portfolio deactivation date
Currently, when you create a local electronic collection, you have the ability to set "active from" and "active until" dates at the collection level. We have electronic collections where we purchase 1 year of access for select titles (collections such as Kanopy). It would be great if we could set deactivation dates at the portfolio level. With a deactivation date, once the year of access is complete, we wouldn't have to remember to deactivate the individual portfolios.
260 votesHello all,
The ability to Control the Availability of Portfolios Automatically at a Pre-defined Date was added on February 2023 release. For more information please see the February 2023 release notes https://knowledge.exlibrisgroup.com/Alma/Release_Notes/2023/Alma_2023_Release_Notes?mon=202302BASE.

temporarily unavailable
For electronic collections - under the Activation tab for Service temporarily unavailable:
Instead of selecting a date to turn the notice on, allow staff to select the date on which the notice will automatically expire, and then on that date, have Alma automatically set the temporarily unavailable button to off and blank out the reason/text box. Also, consider making that text appear in red.
Logistically, it makes more sense for the notice to automatically disappear, since there is no mechanism in Alma to remind the staff member that such a notice has been added to an electronic collection. So setting…

Add electronic avaibility facet for portfolios
Hi,
In the repository search, there is a facet "Avaibility (Electronic Collection)" when looking for an Electronic Collection (please see attachment).
Would it be possible to extend this facet to electronic portfolio ? In institution zone but also in the community zone (currently this facet is not even prensent for the electronic collection in the community zone). It would save us a lot of time for electronic ressources management.
Thanks for your support.

configure automatically library in portfolios accordingly to library set up at electronic collection level
At the moment, the Library input in an electronic collection is not pushed in the field Library in the relative portfolios.
We want the Library in portfolios the same as Library in electronic collection... automatically, without using the job Change electronic portfolio information > Set owner.97 votesLibrary set on the level of the collection is now inherited to the Portfolio level with no need to explicitly indicate so on every portfolios
This functionality is NOT enabled by default, for more information please see ‘Limiting Actions Related to Portfolios and E-collections According to User Role’s Scope’

CZ Updates Task List-add "Report to ExLibris" functionality to actions button
From the CZ Updates Task List, add a Report to ExLIbris button to the Actions menu. It is inconvenient to test an update, exit the Task List, search for the portfolio in Repository, and then Report to ExLibris. Why not make the Report to ExLibris function available where you need it, in the Task List?
9 votesThe Community Zone was enhanced to enable faster and more efficient access to the data included in it. This includes new access points, information fields, actions, report types as well as more filters and sorting abilities.

CZ Updates Task List – add «Test access» to Actions button
Please add Test access to the Actions button in the CZ Updates Task List. This is probably only useful for the reports concerning portfolios.
Background: When working with the CZ Updates Task List I often access the resource by using Test access, e.g. to check whether the updated link is working properly or to check our coverage. In quite some cases, it is not necessary to edit the portfolio. Just checking is sufficient. A test access option from the Actions button would reduce the number of clicks in those cases.

Make it possible to add new individual titles/portfolios to a contributed collection (for which one has the ownership)
Current functionality for contributing an electronic collection to the CZ is a one-time action. Missing here is the functionality that the owner of this contributed collections can update it, i.e. adding new individual titles/portfolios.

CZ Update Task List - add 'Portfolio deleted from auto-active package (electronic collection)' to review tab
Please add the report type 'Portfolio deleted from auto-active package (electronic collection)' to Review Tab, and not only to All Tab.
Whenever a portfolio is deleted, we need to take manual action, regardless whether this portfolio is part on an auto-active collection or not.28 votesThe Community Zone was enhanced to enable faster and more efficient access to the data included in it. Add a public note field in interface record
From time to time, a vendor interface goes down temporarily. While we follow the access issue up with the vendor, we add a public note for our students and staff indicating that the interface is temporarily down. The issue is that often we have many electronic collections with the same interface, and therefore must add a public note to each and every electronic collection that uses the affected interface, and then remove all of the notes once access is restored.
Since all of these electronic collections link back to a single interface, it would be great if there were a…

Sort Portfolios by title / make portfolios searchable
We would like the ability to sort portfolios by title within an electronic collection display in Alma. Right now, when you click on portfolio list within an electronic collection, there seems to be no discernible order; you also cannot search for titles within a portfolio list. We would like to make it easier to locate a particular portfolio within a collection particularly for selective packages.

Repository import profiles for electronic titles - limit matching to specific electronic collection
To avoid accidentally overwriting the wrong records when importing batches of MARC records for electronic collections, it would be really helpful if the matching of incoming records against existing records in the repository could be limited to ONLY titles with portfolios in a selected electronic collection. As the Alma CZ bibliographic records for ebooks are often of poorer quality than the records provided by vendors to collection subscribers, we prefer to import the vendor records and de-link from the CZ record, but the matching on import can't be limited to just the records in the collection, and we often accidentally…

test access of portfolio in CZ before activation
There should be a way to test access on a CZ portfolio without having to activate it in IZ first.
Currently, when looking for a portfolio to activate in the CZ, there is no way to test access or view the parse parameters until after the portfolio is activated. If it is not the correct portfolio, you then have to open the collection, go to portfolios, search for the title and then delete it. It would be easier if the link could be tested in the CZ before activation. (seems like this was an option in SFX?)64 votesIn order to assist with the decision of activating Community Zone portfolios, you can now view portfolio linking information from search results in the Community Zone tab. Previously in order to view the linking information of a Community Zone portfolio, you had to activate the portfolio.

Ability to log 2 sets of dates on electronic portfolios - Perpetual and Current Access
Most publisher packages only allow perpetual access for subscribed years, post-cancellation, but they give you access to a much larger set of dates during your active subscription. For example, many of our Wiley titles have access back to 1997, but our perpetual access does not begin until 2003. If we could select both perpetual and current access for a title, and have the ability to log both sets of dates, that would be very helpful. Ideally, we would like to use this to do a broad overlap analysis between our print and perpetual electronic holdings.
112 votesIdea was implemented as part of August release.
When a resource has both current and perpetual access, there is now an available access type combination option (Current and perpetual) for electronic collections and portfolios. This option is available in the Electronic Collection Editor and the Electronic Portfolio Editor, and supported by the portfolio loader and Excel exports using the extended export option. -
Indicators for e-collection status when viewing portfolios/titles in CZ
Workflow would be greatly improved with an indicator for the activation status of e-collection when viewing the list of portfolios for a title in the CZ. This would be similar to the green dot display currently in SFX. Currently in the Alma CZ one is unable to detect if an e-collection is being used or not when looking at portfolios/titles. This would prevent an inactive e-collection being turned on by mistake.
112 votesAs part of Alma June release: Icon indicators that show the status of electronic collections (activated/not activated, available/not available) were added to the Community and Network tabs in the Electronic portfolios and Electronic titles search results.
