  1. Add an Investigator column in the ‘Assets grants and funders’ section of the asse

    It would be helpful if we could see the investigator (the owner of the grant) displayed in the ‘Assets grants and funders’ section of the asset in the repository.
    This would come in handy in case we have two (or more) grants used in the same asset.

  2. Publication details > Publication Title - autocomplete option should include Journal names, Repositories, Databases for optimal consistent

    Currently, Ex Libris Support insists that the autocomplete list (Asset > Publication Details > “Publication Title” field) includes only Journal names.
    This is not true as we know that ArXiv.org (https://arxiv.org/) is already on that list. ArXiv.org is an open-access archive/Repository.
    chemrxiv.org (https://chemrxiv.org/) is another example. ChemRxiv (pronounced 'chem-archive') is a free submission, distribution, and archive service for unpublished preprints in chemistry and related areas.

    We ask that other databases and repositories will be added to the Publication Title autocomplete list. This is very important consistency-wise.

  3. Map programs & research units to ETD types

    Now that undergraduate students can self-deposit in Esploro, it is essential that the process be as straightforward as possible. Currently the programs and research units that they must select from are all possibilities. We would like a way to identify the relevant programs and research units so they are given a subset of relevant options. Without having an appropriate subset it will be much more challenging for everyone, and we are sure we will get a lot of incorrect information in the form.

  4. Fields that have content should be visible when editing an asset

    It should not matter what the asset type is, if it was brought into Esploro by DOI or Title, while the system populates fields automatically, all fields that were populated have to appear in the ‘Edit’ version of the form (and not only in the ‘Edit in Generic Form’, as it is today).

    Customers can configure the system to use the Generic form as the default form for editing an asset. The configuration is set per-asset type. When the generic form is selected, all fields display. 

  5. New option: “Populate only empty fields and overwrite all authors” in the Asset’s “Confirmation message”

    In the Deposit Article title field in the “Confirmation message”, we would like to add the option: “Populate only empty fields and overwrite all authors”.

    In the current situation, if we update authors, we have to check all the fields in an asset and fix them. We want to avoid this.

    We would like an option to overwrite only authors and populate empty fields (if there are any).

  6. Include Archives and Databases in the Publication title field

    We would like to include Archives and Databases into the Asset "Publication title" autocomplete list.
    This will create consistency in the “Publication title” field.

    For example, we are missing "BioArxiv.org" which is an Archive with ISSN: 2692-8205.

  7. Display department in the previous Researcher affiliation

    Hi,
    When a researcher's affiliation is former/previous, only the Institution's affiliation is displayed in the asset, without the department.
    The full affiliation, including the department, should still appear, even if the researcher is no longer in the Institution.

  8. Facet drafts by category or priority

    By adding a facet to drafts it will be possible to filter and order the sub-categories within drafts to organise, prioritise and focus on work items. This could be achieved by applying flags which could be filtered in the facet. Flags could be applied to a set of assets e.g. by Primary Identifier.

  9. External Organizations: track local additions to learn if they have a duplicate on the “Central’ tab

    There is a mapping process that allows 'Mapping Local to Central Organization'. But, to use it, we need to know that a duplicate exists.

    We would like to know of a way to follow what is added to the “Central tab” – more importantly – to learn of external organizations that are now duplicated (as we have them on both the ‘Local’ and ‘Central’ tabs).

  10. Include asset status (provisional or approved) in Author Matching Report

    When using the Author Matching Report to approve individual researchers on records that were imported via smart harvest, we would find it very useful to be able to distinguish the asset status -- that is, to be able to tell if the asset is still provisional or if it is approved. If we approve one author on an asset, and then create an Author Matching Report it is useful context to know that there is a local co-author. It is also helpful to know there is no local co-author for authors that would typically write with other people at our…

  11. Lock asset to prevent simultaneous edits

    We've developed a backlog of deposits to process. When multiple staff are working on processing these deposits it's currently possible for editing conflicts to occur if the same asset is edited simultaneously.

    Could a lock please be added to the asset to prevent such conflicts?

    I suggest using tasks to assign deposits to specific admins. This will prevent multiple admins from starting to work on the same deposit.

  12. Embargo end date calculation should consult the “first Online Publication” date, not only the “published date”

    Currently, If there are, in an asset, both “Published Date” and “First Online Publication” – Esploro calculates the embargo end date based ONLY on “Published Date”. The embargo end date should first consult the “First Online Publication” date.

    We suggest this workflow when calculating the Embargo end date:

    Take “First Online Publication”
    If none -> take “Published Date”
    Any non-standard use cases (which are probably the minority) can be handled by entering an explicit embargo end date.

  13. Add job to bulk import asset metadata and files

    Currently there is actually no mechanism by which a batch of metadata and files for multiple assets can be imported into Esploro. Strongly recommend adding this functionality ASAP.

    There is a POST Asset API and the CSV loader and an XML loader. If there is still functionality that is missing, please list it in a new IE as this one is being closed

  14. Deposit form that exists independent of researcher authentication

    Some departments award honors degrees to undergraduate and one of the requirements is that those students must write a senior honors thesis. Today, the deposit process is generally tied to a researcher profile (or the integration of ProQuest ETD admin for masters and doctoral ETDs).

    I would like to see a deposit form for ETDs that doesn't require the person to have a researcher profile. This would be particularly helpful for our undergraduate ETDs.

  15. Series Title and abbreviated name are Missing from Conference Proceeding

    A conference can be published in a book and the book can be labelled as part of a series.
    There is no series field in the conference proceeding record.
    Note that there is also no field for the abbreviated name of a conference.

    Please use the generic form to edit conference proceedings so that there is access to all of the fields that are needed.

  16. Alma Esploro Interface and Alma Users as Researchers

    In the Alma Esploro interface we would like to not have to edit Researcher roles when a User is also a Researcher. Right now anyone with an Alma login will need to be granted an Observer role in Esploro if they are made Researchers.

  18. Local copyright permissions

    Over the years we've negotiated permissions with some publishers. Our local permissions can differ to information in Sherpa.

    We'd like a way to upload these permissions into Esploro so that we could interrogate it in a similar way to how we can through Sherpa in the form.

  19. Internal or External data in the Researcher record

    It would be very helpful to know via Analtyics which data fields in the Researcher record were managed internal or externally, particularly when an automatic import of new researchers is employed. This will allow library staff to know which data may be in danger of being overwritten and which data will not be automatically updated.

    I am closing this idea since we do not have fields for the researcher entity management available in Analytics at the moment and we do not intend on adding these fields in the near future.

  20. Display All Asset Record IDs in Alma/Esploro Editing Screen

    Include all asset record IDs in Alma/Esploro for easier construction of OAI-PMH GetRecord requests. These currently only work on <identifier>oai:alma.61RMIT_INST:11247527950001341</identifier> and this identifier is not displayed in any asset record. This makes it impossible to complete a GetRecord request.
