1. Update URL in porfolio when attached bib record's 856 is updated

   When the URL in a bib record attached to a portfolio is updated (individually edited, or batch load/overlay of records), there should be a setting to the action so that the URL in an attached portfolio would also be updated and we don't have to remember to manually do this. We have had 2 recent instances, one where we used APIs to update bib records using our old PURL manager to use our new one, only to find that the portfolio URLs also needed to be changed separately, and one where we have a batch of vendor records with changed URLs that we had to delete and re-add in order to get the portfolio URL updated. Both of these were large batches... We'd like to tell Alma to synch URLs in the attached portfolios when we make a manual edit, or load/overlay a batch of records.

   If there's a way to do this we don't know, please tell us!

2. Improve publishing to PubMed to give a single coverage statement for all portfolios active for the same title

   The Publish to PubMed publishing profile outputs an xml file giving details of ejournal coverage per title. Where we have multiple active portfolios for a title, the output contains a set of "or" queries with the coverage for each portfolio, and these often overlap or duplicate each other. NLM will no longer accept files with these duplications and overlapping coverage statements and instead require a single coverage statement for each ISSN in the file.

   Please add to the publishing profile the option to merge the various coverage statements to give a single start and end date per title that reflects the total coverage available for all the active portfolios for each title.

   NLM PubMed Library LinkOut tools supports placing the library link resolver icon on every PubMed citation therefore PubMed no longer supports uploading the library holdings to PubMed.

   For more information about how to setup PubMed Outside Tool to place a link on every PubMed record please see: https://www.ncbi.nlm.nih.gov/books/NBK3803/#related.Outside_Tool.

   Due to the above Publishing to PubMed is deprecated and will not include any improvements.

   Thank you for submitting this idea. As of 2024, it is possible to update the access model at the collection level, as requested in the related idea mentioned in the comments: Collection level access model setting – Have an idea for Ex Libris?

   We will therefore not be adding this for bulk portfolio updates.

4. Enable Individual Portfolios for Publish to PubMed Profile

   There is not a way to set up individual profiles for the Publish to PubMed Profile for individual colleges that share one Alma instance. This functionality is important and should be enabeled. Without it, patrons using PubMed will not be aware which results are available in full-text through their college's databases. The expected outcome of this improvement is that it would provide a way in the Publish to PubMed profile manager to set up individual profiles per college, like there is in the Publish to Google Scholar Profile.

5. The material type can be updated in bath mode

   At present, for journals if the portfolio being activated is from the Community Zone, the material type value is ignored in the input file .For multiple portfolios , It is unrealistic to modify manually one by one.

6. Suppress bibliographic records of electronic collections in NZ automatically.

   Currently bibliographies of electronic collections, which we select "Mark Bib as suppressed" on the page of "Activation Wizard: Electronic Collection and Services Setup" and activated from CZ, are suppressed in IZ. But these records are in NZ and can be searched with consortium scope of Primo VE. It would be great if it is suppressed not only in IZ but also in NZ automatically. The necessary workflow looks as follows:
   If held by one institution in a consortium and suppressed, suppressed from NZ.
   If held by some institutions, and only one of them suppresses, not suppressed from NZ.
   If held by some or all institutions, and all of them suppress it, suppressed from NZ.
   If held by some institutions, and one of them changed from suppressed to unsuppressed, not suppressed from NZ.

7. Allow data from the POL notes to inform/be inherited by the portfolio notes.

   Our Acquisitions process currently allows for receiving e-book purchase option information (platform and use model) from a vendor via POL notes. We would like this information to be inherited by the e-inventory in the notes field of the portfolio. There is currently no way to get that information out of the POL, and it is needed in the porfolio to streamline workflows.

8. Improve OpenURL generation to remove blanks and duplicates

   Openurls generated could by Alma/Primo be shorted by:

   1. Not sending duplicate parameters.
   2. Not sending empty parameters.

   Background:

   We have noticed that OpenURLs produced by Alma/Primo (which are then sent on to our ILLiad server, which can require redirection to get the patron authenticated) can be VERY long. So long in fact, that they can produce errors for our ILLiad web server. The ILLiad server will end up reporting "Request header is too large", and the user is left with a HTTP Status 400 Bad request error.

   We believe the responsibility here is on the Alma/PRimo side as the urls generated could be shorted by:

   1. Not sending duplicate parameters.
   2. Not sending empty parameters.

   Note: For our (UW-Madison's) locally developed discovery interface, we generate our own OpenURL links for things like "Request a copy" from article searching and the catalog records, so we can ensure proper length limits.

   ExLibris generates OpenURL links in their UResolver (Find it) and Primo Search API

   In order to display electronic availability for articles we have to query the OpenURL resolver in alma to get data back. The string we use to query the resolver is provided to us by the Primo Search API

   Previously we ran this URL through a parser to validate it and then remove empty parameters. There are three issues with this data - 1) sometimes keys are duplicated, which goes against best practices 2) Data is not properly url encoded 3) There are a lot of empty parameters.

   Removing those parameters for this example request would drop the length of the URL from 1328 to 1052 characters

   Note: We no longer parse this data as it was dropping the duplicated parameters causing lookup issues, so it's passed through to our OpenURL resolver as we receive it from the API (aside from prepending a parameter to return XML instead of HTML)

9. Reflect Community Zone changes in affected portfolios' history tabs

   Alma portfolios in the IZ show a modification date in their history when a change is made based on CZ data. However, the changes themselves are not documented in the portfolio's history tab -- just the fact that a change occurred on that date.

   Some changes are displayed to users in the CZ updates task list, so it's clear that Ex Libris has a way to communicate this at the Institution level. But as Update Task List entries can be dismissed en masse, it's important to reflect CZ changes like linking and coverage dates in a more persistent manner, through the history tab.

10. Update primary URL and Parser Parameters using Portfolio Loader

    Currently, when using the Portfolio Loader to update links, only the override URL and override Parser Parameters can be updated. It would also be helpful to be able to update the primary URL and primary Parser Parameters using the Portfolio Loader.

11. Set Access Type flag for portfolios in Import Profile

    In a portfolio, we can now set Access Type to Current, Perpetual, or both. It would be very useful to be able to set this flag when importing in batch, with a setting in the Import Profile.

13. Set "available from date" and "available until date" in import profiles

    It is currently possible to set "available from date" and "available until date" in electronic portfolios either manually or with a job. But it would be useful to set these dates in import profiles too.

    One use case is a collection of Swank streaming video titles. The library wants to load MARC records because the CZ records are too brief. Here are the steps the library must take:
    1. Run the import profile to load the records and create electronic portfolios.
    2. Create a set of the newly created electronic portfolios.
    3. Run the "Change Electronic portfolio information" job on the set of electronic portfolios to add a designated "available from date" and "available until date."

    This would be a more efficient workflow:
    1. Run the import profile to load the records and create electronic portfolios.
    2. The import profile applies a designated "available from date" and "available until date" to each newly created portfolio.

14. Ability to customize the order of display for portfolio links in a record

    When there are multiple portfolios for one title, such as a journal or newspaper, Alma allows them to be sorted by Rank, Title Asc, or Title Desc. But there are occasions when it would be optimal to custom sort the display. For example, for the title Barron's, we have three ProQuest Central portfolios displaying to the public, each with a different date range. It would be nice to be able to have them display in chronological order. Currently they display in this order: 1942-1987, 1921-1942, 1988-present. In this instance, the sort options do not help since they are all ProQuest Central links.

15. override proxy - portfolio

    Occasionally, a portfolio will move OA in a collection. It would be great to have an option to override proxy set at the service level on the portfolio. Then, rather than having to turn off proxy at the service level and update portfolio by portfolio, you can just override proxy on each portfolio as necessary.

16. allow the use of sets in Overlap and Collection Analysis

    The Overlap and Collection Analysis wizard allows two report types: Set Comparison and Selected Titles. Set Comparison only allows you to choose electronic collections, so the name is a misnomer. Selected Titles only allows you to upload a file. Neither type allows you to use the itemized/logical set functionality that already exists in Alma.

17. Make View it the default tab when viewing electronic items

    Currently when viewing items you can set the electronic & physical tabs to expand by default. However the 'View It' tab/option is hidden in the menu. We don't need to see the portfolios we hold at a glance, we need to be able to view and access the item and it's holdings.

    Please add 'View It' to the list of tabs and to the expand options, so we can see what we hold at a glance and have access to it without needing to search for the menu button.

    If you could add the holding information for when we only have a single holding/subscription that would also be great. A blank 'View it' page is both odd and pointless when we are looking for holding information.

19. interface names - browse/export available options

    Interfaces are selected by searching from pre-defined list - searching by entering all or part of the interface name.

    I asked Ex Libris if there was a list anywhere of the available interfaces we can choose from and was advised 'A list is not available. Currently it's only possible enter part or all of an existing interface name and select the matching interface from the drop-down list adding Interface to a vendor. '

    It is difficult to know what interfaces are available to select. It would be helpful if you could also 1) browse the full list of available interfaces to see what options are available for selection and 2) export the list of available interface options.

20. Automated holdings data updates for Paratext Reference Universe platform

    Reference Universe by Paratext utilizes holdings data files consisting of ISBNs to present users with search results specific to their library's holdings.

    According to Paratext, they have recently completed a pilot project where they access a library’s SFX resolver directly and retrieve information on new acquisitions without library personnel being involved at all, once the original protocols are established. This will be great for libraries using both Reference Universe and SFX.

    They are interested in establishing this automated holdings data maintenance functionality with other OpenURL resolvers, such as Alma Link Resolver.

    Please work with Paratext to establish and optimize automated ISBN holdings data updates between the Alma Link Resolver and Reference Universe.
