1. exporting records retrieved in ALMA to (for example) the RIS-format for collection development purposes

   Management of larger sets of bibliographic information is required for collection development purposes. Excel downloads are not (yet) compatible with regular reference management software (e.g. EndNote), and lack the options reference management software do offer (filtering, editing, managing, outputting). So exporting to for example the RIS-format of records retrieved in ALMA would make this data management possible.

3. Flag required in Itemised Sets for adding other items at the same holding

   The ability in the Itemised Set facility to add contents from a file to a Set is useful, but we feel it could be made more useful still.

   We require something whereby, having read the contents of a list of item barcodes, Alma will find any other items based at the same holding as a given item on the list and add those to the Itemised Set as well.

   There is a very definite need for this functionality for any Alma user tasked with working through Sets created from lists of item barcodes in order to identify items requiring withdrawal. Typically they may wish to keep one copy of the title in question and withdraw all of the others; it therefore clearly makes greater sense for all copies of that title to be in the list at once, so as to help the user identify how many copies they can safely withdraw.

   The workflow I envisage is essentially:

   1) Alma user opts to create an Itemised Set,

   2) They click on the folder icon for Add Contents From File To Set and select the usual sort of text file full of item barcodes, clicking on Open,

   3) The file name appears in the Add Contents From File To Set window. At the point at which the user clicks on Add Members To Set, a pop-up box appears, asking them whether they want to add all other items at the same holding to the Set (Yes/No).

   The ability in the Itemised Set facility to add contents from a file to a Set is useful, but we feel it could be made more useful still.

4. Reminders for Sets

   The Reminders for Bibliographic Records functionality premiered in the November Alma release is already proving most useful (in such instances as applying reminders to check things like eBook records when their portfolios expire X months or years in the future).

   What would be at least as useful, however, is if this functionality were to be made available for Sets as well, e.g. when a Set reaches a specific number of months or years of age, a reminder can be set up requesting the owner to check whether it's still required and to consider deleting it.

   Effective housekeeping of Sets (and the removal of superannuated Sets) has arguably become a bigger issue ever since the drop-down options for Sets were reduced to just Created By and Name a few months previously.

5. Expandable "Text Box" in Resource Management (cataloging side)

   Allow to adjust or expand the "Text Box" in fields in item record.

   For instance, in Internal Note Fields, Often time staff needs to add further more information into these fields. Though staff can keep adding content in the fields, but the Text Box stays the same. A lot of time, staff needs to move cursor around, in order to see all dataentry for that particular field.

   If the developer can make 'Text Box' expandable at our need, that will save a lot of trouble.

7. Provide MMS IDS of bibliographic records filtered out during publishing

   ​New functionality to filter​ out​ bibliographic records when publishing was introduced with the November 2016 Alma release. When records are published with a filter to remove records which match an indication rule, a count of the filtered records (not published due to filter) is reported. However there is no list of record keys for the records which were removed by the filter. Case 00359617 was filed with ExLibris and consequently closed as it was determined this would be adding functionality so would be an enhancement request. This request is to add functionality to the completed publishing job report which would link to the MMS IDs which were filtered out of the publishing job when a filter is used on a publishing profile. The enhancement is required to verify that the correct records were removed from the publishing job without having to do mulitple MMS ID extracts to compare the initial set and the published set to evaluate the records removed by the filter

9. Add Editions link-type facility to All Titles Persistent Search results

   When searching for a specific barcode using All Titles Persistent Search and the search result appears on screen, would it be possible for there to be a link next to the Edition statement (i.e. the 250 field contents) which links to the results for all editions of the title in question?

   In addition, would it be possible for that link to the results for all editions to appear in the search results when Physical Items Persistent Search is used instead, even though there is of course no Edition statement shown in such instances?

   There are many instances during the course of a working day in which our Capacity Management staff will need to work with a specific item (relocating, withdrawing or putting a note on it) within the context of it being one (of possibly more than one) item for the given edition. They don’t always need to know in the first instance whether there are other editions of that title also maintained by us, but may need to do so as a result of the work they perform with that initial item.

   Having a link present in perpetuity seems more convenient than having to reprise the original persistent search.

   When searching for a specific barcode using All Titles Persistent Search and the search result appears on screen, would it be possible for there to be a link next to the Edition statement (i.e. the 250 field contents) which links to the results for all editions of the title in question?

10. Display the "material type" text box in the "Receive new items" page

    When we receive an item: Acquisitions > Receiving and invoicing > Receive > find the title > Manage items (to review the other items first) > Receive new items, the page shows the entry boxes for enumerations, but the material type entry box is missing. One has to finish data entry for that page, bounced out to the item list, and then click Edit inventory to GO BACK to the Receive New Item page to add the material type. It would be great if this Material type is also displayed in the Receive page in the first place.

11. Translate Titles to Items set job

    We'd like the ability to truly 'itemize' a set of All Titles / Physical Titles i.e. translate a set of titles uploaded from MMS IDs into a set on which we could run the Change Physical Items job. Many times we want to add an Internal note at the item level to a set, but we can't to sets that have been uploaded as Titles (except to add a local 9**, report on it the next day in analytics, export that report, excise the barcodes, and re-upload a set at the Item level - ridiculous!).
    A smoother flexibility between Title and Item generally would be most welcome.

12. Change Repository Search "Contains" to drop-down to enable searching "Contains Phrase", "Starts With", and "Equals"

    In the repository search simple search, the only search operator you can use when searching available indexes is contains (e.g., FIND all titles WHERE title CONTAINS ____.

    We would like to request that the CONTAINS operator be turned into an advanced-style dropdown menu to enable searches like this:

    FIND all titles WHERE title CONTAINS PHRASE ____
    FIND all titles WHERE title STARTS WITH ____
    FIND all titles WHERE title EQUALS _____

    In many cases, an advanced search is not required, it is simply the contains operator that needs to be modified, and performing an advanced search just to modify the contains operator is cumbersome.

13. More than one work order type per Word Order Department

    In our library, one physical location in the library handles many processes. However, we still want patrons to see a different status for each kind of work order. Right now, only one work order type (the source of the Primo Statuse) can be associated with any given work order department (the currently at location.) So, in order for our patrons to be able to tell the difference between an item at the bindery and an item being repaired in house (with their corresponding turn around time) our staff has to switch currently at locations when they switch tasks. Can you make it so that multiple work order types can be handled by a single work order department, even if this department is not the circulation desk?

14. Add fields for Title of unit and other descriptors to the Item Record OR add radial buttons to Item record and description templates

    Currently, there is no good way to use the “Generate” button in the item record to create descriptions for supplements and indexes. In the interest of consistency, we intentionally do NOT enter the descriptions manually, which greatly improves searching and sorting of serials.
    While it is possible to have supplements and indexes list separately by creating separate records and adding the $o (unit title) to field 864 (supplements) or 865 (indexes), the holdings list does not display the unit title, so there is no visual difference between the two holdings. An 863 holding for “Aperture” and an 864 holding for “The Photobook Review” would appear identical in the list of holdings. This would also list the supplements separately from the issue to which they are a supplement in both Alma and Primo, which is undesirable. Furthermore, all holdings still draw upon the same description template table for generation of the description, which is the most useful field for distinguishing serial issues in Alma and Primo.
    At present, there is no equivalent to MARC holdings 863-865 subfield $o in the item record. (Nor is there a field for subfields n, p, or q, but I personally haven’t had a need for them as yet). In order to get the supplement title to display, it must be improperly entered into one of the enumeration fields. However, those are fields legitimately in use with other data, so any description templates must take into account both legitimate and “work around” uses for the field(s). It is virtually impossible to account for all possible values which could be used in an enumeration field, since volume numbers and issue numbers can continue indefinitely and supplement titles may differ with each issuance. Likewise, use of the generic title “supplement” is less than helpful where multiple supplements are issued (i.e. The New York Times)
    For example, right now I cannot set up a description template to simply display the text as input in $b, since most serial issues need to have that field prefixed with “no.” and I want that constant as part of the generated description coded in the template. If I just put the supplement title in $b and use the template as it works best for most issues, I get a display like “v.103:no.Book Review(Aug. 8 2016)”
    
    Adding a unit title field to the item record and including it in the generated description seems as though it would be the most efficient solution to this problem, at least from the perspective of the person receiving the issues. Supplement titles, index notation, etc., could then be placed in this field and its display could be defined in description templates without having to account for the field’s use as a volume or issue number. Using this approach would also, in theory, enable reporting, searching, and sorting supplements and indexes both with the basic units (by using the description field) or separate from them (by using the separate fields that make up the description).
    An alternate solution could be to add radial buttons to the item record indicating whether they a basic unit, a supplement, or an index and then add corresponding radial buttons to the description templates to indicate if it is applicable to one, some, or all of those issue types. In this way, I could have two templates utilizing exactly the same combination of enumeration and chronology fields, but define one to add the “no.” prefix and one to skip it. This, however, seems like a poor form, since the enumeration fields, by their very name, are designed to hold numeric data, not text. This also limits ability to report and sort supplements and indexes separately from the basic unit, since there is no distinct subfield.

15. Hyper link POL in the holdings list

    In the list of holdings of a BIB record, the PO Line is indicated, but it is not linked. It would be practical to have a hyperlink to get to the POL directly. The linking under "more actions" is not always very useful, because you get a list of all POL - if you have many POL for a journal, you need to remember the POL of the holding you're interested in. A hyperlink would make work easier.

16. Export URL with FTP

    You can export the URL of Portfolios via Alma Admin -> Resource Management -> REsource configuration -> Configuration Menu -> Record Export -> Export URL
    But you can not do this in a sort of batch job to feed your proxy with this URL automaticly (Case 223210)

17. Brief result display options per Alma login

    Enable Alma users to choose "brief display" options (either very brief or extended information). Many of our Alma users would like to be able to do a search in Alma (in both repository search and course reading lists) and ONLY see a list of titles (e.g., do not display Format, Subject, ISBN, Availability). However, recognize that many Alma users would like to see extended display, so we would like each Alma user to be able to set their display preferences (e.g., brief, title only OR additional information). Ideally, users could choose exactly what data elements to display (e.g., OCLC number, ISBN, etc.).

    This idea has not received sufficient support from the community through votes. As a result, it is being closed to allow those votes to be reallocated to other active proposals. We appreciate the contribution and encourage continued participation in shaping future initiatives.

18. Add indicators to IZ/NZ/CZ tabs in Repository Search results to show presence of bib records and local holdings

    It would save time in cataloging, acquisitions, ILL, and reference if the IZ/NZ/CZ tabs included some sort of indication that there are bib records matching the search and, where applicable, local holdings attached to those records.

    My thought is a simple count added after the tab title -- local holdings / bibs.

    Additionally it would be helpful to shade or highlight the active tab, making it very quick to recognize in which zone you are working.

    Finally, on NZ and CZ results lists, it would be helpful 1) highlight the local holdings so that they stand out more obviously in a list sorted by rank, title, etc., and 2) to offer the option to sort bibs with local holdings at the top.

    With these changes in place, staff would not need to click through all three tabs to check for bibs and holdings which may or may not exist. If the tab shows 0, you can skip it. Likewise, if the total NZ + CZ holdings do not equal the IZ holdings, the cataloger know that there are either IZ bibs that have not been shared to the NZ (IZ count higher) or holdings that are actually managed at the NZ level and not appearing in the IZ (NZ+CZ count higher).

    I have attached a file with actual and edited screen shots to demonstrate this concept.

Perhaps search options for advance searching in the NZ should not allow physical titles as a search option. Example: condition title= Wyoming, and condition material type= Map in the NZ results in nothing, but there are over 2k hits if searching All titles instead of Physical titles, some of which are tangible.

20. Make Brief Levels more visible

    Now that we have defined our local Brief Levels for Alma bib records, it would be very helpful if we could view the Brief Levels more readily. For example, it would be helpful to include the Brief Level as a column in spreadsheets of exported search results. And it would be very helpful to see the Brief Levels in the Receiving work bench to help with initial sorting of incoming material and identifying items most appropriate for rapid cataloging at the point of receipt.
