  1. Increase the 10MB email attachment limit for digitization requests

Currently the limit for email attachments when filling digitization requests is 10MB. We would like institutions to be able to choose their own limit that suits their own institutional email policies (e.g. Otago's attachment limit on their email server is 30MB). Other institutions may wish to have a lower limit so it should be possible to set a limit that is appropriate up to a maximum value that can be supported by the Alma email infrastructure. Our staff frequently bump into the 10MB limit which leads to them cancelling digitization requests in Alma and then manually emailing the attachment to…

As stated in the comment for this idea, we understand the need to have a file uploaded in various sizes so we will handle this as part of the “ship digitally” option as an alternative to the actual attachment of the file.
“Ship digitally” will send a link to the email recipient which will enable them to download the attachment. see more information here: https://knowledge.exlibrisgroup.com/Alma/Product_Documentation/010Alma_Online_Help_(English)/030Fulfillment/040Resource_Requests/070Digitization_Processing#Attaching_Digitized_Items_to_Be_Sent_to_a_Patron

Although you specified that your request relates to file attachments, our proposed solution is to increase the file sizes of those attachments which are sent via a link. Here is the idea exchange which relates to this:

  2. Cancellation Reason Customization

It would be very helpful to be able to customize the Cancellation Reasons with a code table of some kind. Especially since the Cancellation Letter appears to pull directly from the Cancellation Reasons drop-down, being able to customize the cancellations would give flexibility in the wording of the letter and encompass any further changes to Cancellation Reasons in the future.

  3. Title-level request and item-level request

Currently it is only possible to configure either item-level-requests OR title-level requests in Alma for Primo . We request the possibility to configure title-level-requests in the terms of use when specific parameters are met, for example when all items are located in a certain location.

    Hi,

Alma Fulfillment manages requests as title level, which is the easiest requesting option for the patrons. The request form allows to specify specific required terms of use or material types. If there are specific items that should be requestable on the item level, Alma expects their unique attribute to be described in the Description field. That will make them requestable at the item level.

  4. New institutional number sequence, or reset Additional ID, to shorten hold shelf pickup number

In the April 2019 RN the feature "Additional ID for Hold Request Management" became available and it has been very useful for our library, especially since we have an open hold shelf and need anonymized hold shelf slips. By the end of 2022 we noticed that the number sequence wasn't reset when it reached 999-999-999 like we expected it to. Instead new numbers are added and we've been told that it will just continue to add new numbers and never reset. Very long serial numbers are not user-friendly, neither for the staff, nor for the patron.

    To prevent long numbers,…

  5. make location type „unavailable“ functional: items in these locations should be shown as unavailable in Alma and Primo

We need the possibility to show items as unavailable in Primo without creating requests (work orders) for them.

    Our use cases are
    - items which have been restituted (via a provenance research project) and are no longer in the library
    - items which are blocked for usage for years
    - items which are not usable for certain reasons
All of these have to be shown in the discovery interface, although users won't get them for a long time or at all.

Now, all of these items have a "green" availability status in Primo and we struggle to put information about…

  6. Add "Print Slip Report" action to the "Resource Request Monitoring" screen

The Print Slip Report function is currently available from the "Pick Up Requested Resources" and "Resource Sharing Lending Requests Task List" screens. But when a hold is placed on an item that is checked out, the returning item is automatically placed on hold and the request bypasses the "Pick Up Requested Resources" screen and shows up on the "Resource Request Monitoring" screen as "On Hold Shelf". But the Print Slip Report is not available here. It does need to be available here, as well.

"Print Slip Report" is a different action than "Print Slip." The Print Slip Report is a…

    Hi,

The request monitor page is not intended to be the routine working space, but rather be an interface that allows searching and fining specific requests to query about their status, and run some specific actions (such as cancel). The routine work on the requests list is intended to be done via the task lists.

    Thanks,
    Moshe

  7. Setting to default when only one Loan Period Policy

When placing a request for an item with only one Loan Period Policy, It would be more intuitive and friendly if it would be the default option so the patron shouldn't have to open the drop down and choose the only available option.

Setting the default Loan Period Policy would mean that the request must be fulfilled with that loan policy. That would mean that if there is a change in the items’ policy the request will be automatically cancelled. This may not be a desirable result.

If the patron really wants the request to be fulfilled only with the selected loan policy, the patron is expected to explicitly select that.

  8. Add Circulation History Log to Alma as Patron History in Patron Records

Staff would benefit from having a circulation history log, as in Aleph, to track transactions much easier. That would greatly assist us in billing, since we do it manually. It is also useful for resolving patron issues with fines and fees issues, as well as overdue fines. It could be included as patron history on patron records. We used the log for handling a number of issues.

  9. Add Renewal Amount to Terms of Use

In the TOU, there is a Maximum Renewal option but this still does not let us configure the amount of times they can renew an item. A solid TOU that gave an exact amount value of they amount of times they could renew would be wonderful.

  10. Blocks tab on User Details screen should display system assigned blocks as well as librarian assigned blocks.

The blocks tab on the User Details screen should display system assigned blocks as well as librarian assigned blocks.

It is confusing for staff if a user is blocked but the block doesn't show on the user details screen, only via Manage Patron Services.

This idea is partly related to "Make Manage Fulfillment Activities the same thing as Manage Patron Services" (https://ideas.exlibrisgroup.com/forums/308173-alma/suggestions/36274744-make-manage-fulfillment-activities-the-same-thing) - one of the ongoing issues with Alma from a staff point of view are the number of different screens things are under, and not in a particularly intuitive way. Waive a fine here, pay a…

  11. Allow Alma to allow renewals if a certain number of copies are "In Place"

We circulate short loan laptops and equipment but have a threshold that needs to be in stock before we will manually renew for users. As a result, we need to mediate renewals. It would be great if Alma could do this automatically so we could allow self-renewals of short loan equipment.

  12. Work order email notification option

We use work orders to request items from our other branches to be loaned out via interlibrary loan.

When the branch is unable to find the book, they click Mark as Missing on their Pick from Shelf list.

Unfortunately, this simply deletes the work order and doesn't notify us that the work order was deleted. We have to go into our Monitor Requests queue and actually scroll through all the completed requests to find the ones that were marked as missing.

I would like to request that when creating a new work order, there is an option to add an…

  13. Reduce 24 - 48 hour window between the time a Course and Reading list are created in Alma and the moment it appears in Primo

It is very difficulty to judge whether or not processing course reserve material are successfully completed until a full day and sometimes longer have lapsed if/when publishing in Primo is a concern. This happens - failure to publish in Primo - inspite of Course Reserve becoming available as loan-able in Alma.

  14. Track actions on items in transit

Currently, when an item goes into transit, it only registers the scan into transit and the scan out of transit. However, sometimes, an item gets scanned at an intermediate location for a variety of reasons and this scan is not logged in the item history. This makes tracking items in transit more difficult and nearly impossible to find if they get held up at the intermediate location.

  15. Block payment and payment of fines at a circulation desk other than the library that owns the fine

In our institution, we have 34 libraries and our students can circulate among them. We think it's a problem when a user can pay their fines at another library, not on their own campus.
Regarding the payment of fines, we suggest that there is a way to block the payment and / or payment of fines at a circulation desk other than the library that owns the fine.

  17. Provide a notice/warning on Scan In when a home delivery is blocked

When an item requested for home delivery is scanned in and the patron is blocked, e.g. due to excessive fines, Alma silently places the item on the Hold Shelf. There is no notice to the staff user that the item was requested for home delivery and that a fulfillment process was just interrupted.

We use home delivery exclusively for remote students that often will not be able to come in and pick up their items, so placing the item on the hold shelf will not help them.

We would like to be able to use the "User Notifications Letter" for end of the school year cleanup. When seniors are graduating we want to let them know what they need to return and/or pay off in order to graduate. We can use a fulfillment job to send the User Notifications Letter to patrons in a set.
