1. Remove confirmation window when adding titles using Collection Resource Editor

   When adding titles to online Collections via Collection Resource Editor, every new title added requires user to "confirm" on a pop-up window. This is cumbersome and the consequences of mistakenly adding a title are minor (easily fixable). It is an extra page that very much slows down the process when adding multiple books and the negative reprocussions of removing it would be negligible.

2. Separate AutoHoldings collection for Taylor & Francis eBooks

   I would like to propose the creation of a separate AutoHoldings collection specifically for Taylor & Francis eBooks. At present, the AutoHoldings job is being managed within the "Taylor & Francis eBooks Complete Collection" (Community Zone Electronic Collection ID: 611000000000000660).

   The absence of a distinct AutoHoldings collection for Taylor & Francis eBooks presents challenges in terms of effectively managing and tracking our holdings. A dedicated collection would greatly enhance our ability to maintain accurate records and streamline workflows.

   We've noticed that other publishers, such as SpringerLink and Wiley Online Library, have separate AutoHoldings collections, including:

   SpringerLink Books - AutoHoldings
   Wiley Online Library - AutoHoldings Books
   It seems logical to follow the same model for Taylor & Francis eBooks, as it would bring consistency and improved management capabilities.

   Hello,

   For newer integrations, we will create new autoholdings dedicated collections.

   However, this integration has already been deployed long ago, so any change will cause issues to customers who use it.

   Therefore, after consulting Alma ERM, we will not be making this change.

3. Allow appending function to update portfolio Internal description field

   Currently, there is no append option in the Information Update - Change Electronic portfolio information job. Hence, contents of portfolio Internal Description would be overwritten and extra work needed to lookup existing notes in the Internal Description field. If there is the append option, it will be easier to add new notes to the Internal Description without affecting already existed contents.

4. Add public note for link in record collections

   Give customers the ability to add a public note to link in record collections that displays to the user whenever links from the collection are displayed in Primo.

   Our use case for this is enhancement would be Unpaywall for CDI (Collection ID 61738162240004646). This is database collection with no portfolios that displays a link in record for open access content available from Unpaywall. The problem is the open access version of a publication can sometimes differ from the final published version. However, there is no way to communicate this to the user. Ideally, it would be great if Ex Libris could capture version information from Unpaywall and display this data along along with the access URL. At minimum, however, customers should have the option to add a public access note to the collection that displays with the link in record to let users know that the linked version may be different from the one described in the record.

5. R2Digital PDA: Implement automatic upload of electronic holdings

   Implement automatic upload of electronic holdings for R2Digital PDA titles. Currently staff receive monthly reports that require manual adjustment to the collections for both new and archived titles.

6. Delete bibliographic records - Limit Match of Bibliographic Records to a Specific Electronic Collection

   In scenarios where a vendor has provided ISBNs of titles they have removed from an e-book package but it is likely that the same titles are included in other e-book packages, it would be good to be able to limit the deletion to a specific electronic collection. This feature would have to recognise to only delete bibliographic records matching a specific collection where the records do not have active portfolios belonging to other electronic collections. Use case: ability to batch delete locally held e-book records from vendor A only if they are NOT also part of vendor B’s e-book package.

   The “Select an Electronic Collection to match against” would be the same field as newly added to Repository import in Feb 2024.

7. Add support for importing .mrk files

   At the moment Alma only supports importation of resources as .mrc files. These files are trickier to work with than .mrk and add a lot of unnecessary time to our import workflows (converting back and forth, "saving as" frequently, losing changes - especially for large imports).

8. Sorting electronic collections by "Public name (override)"

   When searching for electronic collections, results lists can currently only be sorted by collection name or by rank. It would be very useful if the list could also be sorted by "Public name (override)".

   Currently, for each entry in the result list, the name from the field "Public name (override)" is displayed first, followed by the collection name - which equals the public name - in parentheses. However, the alphabetical order is determined by the public name. This results in a collection list sorted by the names which are in second place and in parantheses. This is rather confusing and makes finding collections difficult. The option to sort by "public name (override)" would be of great use.

9. Configure our default option to “Keep local descriptive metadata” when linking local portfolios to CZ at the Institution level

   Currently, the default option is set to "Use descriptive metadata from the community," and our staff need to manually select the option "Keep local descriptive metadata" every time a portfolio is linked to CZ. Relying on manual updates introduces human error, and fixing these errors requires considerable effort and staff time. Therefore, we propose the inclusion of a user-configurable option that will allow institutions to set their preferred source of descriptive metadata as the default (either CZ or local) when linking portfolios in Alma. This will allow institutions greater control over their processes and will minimize the burden on ExLibris support when human errors occur.

   Attached is a screen capture of step 3 in the portfolio linking process where we would like to see the new feature implemented. Ideally, we would like to keep local descriptive metadata as the default setting across all types of portfolios that are linked to the Community Zone (standalone or part of a collection).

   While using descriptive metadata from the community can be advantageous for some institutions, our library’s policy is to keep local descriptive metadata, so the implementation of this feature would greatly support our library’s processes as well as other institutions who rely on local IZ bibliographic records.

10. group settings

    NZ Group Settings listing: When updating Group Settings in the NZ, once I save a change to a library's group settings, it jumps to a new position. It makes it confusing when you are updating multiple libraries and they jump around so you don't know which ones are completed and which still need updating. I've missing updating libraries because the settings move around.

11. Add manual Cost to Portfolios

    Add the ability to assign a cost to a portfolio manually in the case that cost should not be equally distributed for the portfolios in a collection and/or items that were purchased prior to Alma implementation. This cost would need to be used in Cost per use analytics calculations if there isn't a PO Cost for the portfolio

12. Set "available from date" and "available until date" in import profiles

    It is currently possible to set "available from date" and "available until date" in electronic portfolios either manually or with a job. But it would be useful to set these dates in import profiles too.

    One use case is a collection of Swank streaming video titles. The library wants to load MARC records because the CZ records are too brief. Here are the steps the library must take:
    1. Run the import profile to load the records and create electronic portfolios.
    2. Create a set of the newly created electronic portfolios.
    3. Run the "Change Electronic portfolio information" job on the set of electronic portfolios to add a designated "available from date" and "available until date."

    This would be a more efficient workflow:
    1. Run the import profile to load the records and create electronic portfolios.
    2. The import profile applies a designated "available from date" and "available until date" to each newly created portfolio.

13. Mechanism to find instances when Synchronize from CZ has failed

    When you've activated a CZ collection, updates to the collection/portfolios should be pushed to your IZ/NZ by the Synchronize from CZ job, but it's a known issue that sometimes this doesn't happen. The workaround is to delete and re-activate the collection, but this relies on an end user finding and reporting the error. Until this systemic issue is resolved, it would be good if Alma would report on instances where the job has failed so the library could proactively find and fix collection/portfolio-level issues before end users discover them.

14. Provide option to exclude open access titles when activating community zone collections

    We have a number of auto-activate Community Zone collections for licensed content which also contain open access titles. We would like an option to exclude the open access titles. This would enable more accurate cost per use analysis and reduce duplication in our catalogue.

    eg. we've noticed duplication in Springer collections because we have licensed subject collections activated but also the Springer Open Access Ebook CZ collection (having this collection active means all open access titles are available for our community, not just those for the subjects we have purchased in any given year)

15. An import profile should be able to delete IZ copy of NZ-linked electronic records

    For libraries that belong to a consortium, currently, the import profile to delete both electronic bibliographic and inventory records only marks the NZ-linked records for deletion. It does not delete the IZ copy of the NZ-linked records, even when the Allow bibliographic record deletion and the delete/deactivate portfolio options are selected.

    To improve Alma for libraries with NZ-linked records, Alma's import deletion process should unlink the record from the NZ and then delete the resulting IZ copy. That would be consistent with the current behavior of existing deletion jobs like the "Delete Bibliographic Records" job.

16. Allow coverage comparison from uploaded files in Collection overlap analysis

    When we upload a collection title list with coverage for collection overlap analysis, Alma doesn’t compare coverage. For comparing journals, this is fatal. A title match with no coverage overlap means nothing. We understand that the coverage column in the vendor’s file can be messy and non-standard. We would rather standardize and format the coverage in the EXCEL file and let Alma do the coverage comparison, than to eyeball the coverage of 15,000 titles or more.

    Tell us the correct format to indicate coverage, and let us extract the values for the beginning year, ending year and embargo columns, so Alma can compare the coverage for journals as well.

17. Adding collection URL to Alma publishing

    When a bibliographic record that describes an aggregator package is published, the URL from the collection level is not included. No portfolios are attached to such records. We would like to be able to export access details from a collection in a publishing job.

18. Ability to relink multiple portfolios to another bib instead of one at a time

    I'd like to have the option to relink multiple portfolios from one bib record to another instead of one at a time. This happens when I want to use a different bib record than the one in the CZ.

19. Make "Available To Date" actions customizable so portfolio can be automatically deleted after "Available To Date"

    The "Control the Availability of Portfolios Automatically at a Pre-defined Date" feature, introduced in the February 2023 release (https://knowledge.exlibrisgroup.com/Alma/Release_Notes/2023/Alma_2023_Release_Notes?mon=202302BASE), allows libraries to enter an Available From Date and Available To Date in portfolios, and the portfolio will be automatically deactivated after the Available To Date. This feature is designed to be useful in cases where libraries lease a piece of content (typically, a streaming film) for a limited period of time.

    However, after a portfolio has reached its "Available To Date," we don't just want to deactivate it; we want to delete it entirely from Alma (and its MARC record, if no other inventory is attached). The existing new process only deactivates the portfolio, so we still will have to run our existing manual process for identifying portfolios that have reached the end of their lease and deleting them. In this idea, we suggest that there should be a global setting in Alma where each customer could determine what action should be taken after the Available To Date is reached. Some might choose to deactivate, while others might choose to delete.

20. Display service temporarily unavailable message, add time option

    Is it possible to add the time when the collection will be unavailable? For example, we received notice that the ASTM would be unavailable February 23rd, 7:00 p.m. to February 24th, 2:00 a.m. If I set up the Display Service Temp unavailable message for the 23rd and 24th, the collection would be made unavailable when we still have access. Adding a time option to the date would be helpful.
