Use the “Course Reserves Automatic Statuses” regardless of rollover type when recalculating citation status
Idea based on SalesForce case 00938590
TLDR: Use the “Course Reserves Automatic Statuses” regardless of rollover type when recalculating citation status.
In Leganto, there are two ways of initiating a rollover:
A: Directly in the Leganto interface by staff or instructors
B: Via a Course Loading Integration Profile in Alma
When a rollover is initiated through the Leganto interface, it follows certain rules set in the system (Configuration Menu > Leganto > List Management > Instructor Rollover Operations). If «Citation statuses» is set to “Recalculate”, the rollover process treats all the citations as if they were new and consults the options set in the “Course Reserves Automatic Statuses” table. This can result in a variety of statuses for the citations in the newly rolled over list. This is a key step in the course making process for a lot of institutions.
However, when using the Course Loading Integration Profile to rollover multiple courses at once, choosing “Recalculate” does not result in the same process. The “Course Reserves Automatic Statuses” table is still consulted, but only citation statuses marked as “Complete” are considered, the rest are given “Ready for Processing” regardless of parameter value.
The justification for this seems to be that when an instructor initiates a rollover, he/she would still need to send the list to the library for review as a separate action, which is what normally marks everything that isn’t “Complete” as “Ready for Processing”. This gives the instructor the opportunity to check the citations, update them and treat them as if they were new before sending the list to the library for review. When using the integration profile, the thought process seems to be that this middle step is rendered unnecessary because the library is the one initiating the process, and therefore any citations can go straight to “Ready for Processing”. This is NOT accurate or compliant with our workflow. When we do a rollover using the integration profile, we are still relying on instructors to go through the reading list after the fact before they send it to the library. Any number of changes can still be made after the rollover is done – the resulting list is just a template for the new semester. IT IS NOT considered ready for processing by the library – the instructor is still expected to check that resources are still needed, valid and up to date. This is harder to do when the statuses are binarily applied as either “Complete” or “Ready for Processing”. This also makes it harder for the library to assess the progress of reading lists and to keep accurate statistics.
The goal for this Ideas Exchange is to normalize the behavior between these two modes of rollover, so that “Recalculate” behaves the same way regardless of mode. If a rollover is initiated and “Recalculate” is selected, we want it to accurately consult the “Course Reserves Automatic Statuses” table and apply the statuses chosen here.

Hello! This suggestion was accepted two years ago. Are there any plans to act on this idea soon? We continue to believe that it would significantly enhance the rollover procedure for many institutions. If it is not planned, we are open to hearing counterarguments and engaging in further discussions.

How did I not know this before?? I have had cases open for issues that are probably explained by this, and I don't recall ever having been told about the above in any of those cases.

It would be good to know how many customers have avoided the "recalculate" option in the Course Loader at Rollover for the reason you give here - as to not applying the Course Reserves Automatic Statuses. We found recalculate to be unusable for the reason you give, opting for copy regardless.
