2. Improve "Number of requests for same resource" mediation rule

   Rapido mediation rules currently provide institutions a parameter that allows them to mediate the number of requests for the same resource within a given time period. Two comma-separated values are required: the number of requests and the number of months.

   The problem with this is that there is no "greater than" functionality for the first parameter. Setting the first value to 2, for example, will cause only the second request for the same item to trigger the rule. Requests 3, 4, 5, and so on will not be mediated.

   Ex Libris believes this parameter to have an "acquisitions" purpose. There's a built-in assumption that a library will purchase a resource once the mediation rule has been triggered. Libraries don't have unlimited funds to purchase every requested resource; however, and ExL's suggestion to set additional rules for the third fourth, fifth, etc. requests simply isn't feasible.

   I suggest that the components of this parameter be broken apart, with separate parameters for number of requests and number of months. In addition, a greater than operator should be added to the number of requests, so that mediation can occur without setting up multiple rules.

   We would like to be able to mediate requests based on the presence or absence of certain fields, such as the page numbers. For instance:

The lending library will either send back a bad citation or pass it on without filling it, delaying the request and wasting potentially multiple lenders' time. We'd rather fix the error ourselves, before sending it to anyone else.

   Similarly, we'd like to hold back any physical requests with chapter information in them so we can ask the patrons what they're actually looking for - a physical book or a scan of a chapter.

5. Add additional Rapido indicator option of ‘Yes – manually assigned’

   It is not easy to report on borrowing requests supplied by Rapido partners. We initially thought that Rapido indicator could be used but Ex Libris clarified that Rapido indicator = yes means that a request has been sent automatically to a Rapido partner. If a Rapido partner has been added manually, the Rapido indicator changes to no (the borrowing requests Analytics knowledge centre page has since been updated to clarify this).

   Although it is useful to know how many requests were sent automatically i.e. without staff intervention, we want to report accurately on requests supplied by Rapido libraries to justify the subscription cost and any future renewal of the product.

   We use Partner System Type = Automatically generated but, when a library we do ISO requesting with moves to Rapido, their partner system type changes from Alma to Automatically generated. This means all historic requests now show as Rapido requests i.e. before they subscribed to Rapido. I now have to use borrowing creation date in my case statement to split their requests between ISO and Rapido, based on their go-live date. This isn’t sustainable as and when more partners move to Rapido.

   It has been suggested on the Ex Libris Rapido mailing list that there should be three Rapido indicator options: Yes – automatically assigned; Yes, manually assigned; and No. If this could be implemented and only show as a yes option from the point a library subscribes to Rapido, reporting would be easy, and out of the box reports could be created.

   It is not easy to report on borrowing requests supplied by Rapido partners. 6. OCR all incoming files in Rapido

   All libraries are committed to the accessibility of resources for their patrons; however, not all libraries have the infrastructure to do OCR or they can only do OCR for a very limited number of languages. With Rapido sitting on the Ex Libris Higher Ed platform, there seems to be a great opportunity to ensure all incoming and outgoing documents are OCRd for resource sharing using the same service leveraged for Alma Digital. This would allow Rapido libraries to ensure everything they send meets minimum OCR requirements, but it would also solve the problem for our patrons to ensure all incoming documents meet accessibility needs.

8. Borrowing mediation rule to consider Item Policy/TOUs

   Rapido currently considers a title available for request if it is part of a configured participating set.

   When a borrowing mediation rule is configured with parameter ownership + availability, borrowing requests are intercepted if the IZ owns the title and that its related item is available. The problem is that requests are intercepted even when items do not have a loanable policy in the IZ in question (e.g. on-site use only). Indeed, the availability parameter of the rule considers "item in place", and not the presence of an item in any of the Rapido participating sets.

   We would like the borrowing mediation rules to have a new parameter in which we could exclude item policies. This would prevent Rapido requests to be intercepted in such cases, hence allowing them to be automatically forwarded to a proper lending library.

9. Temporary location gets deleted after a Rapido process

   If an item is in a temporary location before a Rapido loan, at the moment of the return, the previous temporary location gets not restored but the item is put back to the standard location.
   We would like that when returning an item under a Rapido loan, the previous temporary location is set back, instead of the standard one.

10. Make presence or absence of Blank ILL form configurable

    Currently, the Blank ILL form can only be toggled on or off. Please make the presence or absence of the Blank ILL form configurable. This requires two things. 1) Incorporate Blank ILL form into Display Logic Rules. For example, libraries would like to be able to hide this form from certain user groups. 2) Much like the Rapido tiles, allow us to show or hide the physical or digital aspects of the Blank ILL form. For example, during campus closures, we would like to be able to suspend all physical requesting via the Blank ILL form, but continue to allow digital requests.

12. Notifications for RapidILL communication failures

    It should be immediately clear if a Rapid request is not updated - not just in an “update failed” note on the request itself, which the Rapido user is no longer looking at by the time the Rapid communication error occurs. One way this could be achieved is by allowing Rapido users to opt into popup notifications that display and have to be closed whenever there's a communication issue with Rapid. We are potentially open to other approaches for addressing this issue as well as long as they provide an obvious notification every time a Rapid communication issue occurs.

    Sometimes libraries need to communicate things to each other that aren’t citation issues. For instance, if a library has an HTML version of an article instead of a PDF with page numbers or a different edition of a book than the one listed in the request, that library might want to ask the borrower if that’s an okay version for the patron. Right now the only way to communicate between libraries is through Bad Citation, and that doesn’t allow libraries to respond to such queries. Adding a “Conditional” status that allows libraries to ask and answer questions that aren’t citation problems would help patrons get the items they need instead of requiring libraries to guess at whether what they have is sufficient.

    Additionally, it may be of interest to know that the functionality to contact RapidILL partners from a request, via email, is planned. 

14. Record all request metadata changes in History tab

    When we change a field in a request, that change should always be tracked in the History tab. For example, we occasionally have to change one of the standard identifiers (OCLC, ISBN, ISSN) in a request in order to match it to potential lenders. Saving that information in the History tab would allow us to check a) what the original requestor provided and b) what we’ve already tried using.

15. Add geographical location of libraries to Analytics Reports

    We are talking more and more about international lending, but it’s not possible to create an Alma Analytics report using partners’ geographic locations. (RapidILL, for example, includes the partner library’s state in their statistical reports). It would be useful to know how much material is supplied by international partners, and how much we lend internationally.

16. Add search by lender

    Sometimes we want to view all requests that have been sent to a particular lender. Examples of times we’d like to do this are if we’re troubleshooting something, or if the request is in a language with non-Roman characters and it’s easier to search by lender than it is to search by title. While it’s possible to narrow down requests by lender using the facet, we have many lenders and the way their names are listed is not always standard (i.e. University of California - Berkeley vs. The University of Hong Kong). It would be much easier to just search by the lender’s name to be able to pull up requests sent to that lender.

    The 2024 May release adds the functionality to search partner names within the facets. 

17. Make requests in status “expired” act like any other request with the same list of actions

    Requests that have ended up with the status and “expired” end up in the “closed” sets, but we still need to work with them. We don’t want the request to be cancelled and the patron to be notified automatically because there still might be something we can do with them. We might find an additional email partner to send one of these requests to that the system doesn’t know about, we might find a better ISBN or OCLC number to send it out on, or we might find that the request is the wrong type and we need to change the request so it can be filled. All of these actions are unavailable when a request has the status “expired” because we can’t do anything with the actual request but view it; to work with it, we’d have to duplicate it and then we would lose all the request’s history because there is no way to reactivate it. “Expired” requests should work like any other requests and not be closed by the system.

19. Don't require a pickup location for digital (article and book chapter scan) requests

    If the Resource Sharing Request Type is Digital (article or book chapter), and the request will be delivered digitally, the request form should not require a pickup location. This is confusing to users and meaningless for the workflow.

    For many single-campus/single-library institutions, this is not a problem, because a default library can be selected.

    For institutions with multiple libraries, where users are not assigned a default library in the patron record, this is an embarrassing and clunky problem.

20. Rapido to parse all volume formats for multivolume works

    Currently, when requesting volumes of multivolume works, the Rapido tile can only parse the following volume formats from the item description:
     
    "3" (digits only)
    "v.3" (no space)
    "v. 3" (with space)
     
    This affects the Refine Offer function: if the patron inputs a string that Rapido cannot parse (for example, "XII", "Jan", "Bd. 3" as written in the item description), it disregards that volume information. This usually gives a positive result (terms are displayed disregarding the volume's availability), places the request on title level (whole multivolume work) without linking the wanted volume (item) to the Rapido request. In such cases, the availability displayed by the Rapido offer is not entirely reliable, as the system does not identify the correct volume (item) but placed the request on the whole title (whole multivolume).
     
    For example, if the volumes' sequence is "Bd. 1", "Bd. 2", etc. - entering only "1" works. But entering the string "Bd. 1" does not, and ends up in placing a request on the whole title (Rapido cannot parse the "Bd." string).
    Another example is for Multivolume works that do not have a digital sequence, but only with letters (A, B, C...), or even text ("Textbook"...). Rapido cannot parse these information so the request will always be placed on the whole title, disregarding the availability of the volumes.
    In such case, the patron can even send the request entering a volume that does not exist if the string contains an unrecognised format.
     
    We would like Rapido to consider other formats. For example with an "intuitive" parsing (e.g. as much "Bd. 3" as "Textbook", or "Vol. 3", "Volume 3", "A", Roman Numerals “I” etc.), or by displaying a dropdown menu with options based on what is filled in the items’ description.

    Currently, when requesting volumes of multivolume works, the Rapido tile can only parse the following volume formats from the item description:
     
    "3" (digits only)
    "v.3" (no space)
    "v. 3" (with space)
     
    This affects the Refine Offer function: if the patron inputs a string that Rapido cannot parse (for example, "XII", "Jan", "Bd. 3" as written in the item description), it disregards that volume information. This usually gives a positive result (terms are displayed disregarding the volume's availability), places the request on title level (whole multivolume work) without linking the wanted volume (item) to the Rapido request.
