  1. Make Query to Patron Letter use addressFrom like any other letter

    The Query to Patron letter functionality for Borrowing Requests in Alma has recently been reimplemented to use the standard mail configuration in Alma. By some reason an exception has been made for the "addressFrom" setting, where it instead still uses the default address for the Resource Sharing library.

    This is counter intuitive, as the addressFrom value is still configurable for the letter, only it doesn't have any effect. I'm still surprised my case (#00609529) was identified as a documentation issue and not a bug.

    As of the May 2023 release, you can set the default 'sent from' email address to be different from the main library email address. When rs_use_addressfrom_letter_param (Fulfillment Configuration Menu > General > Other Settings) is set to true (default false), instead of letters being sent from the Preferred Email Address set in Fulfillment > Library Management > Contact Information, the email is sent from the letter configuration addressFrom (Configuration > General > Letters > Letters Configuration).

  2. Ability to reverse 'completed' requests in Resource Sharing

    There are some occasions where we have completed a resource sharing request, and then later realise we aren't actually "finished" with the request.
    Even if you change the status to something else (e.g. shipped physically), you are still unable to receive an item on the request number.

    Would it be possible to create an option to 'un-complete' a request? Which would then give the request all the available options as active requests?

    The July 2019 release has a feature for ‘Reactivate Resource Sharing Requests’.

    For completed peer to peer resource sharing requests, a new row action, Reactivate Request, is available on the Resource Sharing Task List. This action may be used to reactivate a request that has been mistakenly marked as completed.

    The option is available on both the borrowing and lending request task list.

    For borrowing requests, a temporary item is recreated using the previous barcode with the process status set to ‘In resource sharing’.

    For lending requests, the shipped item’s process status is set to In resource sharing and the item is relinked. The request status is Request Reactivated.

  3. Converting Borrowing requests into patron physical item requests

    We need a better way to convert a borrowing request into a patron physical item request, and then delete the borrowing request.
    We often receive borrowing requests from patrons on books which are available in our library, other editions etc. . In those cases we may create a patron physical item request on the local title by clicking "view local", then conduct a search, then place a new request on the local material (note: we here have to type in patron and other data which were already included in the borrowing request), and then go back and delete the original…

    Alma February release now supports converting borrowing requests to patron physical item requests.
    When a borrowing request is created and a local resource matches the request, if the operator chooses to create a request, the borrowing request data automatically populates the relevant fields in the request and gives the operator the option to cancel the borrowing request.

  4. [Alma] - ILL Resource Sharing - allow pickup location other than RS Library for Physical non-returnable requests

    Right now Borrowing Request type "Physical non-returnable", which is the one used for document delivery (tipycally a printed copy of an article), allows to choose only the Resource Sharing Library as Pickup Location.

    This is a problem, since a user is instead willing to choose the library where the printed copy should be delivered. This is particularly useful when libraries are geographically sparse.

    Using a temporary item does not help, since in this case we don't have an item that must be returned (and shipped back to the lender, as it is in the ILL of a book). The user…

    New Customer Parameter “Primo_VE_photocopy_other_pickup” handles locking the Pickup location field when selecting Photocopy on ILL Primo VE form. Enabling the Customer Parameter will allow choosing location, while disabling it will preserve the current behavior of locking the file to Resource Sharing Library.

  5. Delay time between receiving an item and sending email notice to patron

    We would like to be able to configure the amount of time between receiving an item and sending an email notice for pickup to a patron. We receive items in batch and then file them onto the hold shelves in batch. Some time is need between these batch processes.

    Current workarounds include: including text in emails that students might not read or scanning the items through two separate workflows.

    Being able to configure the trigger for the email notice would be much better.

    You can now add a Delay for hold notification (minutes) on either the Circulation Desk – General Information or Library Details pages. When a hold notification is set to be sent to a patron, Alma waits for the delay to complete, then checks to see if the request is still active and if so, sends the hold notification to the patron. If the value is populated for both the circulation desk and the library, the value in the circulation desk is used.

  6. Run Update BLDSS Requests job more frequently/at better times

    The Update BLDSS Requests job runs at 7 a.m. and 7 p.m., which is effectively once a day. It needs to run more frequently and at more sensible times, i.e. 2 + times during the working day, between 8 a.m. and 3 p.m., so that Event Type updates from the BL are more frequent and timely.

    Thank you for your idea, the functionality is available as of the March release:
    You may now send an asynchronous resource sharing request to the British Library using the BLDSS API without a successful locate result. If a match is unsuccessful because the locate process fails or if the locate process was not run, the request can now be sent.

  7. Show completed requests in RS without having to enter search term

    At the moment, completed requests are hidden from records and have to be searched by entering matching search terms. Our ILL staffs are finding facets appearing left to active requests records very helpful, as they reportedly spare staff members' effort and time to enter search terms and go through all the unwanted information. This applies to completed requests as well, as the staffs have to revisit them every now and then. It would be greatly appreciated if completed request records could be seen, limited, searched and browsed just like active requests, without having to enter search terms.

  8. Cancellation reason "item already available" added

    We often need to cancel interlibrary requests due to that our library already owns the material requested, but there isn't anything that resembles this when choosing a reason for cancelling.

    We would like to have this option added in "Cancellation reason" in Borrowing requests.
    We would like the new cancellaton reason to be; "item already available".

  9. Lending Requests - Display of Article Title on main screen

    We would like the the article title to appear on the main screen of Digital Lending requests. Currently the Journal title appears twice e.g. Advances in Health Sciences Education / Advances in Health Sciences Education.
    We would like to see: Advances in Health Sciences Education / CASPer, an online pre-interview screen for personal/professional characteristics - instead of pressing Other details.

    When a lending request is linked to a bibliographic record, the task list now shows the article title (if exists) in addition to the journal title.

  10. Ability to sort Resource Sharing borrowing requests and lending requests by Request Date

    Currently, the 'Created borrowing requests' list is sorted alphabetically by title. It would be really useful, for when we have a large number of requests, to be able to also sort it by request date.

  11. Improved claiming functionality for resource sharing

    There is a need for improving claiming functionality in resource sharing. When items are borrowed by library A from library B, it should be possible for library B to automatically claim library A when lending requests are overdue.

  12. Requester's Expiration date and ***** status - to add to the requester's pop-up box

    When processing RS borrowing requests it would be useful to know a Requester’s Expiration Date and their ***** status without checking their account. I would like to suggest that these two pieces of information are added to a Requester’s pop-up box at the RS borrowing request.

    The expiration date and blocks of the users can now be displayed in the pop up box.
    Such as other fields in the pop up, they are visible when enabling them in the ContactInformationPopup mapping table.

  13. Show a confirmation/warning about completing a lending request when using scan in items

    It would be a good enhancement to get a warning or a confirmation that a request is about to be set to completed, when we scan in an item that is currently in a resource sharing process. Because we use RFID, we have had multiple occurences of scanning in a document that already has the status Shipped Physically again by mistake, only to have the lending request irreversibly set to Request Completed, without the item ever being received by the Borrowing library. This means we have to contact the owning library and ask them to resubmit the request.

  14. Add the creation's hour on borrowing requests

    My idea contents 2 concepts :
    1) We would like to see the hour when the borrowing request was created.
    When we have a lot of requests, we would like to be able to make a choice and treat the older before the newest.

    2) We would like to sort the borrowing requests by differents ways. Presently the borrowing requests are ranked by alphabetical order of the title.
    But when you have a lot of requests, like us, sometimes a new request arrives before that you treated the ancient.
    So maybe could it be useful if we could rank the…

  15. Send a confirmation by e-mail for each resource sharing request

    When the user fill in the form to receive a book by the Inter-Library Loan (ILL), it would be nice if a confirmation by e-mail could be sent to him.
    Our users were accustomed to receive this sort of e-mail and it's a deficiency for them.

  16. Report of Outstanding Borrowing Requests

    We would like a to be able to: 1. Create a report of outstanding borrowing requests, 2. Automatically send the claim letters by email to the partners, 3. Update the status of the requests to Claimed.

    As of March release for peer-to-peer resource sharing partners, you can trigger an automatic claim letter when a configured period of time is reached. For example, when the Automatic Claim check box is selected and the Time to Claim (days) field is set to 7, if a request was sent 7 days ago and the request’s status is still Sent, a claim letter is automatically triggered and the request status is set to Claimed.
    You can also configure an option to send a cancel message and continue through the rota.

    In case of an Email/SLNP partner, the letter is sent by email.

    For ISO requests, the notice is sent in a General Message. The text in the message can be configured

  17. Limit Resource Sharing Requests per academic year

    It would be great if Alma included an overridable limit to the number of resource sharing requests a user could submit for an academic year. It would also be great if limits can be set either on the patron type or user group.

  18. Ability to assign Resource Sharing Borrowing Requests

    There is currently the ability to assign Resource Sharing Lending Requests, but not Borrowing Requests.
    This would be a useful feature- it would ensure there is no double handling across different campuses, certain requests can be escalated to a manager if they require approval, and once a request has been processed up until a certain point it can be placed back into the unassigned list until further intervention is needed.

  19. Configure how an active request is defined in Alma Resource Sharing

    Currently a user's request at a borrowing library is considered 'active' until the lending library receives and checks in a returned item. We would like the option of making our users' requests 'inactive' when they have returned the item to our library, even if we haven't returned the item to the lending library.

    We have set a limit on 'active requests', and the current definition is penalising our borrowers. They cannot place another request, even though they have returned the item to our library (because the lending library has not checked the item in at their end).

  20. Show partner in lending request list

    It would be a nice extension to add a field that shows active partner as in the borrowing request list
    This would result in a lot less clicking on the edit button.
