New UI: Restore ability to search ALL archived lists for library staff
Leganto, using the old UI, allows library staff to locate archived lists when searching by the course ID, this allows library staff to quickly assist faculty & staff in rolling over/copying their courses. In the NUI, users are only able to locate archived lists for which they are the owner. To be perfectly frank, the library postponed going live with the NUI this summer due to this lacking feature. Finding out this is expected behavior led to the creation of this idea exchange, as we are very concerned about losing access to the feature.
Proposed resolutions:
1) Allow library staff to expand their search to all archived lists via an allowlist or by using a role that is specific to library staff role
2) Add a parameter that allows interested libraries to maintain this functionality in the NUI, ie true/false enables archive search to include all archived lists
3) Add additional search option which allows an expanded archive search including all lists
Use Cases:
The library staff’s main concern when duplicating (copying or rolling over) lists is to maintain the permalinks from the previous list. In the NUI, staff are running into issues as they are not list owners for most of the archived lists. This prevents librarians from using Find Lists in Leganto when working to duplicate an archived list for faculty/staff.
While library staff can add themselves as owners in Alma, this adds complexity to the process. This requires staff who primarily work in Canvas/Leganto to manage tasks in Alma, instead of being able to function fully in Leganto. Further, requiring library staff to be owners of archived lists add visual clutter and irrelevant lists to their Alma workspace. When working with faculty in rolling over/duplicating their courses, the library staff often work outside of their departments. As such it seems a little ridiculous that library staff need to be attached to all of the archived lists as owners to be able to help any faculty/staff member in Leganto.
Further, while staff can make copies/duplicate within Alma, this workflow doesn’t maintain the permalinks, adding additional steps/work for staff to replace a process that is seamless in the Old UI.
