  1. Approval notification email - weekly option

It would be good to allow researchers to subscribe to a weekly summary of new assets approved rather than receiving an individual notification for each asset on approval. When adding multiple assets for one researcher, the researcher may feel overwhelmed by the number of separate notification emails. It is possible to turn off approval notifications temporarily, however the librarian would need to remember to manually turn it back on once the assets have been added. Having a single weekly summary notification may be more end-user friendly.

  2. Add student profiles from Alma as Creators or Contributors for Assets

We would like to track presentations, grants, student art exhibits, performances, and other activities that would qualify as artistic or scholarly outputs by students completed as part of their studies. We would like to add students (via their Alma profile) as Creators or Contributors to research assets. However, it doesn't seem like we can do this unless we add students as researchers. We do not want to create researcher profiles for students. Esploro allows tracking of these via ‘Assets’ but students can only be manually added, instead of imported from their Alma user record. This prevents us from running analytics…

  3. Report on generated temporary links

At the moment, you can generate a temporary link for a closed file with an expiry date. However there is no way to report on which files have links generated and what the expires are. This means there is no way to revoke links or update users if the file is changed. It would be good if the generated temporary links and the creation/expiry date could be reported on in Analytics.

  4. Enable movement of internal organisation units in hierarchy

Issue: We have recently undergone a restructure and many of our internal research centres and units have been moved and report to a Faculty. The affiliated researchers need to reflect this on their profiles. Currently a new organisational unit would need to be added however it is the same organisational unit with the same orgid. We cannot move the orgunit and associated assets and need to create a new orgunit under the parent organisation (then move the assets into it) however the orgid cannot be used as this is a unique identifier. This means we will…

  5. Improve search options for DOIs in avanced search (and/or analytics)

We need to identify which assets had reserved DOIs in order to run a bulk job to register them.

It is currently not possible to use advanced search to search for this, or is it possible to obtain this information via analytics.

We need to be able to create a set of assets where DOI is reserved and asset is approved, without having to do export all assets with DOIs, use excel filters to identify those that are reserved, and import those citations back into Esploro to create a set.

We need to identify better within Esploro whether the asset…

  6. Add job to batch suppress asset records

At times we may need to suppress asset records from discovery in our repository. Having a job that will process a set of records and suppress them would be helpful.

  7. Associate ETDs automatically with the relevant author

Currently, When an ETD is loaded to Esploro, its author, the student, is not associated with a researcher.
We ask to add an identifier field in the load file that will allow us to assign a student to an existing researcher.
If the field is blank, no match is attempted.

  8. Smart Harvesting - Sorting of Very Strong, Strong and Uncertain Match lists alphabetically by title.

The alphabetical sorting of titles in the Very Strong, Strong and Uncertain match lists would make viewing and comparing records much quicker. It would increase administrator efficiency and reduce the possibility of errors.

  9. Make more Asset Fields searchable in Esploro

Several important asset fields are missing in the Esploro search function. Some of these fields may be required filters when creating logical sets for ongoing OAI publishing and all of them would be extremely useful for Esploro users in daily operations. It would be great if asset fields in general were made searchable in the system, similar to the way Alma works. Most of the fields are searchable in Analytics but this is not really an alternative to direct searching in Esploro (e.g. when there is a need to create logical sets for the automated OAI publishing.) Please see below…
