  1. Automatically update Embargoes whose date has passed

    Esploro records are Opened automatically after the embargo period had passed – But:
    • The records still have "Embargo" in the "Access rights" section of the asset
    • "Embargo" still appears on the article’s cover page.

    It was suggested by Ex Libris support that once in a while we will create a set of all the records for which the embargo date passed, And run on them the 'Update Set of Research Assets' job - replacing the access rights to ‘Open’.

  2. Improve management of previously affiliated researchers

    When a researcher leaves your institution, the only way to presently change their status from "Affiliated" to "Previously Affiliated" is to purge their user record from Alma.

    However, there may be reasons for an institution to retain the user's record even though they are no longer an affiliated researcher. For example, the user may be an alumnus or emeritus who retains certain library privileges or has fines associated with their account.

    As a result, institutions need a way to transition researchers to "Previously Affiliated" that doesn't require purging their user record.

  3. ETD/Student work deposit notification

    There is currently only one letter that can be used for ETDs with limited options for customization.

    To best serve our student community, it is important to have an ETD deposit notification letter that is generated when an ETD is ingested in Esploro. This communication allows us to not only confirm their deposit has been review and ingested, but to provide the student with the open access permanent URL (handle) that they can use when citing their work. In many cases, this information is required by employers or for other verification purposes.

  4. Smart Harvest / Smart Expansion - Approval history required

    We've noticed that once a Smart Harvest or Smart Expansion asset is approved, there is no record of which user account approved the asset.

    For training and quality control purposes, we would like to know who has approved these assets. Please consider adding this function to assets that have been sourced via Smart Harvest and Smart Expansion.

    We submitted this as a bug, but have been advised it is an enhancement request.

    The status date and operator who approved has been added to the Smart harvesting subject area.  These fields also display in the author matching task list.

  5. Enable multiple creators for ETDs

    Currently, the ETD author field is not repeatable. We have many ETDs that are co-authored (some having up to 6 authors). Additional authors can be added in the contributors section with role author, but that a) gives them much less prominence in the record and b) requires creating a non-affiliated researcher record. We request that the ETD author field be repeatable to allow for the same level of attribution in the discovery record, and prevent the creation of non-affiliated researcher records which duplicate existing Alma profiles.

  6. Offer separate search scopes for faculty and student research assets

    Our institution uses Esploro to provide access to two different types of research assets: faculty publications and ETDs. Currently, Esploro offers the option to search ETDs separately from other assets. However, it is not possible to search our faculty assets separate from ETDs. We would like the option of parsing students and faculty assets into completely separate search scopes rather than having them combined into one.

  7. Bulk Changes to Asset Authors

    As the title says, we would like the ability to bulk edit authors. We have assets that have almost 3000 authors most of which are unaffiliated which we would like to remove. There currently is no mechanism to do this in a timely manner.

    We understand that doing this via SmartHarvesting is difficult at best, but an PUT API or or some other process is possible.

    The ones we are having the most trouble with are physics papers as we have member of ATLAS which has the aforementioned almost 3000 authors. Currently we have to remove the 'extra' names one…

  8. Approval notification email - weekly option

    It would be good to allow researchers to subscribe to a weekly summary of new assets approved rather than receiving an individual notification for each asset on approval. When adding multiple assets for one researcher, the researcher may feel overwhelmed by the number of separate notification emails. It is possible to turn off approval notifications temporarily, however the librarian would need to remember to manually turn it back on once the assets have been added. Having a single weekly summary notification may be more end-user friendly.

  9. Add student profiles from Alma as Creators or Contributors for Assets

    We would like to track presentations, grants, student art exhibits, performances, and other activities that would qualify as artistic or scholarly outputs by students completed as part of their studies. We would like to add students (via their Alma profile) as Creators or Contributors to research assets. However, it doesn't seem like we can do this unless we add students as researchers. We do not want to create researcher profiles for students. Esploro allows tracking of these via ‘Assets’ but students can only be manually added, instead of imported from their Alma user record. This prevents us from running analytics…

  10. Duplicate publication submission alert

    When a researcher is submitting an asset via the researcher profile add content button I would like to see Esploro match to an existing asset. Particulary if the match is on a unique identifier such as a doi for electronic assets or an ISBN for a book. Currently the assets submitted via the profile need to be searched in the backend by library staff to ensure that the asset doesnot already exist in the repository. When the researcher enters a doi and there is an exact match they should be given the option to "display this asset in my profile".…

  11. Report on generated temporary links

    At the moment, you can generate a temporary link for a closed file with an expiry date. However there is no way to report on which files have links generated and what the expires are. This means there is no way to revoke links or update users if the file is changed. It would be good if the generated temporary links and the creation/expiry date could be reported on in Analytics.

  12. Ability to control the public visibility of grant information

    Give customers the ability to manage the public visibility of grant information. The details of certain grants cannot always be made public. Therefore, institutions must have the ability to selectively suppress grants from discovery and control the public visibility of certain elements (e.g., amount). Ideally, this control should be available both to Esploro staff as well as the researcher/grant recipient.

  13. Enable movement of internal organisation units in hierarchy

    Issue: We have recently undergone a restructure and many of our internal research centres and units have been moved and report to a Faculty. The affiliated researchers need to reflect this on their profiles. Currently a new organisational unit would need to be added however it is the same organisational unit with the same orgid. We cannot move the orgunit and associated assets and need to create a new orgunit under the parent organisation (then move the assets into it) however the orgid cannot be used as this is a unique identifier.   14. Add local notes field to researcher record

    It would be useful to be able to add free-text local notes to researcher records.

    We could add employment information if someone works outside of academia.

    We could add notes if a researcher dies.
    We could add additional information to help disambiguate authors with duplicate names working in similar fields or institutions.

  15. Esploro datasets in Google Dataset Search

    Making Esploro datasets discoverable in the Google Dataset Search is a high priority for positioning Esploro as a robust data repository solution. A prominent research program has deposited several of their datasets in Esploro. At a recent meeting, the PI indicated that not having their Esploro datasets discoverable in the Google Datasets Search was a significant disadvantage when compared to other data repositories like PANGAEA.

    Schema.org tags are required for inclusion in Google Datasets, these tags should be added to Esploro assets.

  16. Populate permalink with local DOIs/handles

    We are able to generate DOIs for ETDs, but we have found that users are sharing the generated permalink instead of the assigned DOI.

    In any instance where there is a local DOI or handle, it would be great to have it populating in the permalink field.

  17. Display of grant acronym in the Esploro portal asset – Horizon Europe

    The European Union's Horizon Europe grants require that a grant acronym appear in the repository metadata. Esploro's asset view only includes grant name and id.

  18. Researcher status field should be added to Analytics

    In some of our reports, we want to filter on Active researchers who are not expired.
    In Esploro, there is the Researcher status field. This field is not in Analytics.
    Please add this field to Analytics -> Esploro Researchers.

  19. Include DOI and PMID in brief display on researcher profile

    On the researcher profiles, it would be very helpful to have the DOI (as a link) and the PMID (also as a link) display on the researcher profile. Our faculty members currently display these on their existing profiles and they are both considered standard parts of citations.

  20. Afiliations in profiles should have more flexibility

    We would like researchers to be able to add an affiliation, whether or not that affiliation is listed in GRID or other system. This would allow them to list commercial entities, as well as smaller organizations that may not be included.

    We also do not want the list of titles in affiliations connected to our internal list of titles. Some of the terms (Assistant/Associate/Professor are fairly standard in the US, but other of our local titles are not as standard in at every institution, and definitely may be different internationally.

    This ability has been recently added - when selecting the "Enable creation of new external organization" check box in the setting, the user can add new affiliations that are not part of the controlled list.
