    Add a job that allows customers to batch edit file and link information for a set of research assets including fields such as content type, access rights, license, and description.

  2. Ability to customise grant labels

    When selecting investigators to add to a grant, the options are PI (Principle Investigator) or CI (co-investigator). We'd like to be able to customise the labels for these fields.

    This is especially confusing in Australia where our national funding body (Australia Research Council) uses the opposite abbreviations so we often choose the wrong one and would like to be able to update the Esploro labels to make: Chief Investigator (CI) and Partner Investigator (PI).

  3. Configure Time Delay of Letter Delivery

    Similar to scheduling the time of an email in Outlook (see attachment), permit the Esploro letters administrator to set a time delay for when letters are sent.

    Our use case is as follows:
    When we enter new theses, it can take up to 15 minutes for them to be available via the public portal after record 'Approval'. If enabled, a Deposit Status Update Letter is sent to the author immediately on 'Approval'. If the author opens up their letter straight away, they are presented with a dead link. We have disabled the Deposit Status Update Letter as a result.

  4. Consolidated Task List for all assets requiring staff intervention

    When our staff work on approving assets they need to work off multiple lists because of how they are displayed in the tasks list. We would like to see a consolidated list of Draft and Pending Approval assets so that we can then filter by date or researcher to work through them as a batch. As it is, we need to check in the Smart Expansion task list, the Research Deposits task list, and the Smart Harvesting task list.

    A consolidated list would streamline our workflow and make assigning tasks to users significantly easier.

  5. Ability to Upload updated Internal Organization file without overwriting the whole structure

    The ability to uplaod a new internal organization file (exported from Workday with edits) without overwriting the existing structure or detaching assets would be a huge time saver. Right now we have to go in manually and make significant changes on a regular basis because our university re-organizes frequently.

  6. Allow customers to modify the frequency of the usage statistics letter

    Currently, the usage statistics letter can only be sent monthly. Some researchers find this schedule too aggressive (especially considering asset usage doesn't typically change dramatically from month to month). Many of these researchers tend to unsubscribe as a result. However, some have suggested they would be more open to receiving these notifications is they were less frequent. We suggest Ex Libris consider giving customers the option to modify the frequency of this letter (i.e., quarterly or annually).

    Ideally, it would be great if researchers themselves could manage their notification preferences (including frequency) from their researcher profile. See related enhancement request:

  7. Ability to update affiliation of researchers attached to a grant

    When adding a researcher to a grant you are not able to update their affiliation.
    Assuming Esploro will be developed to show collaboration in grants, it will be necessary to have the correct affiliation showing for the researchers attached to a grant, similar to the affiliation for researchers attached to an asset.

  8. Allow files to be organized in folders

    When uploading files, there is no option to put them in folders or maintain the original folder structure. We have a user who has sorted his data by year and the only way to maintain that structure was to create separate assets for each year. They are closely related datasets.

  9. Add option to easily export internal organization structure to spreadsheet

    We would like to be able to export a file which includes:
    Top level unit | 2nd level unit | 3rd level unit | etc for all levels
    For example:
    Weizmann Institute | Chemistry Faculty | Organic Chemistry Department
    Weizmann Institute | Chemistry Faculty | Materials and Interfaces Department
    Weizmann Institute | Biochemistry Faculty | Molecular Cell Biology Department

  10. LoC and DC Headings

    We would like to have the availablity to select Library of Congress or Dublin Core Subject Headings instead of the ExLibris base set of subjects. We found that ExLibris's base set is poorly inadequate and it became a huge annoyance and time consuming to copy and paste the Library of Congress headings for our catalogers.

  11. Auto Assignment for Asset Types

    We have regularities in terms of which colleague checks which type of assets. It would be nice if I could automatically add the assginment to the asset type for these people. otherwise, as admin, I always have to check first and then end up assigning the same colleagues again anyway.

  12. SWORD deposit compliance with Date formats

    Currently SWORD deposit date validation gives errors when Dates in records do not match YYYY-MM-DD format and does not allow deposit. This is problematic as many Published Dates do not contain Month or Day. This also makes Esploro non-compliant with date standards, including EDTF. SWORD date validation should account for the variety of Date formats that can be submitted for bibliographic records, preferably aligned with bibliographic standards like EDTF.

  13. Map programs & research units to ETD types

    Now that undergraduate students can self-deposit in Esploro, it is essential that the process be as straightforward as possible. Currently the programs and research units that they must select from are all possibilities. We would like a way to identify the relevant programs and research units so they are given a subset of relevant options. Without having an appropriate subset it will be much more challenging for everyone, and we are sure we will get a lot of incorrect information in the form.

  14. Add job to bulk import asset metadata and files

    Currently there is actually no mechanism by which a batch of metadata and files for multiple assets can be imported into Esploro. Strongly recommend adding this functionality ASAP.

    This Idea is very broad, and since it was opened new functionality has been added, in particular the Update by CSV. CSV update covers all metadata fields in the Asset but does not include Authors, either creators or contributors, or Files. 

    It would be helpful to get an updated list of priorities.


  15. Add job to batch edit and/or suppress file labels in File Viewer

    Currently, the file label displays in the File Viewer above the file itself and appears as prominently as the title of the asset (same font and size). For the thousands of assets we migrated to Esploro, this file label is by default the file name, which references the ID number of the file in our previous repository and nothing else (e.g., no author, title, year). This is not at all helpful to our patrons and is frankly quite ugly. So I would recommend that you add a job to edit and/or suppress the file labels in batch. Right now we…

  17. Improve version control of research assets

    Research outputs typically go through several different iterations or versions over the course of their lifecycle. NISO, for example, defines up to seven versions of scholarly journal articles http://www.niso.org/publications/niso-rp-8-2008-jav. In order to avoid confusion, support proper citation, and ensure compliance with publisher open access policies, it is critically important that institutional repositories clearly distinguish between different versions of the same work by prominently displaying this information in both the asset record and PDF cover sheet.

  18. Assign assets with active messages to administrators

    Currently, you can only assign assets that have not yet been approved to administrators. Due to the built in messaging system in the faculty profiles, it would be helpful from a management standpoint to be able to assign assets with active messages to administrators. Currently, assets with active messages are only visible in the general task list. It's not possible to know what is in progress or being reviewed by another administrator unless you open each asset to view any communications.   19. Add dedicated accessibility fields

    Add fields to document the accessibility of individual research assets. This information can help Esploro managers track accessibility compliance for items and set expectations for users who may want to access items. At minimum, one field with controlled vocabulary terms and another for free-text entries would be helpful.   20. Add notes that display in Esploro brief record display

    Though many Esploro researcher deposits naturally disappear from the research deposits queue as part of their lifecycle -- approved, returned to researchers, etc. -- for deposits that for one reason or another have to remain in the deposits queue for an extended period, a type of internal note explaining their presence in the brief display would be very helpful.

    In our case, our library does the work of seeking OA permissions for deposits, leaving deposits in the queue awaiting responses for a period of days, weeks, and in rare cases months. As you may imagine, this can build up very…
