paperwork associated with a resource sharing request that includes a prefixed barcode, frontline staff must recognize the item is a resource sharing request and understand that the barcode includes a prefix in order to process the return correctly. In many cases, patrons may not understand the item is part of a resource sharing request, or they may return it via a book drop without any accompanying documentation.

   Depending on labeling, it may not be immediately apparent that a returned item belongs to another institution. As a result, items with prefixed barcodes and no paperwork are at increased risk of being processed incorrectly.

   Currently, resource sharing staff can manually update an item’s barcode upon receipt to match the permanently affixed barcode. While this reduces errors at service desks, it introduces additional manual processing.

   Proposed Solution

   Introducing a configurable option to apply the lending institution’s permanent barcode, when no duplicate exists, would significantly alleviate these issues.

   When receiving a resource sharing request in Alma/Rapido, the system should first check whether the item’s barcode already exists within the institution’s IZ:

   If a duplicate barcode is detected, the system should automatically apply a prefix or suffix and notify staff via a pop-up alert so the item can receive special handling.

   If no duplicate exists (the most common scenario), the system should apply the lending institution’s permanent barcode directly to the borrowing request.

   This functionality should be configurable and operate independently of current shared barcode settings between partners.

   Implementing this enhancement would reduce staff processing time and simplify the return workflow for frontline staff, ultimately improving accuracy and efficiency in handling resource sharing items.

5. GTI to distinguish between different languages

   The GTI often considers documents in different languages as if they were the same entity if the title and the publication year correspond. But in reality a publication and its translation in other languages can have the same title quite easily, one only needs to think of biographies to get good examples (e.g. titles like “Picasso”). It is very complicated to explain to patron users why they get a book in a different language. And it can be frustrating for them, as they need to place a new request and wait much longer than expected before getting what they wanted. It can also mean higher costs for patrons and/or libraries to organize the delivery. We therefore recommend that the language is included as parameter in the GTI index.

   Is ist possible to differentiate Rapido Physical Offers by POD or by type of order?

9. Adjust a lost item fee to the Lenders cost

   Summary:
   Currently, when staff members need to adjust a fine or fee (for example, to correct the replacement cost of a lost item), the process requires deleting the existing fee and creating a new one. This creates a significant issue: the newly created fee is not correctly linked to the associated item record.

   Problem Description:
   When a patron reports a lost or overdue item and is unable to locate it, staff adjust the charge to the cost from the lending library. However, because the system does not support direct modification of existing fees, staff must delete the original fee and manually create a new one.
   As a result, the new fee is detached from the original item record. If the patron later finds and returns the item, the fee remains on their account because it is no longer properly tied to the barcode or item record.

   Proposed Enhancement:
   Enable staff to directly modify existing fines and fees within the system, maintaining their link to the associated item record. This will ensure:

   Accurate and efficient fee adjustments.

   Proper linkage between fees and item records.

   Automatic removal of replacement fees if the item is later returned.

   Benefits:

   Reduces staff workload and manual errors.

   Improves patron account accuracy and satisfaction.

   Preserves system integrity by keeping all records properly connected.

10. Print multiple slips for multivolume requests

    For multivolume requests, only one shipping slip or return slip is printed even though Rapido knows there are multiple items involved in the request. Practitioners have a few workarounds right now: we can rubberband items together; we can photocopy the printed slip; or we can reprint the slip however many times is needed to have a slip per item. The second two options are a waste of time, and the first can lead to items with no paperwork attached to them if the rubber band breaks or the books otherwise become separated from each other. Rapido knows how many items are in a request because multiple barcodes have been scanned in; the system should print the number of shipping or return slips to match the number of items in the request.

    It would be ideal if there were also a toggle off button for multiple slips for situations such as multivolume microfiche where only one slip is actually needed.

11. Daily per user limit on Rapido borrowing requests

    Rapido mediation rules currently allow institutions to set the maximum number of requests per user within a certain number of months.

    An additional improvement would be to expand the mediation rules to allow institutions a maximum number of requests per user per day(s). This functionality would support the workflows of departments with limited staff to process the needs of a larger user population.

    Current functionality is insufficient or overly cumbersome. For instance, copyright rules allow institutions to set a maximum number of requests per user for a specific resource, but this only resets at the start of each calendar year. Additionally, the Active Resource Sharing Requests Limit in the Borrow Requests Terms of Use would require more particular configuration for use with specific fulfillment rules and considers all active requests, not the number of requests that staff may be expected to process within a shorter period of time.

12. Auto‑Associate Article Records with the Correct Print Journal Issue in Primo/Rapido

    Problem

    When a patron discovers an article in Primo that is held only in print, the request workflow forces the user to manually choose a “Print volume” from a long list of volumes/issues. Patrons frequently select the wrong volume or issue because the mapping between the article’s metadata and the print holdings is not clear. This results in incorrect requests, delays, and additional staff mediation.
    Desired Functionality
    Primo/Rapido should automatically match an article’s citation metadata (volume, issue, year, month, pages) to the correct physical journal issue in Alma and pre‑populate the request accordingly—avoiding manual volume selection.
    If multiple possible matches exist, the system should provide a small filtered list of the most likely issues instead of the entire holdings run.

    Benefits

    • Eliminates frequent mismatches between the requested journal issue and the issue where the article actually appears.
    • Reduces staff time spent correcting or rerouting requests.
    • Improves fulfillment speed and patron experience.
    • Increases accuracy when holdings span many decades or include bound volumes, supplements, or ambiguous enumeration.

    Use Case

    A patron finds an article via Primo, clicks Request, and is required to select a volume from a long list. Without clear enumeration, the patron often chooses incorrectly. If Primo could automatically resolve the citation to the correct physical issue, the request would be accurate the first time.

    Requested Enhancement

    Add a Primo/Alma/Rapido feature that:
    • Uses article metadata to resolve the correct print issue automatically.
    • Pre‑selects the matched holding/item in the request form.
    • Shows only precise matches when ambiguity exists.

13. Send Documents via Link for non-Alma peer-to-peer partners

    Would like to have the option to send documents larger than 25M via link for non-Alma peer-to-peer partners. Currently our work around is to store on a SharePoint site for the Partners to retrieve. Enabling this process for all partners would make the process of delivering documents through Rapido more efficient and streamlined for both staff and patrons.

14. Lending search

    In the Lending interface for Rapido, it defaults to "Author" search. Is there any way to change this to "Title" and make it "sticky"? Ideally, it would be per user but if not possible, per institution would be fine too.

15. Add more fields to the right pane quick edit 'Request form (as filled by requester)' in Rapido

    In Rapido, the 'Request form (as filled by requester)' section on the right pane has some great features. It allows staff to quickly access and edit some of the request form fields. However, certain crucial fields are missing from this section, limiting its effectiveness.

    Current benefits:
    1. Hovering over a field shows a tooltip containing its complete contents. This means staff don't have to open the request to edit, navigate to the field and use the across arrow on the text field to slowly read its full contents. Sometimes important information is missed if this step isn’t taken.
    2. Staff can promptly edit fields, such as rectifying bad citations in borrowing requests and resubmit/recalculate the request without navigating to edit the request details in full.

    To get the best out of the 'Request form (as filled by requester)' section in the right panel, it would be beneficial to include more of the request form fields. Useful fields that are currently missing include Chapter Title and Chapter Number for Book (Physical non-returnable) requests. We frequently receive book chapter lending requests under the Physical non-returnable category. Not being able to see the chapter details in the right pane mean important information about the request can be easily missed (e.g. partners add 'title and verso' notes to the chapter fields, which can't easily be seen from the full request). Additionally, the ISSN field for article requests and ISBN field for book requests are missing. For borrowing requests that were rejected due to incorrect metadata, being able to edit these fields quickly from the right panel would mean we could then resend or recalculate the request much quicker.

16. Sort by due date

    Currently in borrowing requests we can sort by creation date, update date, last interest date, and title. In lending requests we can sort by those as well shelving location. In both areas, we would like to be able to sort by due date.

    This would allow us to create sets that will help us manage both loaned books as well as books still on the hold shelf as we approach the end of spring term. Many of our students leave for the summer with books still checked out that our due while they're in some random place, or with books on the hold shelf that don't expire (which for us we've set to the due date) until a month after they've left.

    While we can generate lists of this information in Analytics, it would be helpful to create a set in the Alma UI and have access to real-time data, not data from yesterday.

17. Match "Send email to partner" design with “Send query to patron” to include External ID and CC

    The 2024 August release introduced the "Send email to partner" feature. We would like this feature to match the current “Send query to patron” function found in the Borrowing Request.

    Currently the "Send email to partner" feature lacks some critical information.

    In the Lending Requests, the External identifier and Bibliographic details are missing. We also notice it does not have the cc (carbon copy) functionality.

    Lacking External ID in the subject makes it extremely difficult for libraries on both sides to action the request. Lacking the ability to cc addresses means we must check between the generic email and the Alma request to see the full history of the issue.

18. Transit times via Analytics Reports

    We would like to have a clear view of transit times in Rapido, in order to ensure an efficient user experience, optimize internal workflows and enable accurate calculations of the various relevant dates.

    To assess these service times, it is important to define the topology for which the solution is being proposed: We will assume two universities (UniversityA and UniversityB) participating in a Rapido pod. Each university has a central point (branchI and branchJ), which is the only branch responsible for handling shipments. In addition, each university has many other branches.

    The total time from when a user at UniversityA (associated with any given branch) submits a request for an item held at UniversityB (in any given branch), until the document is delivered, can be divided into five sub-times (T1 + T2 + T3 + T4 + T5), as follows:

    • T1: Time from when the user places the request until the staff at University_A retrieves the item and prepares it for shipment.

    • T2: Time it takes for the item to travel internally from the owning branch at UniversityA to the central dispatch branch (branchI). This is relevant for the internal logistics of the lending institution.

    • T3: Time from the central dispatch point at UniversityA (branchI) to the central receiving point at UniversityB (branchJ). This is the inter-institutional transit time, and it is defined in the Rapido pod settings as "Delivery Time". This time is essential for calculating both the Lending Due Date and the Borrowing Due Date.

    • T4: Time from the central receiving point at UniversityB (branchJ) to the branch where the user is located. This reflects internal distribution within the borrowing institution. The default pickup location is the final point where the user will collect the document, and this includes any processing time from when the item arrives at the central point until it becomes available to the user.

    • T5: Time from when the item arrives at the user’s branch at University_B until the loan is actually performed and the item is checked out to the user.

    Obtaining these five time components in a single report would require accessing data from three different Analytics Subject Areas:
    - Borrowing Requests (Resource Sharing)
    - Lending Requests (Resource Sharing)
    - Physical Items Historical Events

    We believe it would be highly beneficial if Ex Libris could create an out-of-the-box report that combines this information. We really believe this would be very useful for many consortia, and we encourage Ex Libris to consider developing such a report.

    We would like to have a clear view of transit times in Rapido, in order to ensure an efficient user experience, optimize internal workflows and enable accurate calculations of the various relevant dates.

    To assess these service times, it is important to define the topology for which the solution is being proposed: We will assume two universities (UniversityA and UniversityB) participating in a Rapido pod. 20. Add additional fields to Rapido request form for physical requests

    When patrons request odd editions of items, we’re left wondering whether that’s what they meant. Do they really want the British edition for some reason, or is that just what they found first? Do they really want the German language edition of this graphic novel? We would love the ability to add fields for “this edition only” and “this language only” added to the Rapido request forms for physical requests. Additionally, these could be customizable fields that each library could give text to and add to the form. Asking for additional information from the patron up front would lead to quicker turnaround times as we don’t have to waste time contacting the patron and waiting for a reply.
