  1. Create and manage a rapido/Alma resource sharing directory

    Issue:
    Currently, partner contact information in Rapido is drawn from general library data. This approach often lacks the specific details needed for efficient interlibrary loan (ILL) communication and workflow coordination.

    Proposed Solution:
    Ex Libris should develop a dedicated partner directory—similar in functionality to OCLC’s Policy Directory—that includes each institution’s interlibrary loan contact details. This directory would provide key information such as ILL email addresses, phone numbers, primary contact names, and lost item policies. Having a centralized, standardized directory within Rapido would enhance accuracy, streamline communication, and improve the overall efficiency of interlibrary loan operations.

  2. Add a warning message when a user submits a potential duplicate request in Rapido

    We would like to suggest that Rapido include a warning message when a user tries to submit a request that appears to be a duplicate of a recent one (same title, author, or identifier).
    This would help avoid unintentional duplicate requests, which may occur due to navigation errors or confusion.
    Suggested message: “You have already submitted a request for this item. Are you sure you want to place another request?”

  3. Item set to unavailable as soon as requested via Rapido

    Currently, an item linked to a lending request is only set to unavailable after it has been shipped. When the lending request still has status Being processed, the linked item remains available.
    Consequently, when several requests placed in a short time-frame on the same title are placed, the algorithm attributes all of them to the same lending library, while copies from other libraries are available.

    If the item would be made unavailable as soon as it is requested, following requests would calculate different partners for which the items are available. Requests on the same title would then be better dispatched…

    Additionally, for item-level requests and title-level requests with only one item, Alma can be configured to mark the requested item as not available. The item being requested will be marked as Item not Availableand will have a Process status of Requested. In such cases, if you release or cancel the request, the item’s Statusbecomes Item in Place.   4. Add item title to ship item physically screen

    When shipping an item physically from the lending request, the only identifier on the shipping item screen is the External ID. Please add the request title to this screen so the staff member processing the request can do a final check that the book they're about to ship/scan is the correct one for the request.   5. Add requester type to requester metadata in Rapido

    We should be able to see the requester user group (faculty, undergrad, etc.) in the information about the requester in Rapido. Sometimes decisions about how to handle a request (i.e. purchase or cancel, keep looking after the end of the semester or cancel) depends on the type of requester. We shouldn’t have to go into a different part of Alma to get this information.

  6. Add borrowing library to Change Rapido Request Terms Letter

    Use case: When a rapido request can’t be fulfilled by library A and is rejected > Rota starts. If there is a change in costs, time, and so on the patron receives the Change Rapido Request Terms Letter e-mail. Theoretically, they are then allowed to cancel the request in Primo. If they are too late (which will probably be the case) they have to contact the library.

    Upon review, I am updating the status to already supported. I am understanding the need to be that the borrowing library's contact information be included in the letter that is delivered to local users. The letters can be customized to include a library's contact information.

  7. Populate the partner_code XML field in Resource Sharing Shipping and Return slips with Alma library code

    Situation: We are using a 3rd party logistical company to deliver the Rapido requests from Swiss libraries around Switzerland. After the shipping or return slips are printed in Alma, libraries are filling in the logistical details in the 3rd party system by picking the destination library from a list of libraries. We have around 500 libraries in our network and sometimes the names are similar. This leads to mistakes.

    Currently, the value in the XML field notificationdata/partnercode is always filled in with the name of the library and not its code.

    Hello Dominik,

    Thank you for this idea. I am updating the status to already supported. From your description, I am understanding a need for a free text field that can be manually edited  and then be included in the letters: Resource Sharing Shipping Slip and Resource Sharing Return Slip. 

    This field exists as the alternate symbol field. This is a free text field on the partner record that can be edited. It can also be added to the code of the identified letters.

  8. Rapido to consider user blocks

    We would like Rapido to consider user blocks applied to patrons. Currently, if a user is blocked (IZ- and NZ-wide), they still can proceed to requesting items via Rapido. We would like that when a user is blocked, no offers are displayed in the Rapido tile.

  9. Create a way to batch deliver articles, like RAPIDX

    We would like a way to batch deliver articles, like RAPIDX offers. We deliver a number digital articles and chapter requests and processing them one by one is time intensive. We already name the article / chapter PDF with the request ID, just like we had prior to RAPIDO.

  10. Rapido UI 'Sets': Lending Request Filter Options Should Include Requested Resource Type: Article, Chapter, or Book

    Sometimes a request is generated from a physical material record, but the user wants digital fulfillment.

    Digital and print resource-sharing fulfillment are completely separate workflows for us. If this is true for others as well, it would help to be able to see if a request is for a book-chapter or article rather than a book--as opposed to just the distinction between digital and physical. (We supply what we have, format-blind, and the supplied format will either be downloaded and supplied or scanned and supplied.)

    Hello Mary,

    Thank you for sharing this need in IdeaExchange.  I am understanding the need as the ability to distinguish between lending requests that need to be shipped physically, downloaded and shipped digitally, or digitized and shipped digitally. This can be done through a combination of set facets of requested format and inventory type to make sets that support the organization of your workflows.

    Example set parameters to use: 

    inventory type= physical and requested format= digital: identify requests for content that need to be digitized in your collection.

    inventory type= physical and requested format= physical: identify requests for content that needs to be shipped physically from your collection

    inventory type=digital and requested format- digital: identify requests for content that need to be downloaded and delivered.

  11. Multiple Letter/Notice Versions and Ability to Associate to Institution or Pod by Location

    Our institution has two Rapido fulfillment scenarios.

    1. Pick from shelf to lend material to a library on our consortial courier route.

    2. Pick from shelf and 'band' (or removable label) and ship via postal mail to requesting out-of-state libraries.

    Our student workers do our pick from shelf and sorting, so need to know from the pick from shelf slip whether the item goes into the courier bin or to the area of the library that handles shipping.

    It would be a pretty bad error for an item intended for a distant library to land in the courier bin. Less so (though …

  12. Add Create Request option to the Resource Sharing Requests task list menu

    When manually creating a request (borrowing or lending) for a patron, you currently have to get into a list/set of requests before you can access the "Create Request" button. This is not intuitive because the request doesn't exist yet and it wastes time while you wait for a page to load that you won't actually be working with.

    Offering the "Create Request" option from the Resource Sharing Requests task list menu puts this ability at an earlier spot to be able to start this request and doesn't waste clicks getting to an area that is not necessary. If one Create…
