Streamline Rialto related workflows for purchase request initiated order approvals, by Selector assignment redesign
When initiating a Rialto Market Order via a Purchase Request, there is an unexpected assignment of the order to the Selector after Sending for Approval.
This causes an additional unnecessary step navigating through a popup for our staff who are Approving the order, requiring them to change assignment from the Selector to the Approver, before they can Confirm approval.
This additional step only occurs when the starting point is a Purchase Request and does not happen when the starting point is the Market.
The expected workflow for the Selector:
Acquisitions > Purchase Requests > Manage Purchase Requests > Unassigned > on a Purchase Request, Search in Market > View all Offers > Add to Cart > select from Shopping Cart > Send Selected to Approval > fill out any mandatory details > Send to Approval
The expected workflow for the Approver:
Market > Orders > Orders Awaiting Approval > Approve > Confirm
Unexpected workflow for the Approver:
Market > Orders > Orders Awaiting Approval > Approve > Popup: The order is already assigned to another user, this action will assign it to you and apply your changes > Ok > Confirm
While this may not seem significant initially, our staff perform this workflow many times a day. Every click counts, this is a constant annoyance, and it is completely illogical given a Rialto Selector cannot even approve orders so there is no sense to the assignment.
The response to submitting a case for this as a presumed defect is that this is actually considered by Ex Libris to be an enhancement request: “Product Management and Development discussed this and determined that the reassign behaviour is as designed. The ownership of the order is inherited from the Selector taking action and owning it from the Manage Purchase Requests page. They advise that we can see about ignoring this step in Rialto in the future, but not at this time.” “This behaviour is a system requirement since Rialto utilises the Alma purchase request infrastructure. When using the 'Search in Market' button, the order assignment is inherited from the purchase request. Assignment needs to be transferred to the Approver before the order can be completed. Product Management agreed that it was not desirable to have an order assigned to a Selector when they can't view the Orders Awaiting Approval page, but it is not currently possible to ignore the assignment in Rialto. Therefore, this is considered an enhancement request.”
